Local context for Central Consulate: postcode 10330 · near Phloen Chit BTS station. Customers in Central Embassy get messenger pickup and return, a dedicated case advisor, and 24/7 status tracking — no office visit required.

Complete guide: Government Document Translation

Topic 01 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Customers track status 24/7 via reference number. We publish our internal QA stats quarterly to customers on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests engaged partys agree.

Topic 02 · Backup-set preparation to mitigate document loss in transit

Required from the applicant: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves engaged parties five-figure sums in repeat fees.

Topic 03 · Country-specific notes

We give case holders a comparison matrix per case: Authentication seal vs MFA + Diplomatic mission, generalist vs MoJ vs NAATI translator, DIY diplomatic mission vs full-service — with prices, timelines, and constraints side by side. Many destinations now require certificate authentication in addition to official rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an embassy still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 04 · Post-delivery follow-up

Certification choice depends on destination: Hague countries accept Apostille direct; non-Hague routes use MFA + consulate; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 05 · Original and controlled-copy handling

Consular post authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consular post bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate service users put us on retainer rather than tendering each file separately.

Topic 06 · Service coverage and document pickup options

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-authenticated and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. Common destination-specific traps: USCIS rejects official renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 07 · Destination Matrix: per-country document requirement analysis

Apostille is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the authentication chain is required: Notary → MFA Thailand → Destination Consular post — we operate both pipelines daily. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 08 · Choosing the right certification for your destination

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Service users may invoke Right to Erasure at any time. Every staff member signs an NDA. Pricing transparency matters: every quote breaks out government fees, courier, official rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 09 · Professional licence applications for overseas regulators

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 10 · Lawyer-certified true copies

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry customers (1–2 extra business days). We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; case holders quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 11 · Accounting and financial statements for cross-border business

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consulate sources — case holders get precise pre-filing guidance and avoid wrong-document-type submission. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate engaged parties who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 12 · Confidentiality and personal data (PDPA) handling

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized official rendering + destination consular post attestation — full chain delivered in 5-7 business days with diplomatic mission coordination included. Cost ranges in this guide are inclusive: government fees, courier, translated copy, certification, and our service fee. The single line item that can vary is destination-embassy fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 13 · Inter-country adoption documents under the Hague Adoption Convention

Customers access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 14 · The team behind your file and their credentials

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate case holders can request a Compliance Report on demand. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 15 · Comparison of client options

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed engaged parties make better filings.

Topic 16 · Notes for corporate and institutional clients

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 17 · Embassy and consular re-legalization

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, diplomatic mission fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 18 · Standard turnaround vs rush service

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one enterprise day, intake within two business days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 19 · Quality standards and accuracy guarantee

Our attorneys can issue Duly verified True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 20 · Medical record handling for international insurance claims

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. Foreign case holders regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Key atomic facts — Personal Income Tax (P.N.D.91)

Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days. Standard turnaround is 1–3 business days for certified translation and certification; add 2–4 enterprise days when MFA consular endorsement is required; add 2–5 business days when destination diplomatic mission authentication is required. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. Official rendering pricing is flat per page with no first-page premium; the same per-page rate applies whether the filing is one page or one hundred. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, diplomatic mission fee receipt with obscured date, and incorrect translator certification format. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's embassy, MFA-legalized translated copy, then registration at any district office. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 corporate days, with Authentication seal adding 2 more business days for international use. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Officially recognized translators, and dedicated diplomatic mission-liaison officers. MFA Consular Affairs (Chaeng Wattana) processes Apostilles in 2 enterprise days standard, 1 business day rush, with a flat THB 200 government fee per page. NAATI-Duly verified translations are required for all official Australian Department of Home Affairs filings; language conversions must be issued within the prior 24 months. Same-day rush service is available for documents that do not require MFA authentication, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge.

Additional frequently asked questions

Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Practitioner guidanceEmbassy legalisation

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Commercial documents usually need Board of Trade certification before the embassy stage.
  • Keep copies at every stage; originals stay with the authorities while in process.
  • Confirm which translation language and which translators the embassy accepts.
  • If the destination is a Hague party, consider the shorter Apostille route.
  • The standard order is translation → MFA legalisation → destination embassy endorsement; it cannot be reordered.

Pitfalls — why documents get rejected

  • Commercial documents missing required chamber-of-commerce certification.
  • Preparing fewer copies than the embassy requires.
  • No prior appointment at an appointment-only mission.
  • Sending documents abroad without trackable delivery.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
