Complete guide: Apostille Thailand — MFA Department of Consular Affairs Apostille for 130 Hague Convention Contracting Parties (enters into force 28 February 2027)

Topic 01 · Medical record handling for international insurance claims

Standard turnaround is 1–3 business days for most documents. Files that need MFA certification add 2–4 corporate days. Same-Day rush is available at +100% with prior booking. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 02 · Passport name-match verification

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column translated copy that preserves table formatting — handled by our specialised finance language conversion workflow. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 03 · Choosing the right certification for your destination

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Applicants may invoke Right to Erasure at any time. Every staff member signs an NDA. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 04 · Professional licence applications for overseas regulators

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Applicants track status 24/7 via reference number. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 05 · Lawyer-certified true copies

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 06 · Payment and tax invoice

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. Many destinations now require Hague-stamp in addition to official rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 07 · Probate and inheritance documents across multiple jurisdictions

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Pricing transparency matters: every quote breaks out government fees, courier, certified translation surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 08 · Sample cases and lessons learned

Consulate authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 09 · Documents and information you need to prepare

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Consular endorsement + return courier, so we can act on your behalf for the entire chain. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consular post submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 10 · Comparison of client options

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two business hours during Bangkok working time.

Topic 11 · Notes for corporate and institutional clients

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Foreign applicants regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 12 · Embassy and consular re-legalization

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry case holders (1–2 extra business days). Corporate engaged parties receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for engaged partys with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 13 · Scholarship and research grant documentation packages

We give applicants a comparison matrix per case: Certificate authentication vs MFA + Diplomatic mission, generalist vs MoJ vs NAATI translator, DIY consular post vs full-service — with prices, timelines, and constraints side by side. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 14 · Service fees and turnaround time

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + duly verified language rendering + destination consular post attestation — full chain delivered in 5-7 business days with consulate coordination included. Our language conversion team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 15 · Quality standards and accuracy guarantee

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + authenticated diploma copy + translator-attested certified translation — couriered directly to the evaluation body. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed applicants make better filings.

Topic 16 · Name-match resolution via Affidavit of One and the Same Person

Our attorneys can issue Attested True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 17 · Parallel-copy preparation for multi-destination filings

Each destination has its own quirks: the US wants state-level Authentication, the UK uses FCDO Certification, Australia accepts NAATI without Consular endorsement, China requires consular post authentication, Japan often demands consulate-aligned language rendering. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, embassy fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 18 · Destination Matrix: per-country document requirement analysis

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate case holders can request a Compliance Report on demand. We routinely handle files for engaged parties who never set foot in Thailand. The Remote POA workflow — notary in your country, Document attestation, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 19 · Citizenship application and renunciation document handling

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Service users quoted before a change pay the older rate; service users quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 20 · Document risk assessment criteria

Required from the case holder: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. Common destination-specific traps: USCIS rejects translated copys that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Additional frequently asked questions

Which authority issues the Thai police clearance certificate?
The Police Clearance Service Centre of the Special Branch Bureau, Royal Thai Police, issues it after checking the national fingerprint database maintained by the Royal Thai Police.
Can foreigners who lived in Thailand apply?
Yes, where there is an immigration record. Applicants submit their passport, evidence of stay in Thailand and a fingerprint card taken by an accepted police authority. Applicants abroad may file through a Royal Thai Embassy.
How long does processing take?
Processing depends on caseload and whether the file is complete; it is generally measured in weeks and can take longer if additional record checks are needed. Allow buffer time before a visa or employment deadline.
How long is the certificate valid?
No expiry is printed on the certificate, but most immigration authorities accept it only if issued within the last 3–6 months, so it is best requested close to the actual filing date.
Where are fingerprints taken?
Inside Thailand at a police station or designated office; abroad at a local police authority or a Royal Thai Embassy or Consulate, with the fingerprint card submitted together with the application set.
Will a past case appear on the certificate?
The certificate reports exactly what the database holds. Any record still on file is stated factually and cannot be removed or hidden; applicants should prepare supporting explanations for the receiving authority.

How this connects to the next step

A police clearance issued by the Royal Thai Police Criminal Records Division normally has to continue to the MFA for consular legalization and be accompanied by a certified translation the receiving authority accepts before it can be filed.

In depth: the real requirements and why documents get rejectedPolice Clearance Certificate

Written from the competent authority's published rules, not marketing copy.

A Thai Police Clearance Certificate is issued by the Royal Thai Police Special Branch and reports the result of a criminal-record search performed against fingerprint records. It is not a character reference, and it is not a document a local police station can issue.

Conditions you actually have to clear

  • Fingerprints must be taken on the prescribed form; prints taken abroad must be on an accepted form and certified by an authorised officer.
  • Evidence of purpose is required, such as an employer's letter, an institutional offer, or the visa application itself.
  • The name and passport number on the application must match the travel document that will actually be used; a passport replaced during processing must be reported.

Common causes of rejection

  • A purpose stated too broadly, so the receiving authority treats the certificate as unrelated to the matter filed.
  • Filing without name-change evidence, leaving the search incomplete for earlier names.

Fix the order at the outset: record check, receive the original, translate, then certify along the chain the destination requires. Skipping a step almost always causes rework. Our team can confirm the sequence for your destination by phone, LINE, or email.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • Private documents such as powers of attorney or affidavits must first be signature-certified by a Notarial Services Attorney.
  • Thai-language documents normally require a certified translation before the Apostille is issued.
  • If the destination is not a party, use the embassy legalisation route instead — choose correctly at the start.
  • Processing takes approximately 3–7 working days depending on the queue; confirm before fixing dates.
  • Submit recently issued originals from the issuing authority, not old stored photocopies.

Pitfalls — why documents get rejected

  • Filing private documents without prior signature certification.
  • Filing a translation that has not been certified.
  • Using copies not issued by the competent authority.
  • Assuming the Apostille certifies content — it certifies only signature, capacity and seal.
  • The destination requires its own official language but only English was prepared.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
