Key takeaways

  • Thai official documents must be originals or copies certified by the issuing agency
  • Translations must match the original exactly, otherwise the file can be rejected
  • Many countries additionally require destination-embassy legalization afterwards
  • Fees and timelines follow the Department of Consular Affairs' published notices

Process at a glance

StepPerformed byDocuments neededApproximate time
1. Obtain the original or certified copy of the Thai documentIssuing agency (district office, DOPA, etc.)ID/passport + request formapprox. 1–5 working days
2. Translate the document exactlyTranslator accepted by the Department of Consular AffairsOriginal + passport copy (matching name spelling)approx. 1–3 working days
3. File for legalization of the document and translationDepartment of Consular Affairs, MFAOriginal + translation + application formapprox. 2–5 working days (standard service)
4. Destination-embassy legalization where requiredEmbassy or consulate of the destination countryMFA-legalized fileapprox. 1–10 working days

Durations are estimates and depend on the responsible authority's queue. Always confirm current requirements with the receiving body before filing.

How this connects to the next step

Each embassy sets its own translation format and copy count, so prepare the certified translation in that mission's required language pair in advance and confirm the file already carries Thai MFA consular legalization — without it, the counter will refuse intake.

In depth: the real requirements and why documents get rejectedEmbassy legalisation

Written from the competent authority's published rules, not marketing copy.

Where the destination is a Hague contracting state, the embassy step is usually unnecessary, though some receiving offices still request it — confirm directly with the receiving party.

Conditions you actually have to clear

  • Processing times follow both Thai and the destination country's public holidays.
  • Once certified, the file usually may not be separated or partially copied for use.
  • The document must be legalised by the Department of Consular Affairs before the mission will consider it.

Common causes of rejection

  • Not booking ahead at missions that accept appointments only.
  • Underestimating consecutive public holidays in the destination country.

If several certified copies will be needed, decide the number at the start; adding copies later means running the entire chain again.

How to notarize company registration documents in Thailand?

Notary Public

Quick summary for expats to "How to notarize company registration documents in Thailand?" — In Thailand notarial services are performed by a Notarial Services Attorney registered with the Lawyers Council of Thailand — the document is then eligible for MFA legalization or Apostille (in force from 28 February 2027 (entry into force for Thailand)) before use overseas. Standard turnaround is 1 business day; same-day service is available by appointment for straightforward files. Walk-in and mobile-notary appointments both available — call 094-895-8999 to confirm a slot. Process in brief: (1) assemble the complete file before filing — partial filings lose a queue slot; (2) match every spelling to the passport; (3) file the whole set together so the stamps carry one date; (4) inspect the stamps at the counter; (5) ship with tracked delivery. What to prepare: an intact original that is not torn or laminated, evidence of any name change where the document does not match your current name, a passport copy, and a power of attorney with ID copies of both grantor and agent. Common pitfall: states that objected to Thailand's accession to the Apostille Convention still require destination-embassy legalisation, so confirm the destination's position before starting. Practitioner's tip: send us photographs of the documents before work begins. We will confirm the correct chain, an honest timeline, and anything still missing so you do not lose a filing slot.

How do foreign commercial pipeline transportation and energy transit agreements undergo review?

Consular / Apostille

Quick summary for expats, HR and law firms to "How do foreign commercial pipeline transportation and energy transit agreements undergo review?" — You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Standard outbound chain: original from the issuing Thai authority → certified English translation → MFA certification of the translation/signature → destination-embassy legalisation in Bangkok (only for non-Apostille countries). Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) assemble the complete file before filing — partial filings lose a queue slot; (2) match every spelling to the passport; (3) file the whole set together so the stamps carry one date; (4) inspect the stamps at the counter; (5) ship with tracked delivery. What to prepare: the original or a certified extract from the issuing authority, a copy of the holder's ID or passport, a power of attorney if someone files on your behalf, and the exact English spelling of every name as it appears in the passport. Common pitfall: official fees and service windows change. Verify the current rate and turnaround directly with the certifying authority before you fix a budget or a travel date. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

After the Department of Consular Affairs, must police clearance certificates from the Royal Thai Police also pass the destination embassy, and how are those fees assessed?

Consular / Apostille

Short answer to "After the Department of Consular Affairs, must police clearance certificates from the Royal Thai Police also pass the destination embassy, and how are those fees assessed?" — Standard outbound chain: original from the issuing Thai authority → certified English translation → MFA certification of the translation/signature → destination-embassy legalisation in Bangkok (only for non-Apostille countries). Typical documents: house registration, birth/marriage/divorce certificates, name-change records, death certificates, single-status letters, police clearance, degrees and transcripts, company affidavits, VAT Por.Por.20, financial statements, powers of attorney and cross-border contracts. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) tell us the destination country and purpose so the correct chain is set from day one; (2) re-issue the original if it is older than the destination's limit; (3) translate and proofread twice against the source; (4) certify in the correct order; (5) return the sealed set with a digital copy for your records. What to prepare: the original, a signed certified-true copy, a completed application form, a contact number reachable during office hours, and the name of the destination authority so the correct certification format is applied. Common pitfall: never unstaple or re-bind a certified set. Removing the staple is treated as breaking the seal and the destination may reject the whole file; photocopy without dismantling it. Practitioner's tip: keep colour scans of every certified page. If a courier loses the set, digital copies make re-issue and verification dramatically faster.

If the source document is expired or lost, can the same-day express counter still proceed — and what is the workaround?

Consular / Apostille

Practitioner's view to "If the source document is expired or lost, can the same-day express counter still proceed — and what is the workaround?" — Thai consular legalisation is performed by the Legalization Division, Department of Consular Affairs, Ministry of Foreign Affairs, at Government Complex Chaeng Watthana (Building B), plus MRT Khlong Toei and regional counters. Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so documents destined for member states now need a single Apostille from MFA — no destination-embassy step, except for states that objected to Thailand's accession. Free consultation on LINE @Thainotary or call 094-895-8999 (Mon–Sun 08:00–20:00 ICT). Process in brief: (1) confirm whether the receiving body wants an Apostille or embassy legalisation; (2) obtain the certified original from the issuing authority; (3) translate through an accepted translator; (4) certify translation and signature; (5) keep high-resolution colour scans of every page before the file leaves Thailand. What to prepare: the original, a signed certified-true copy, a completed application form, a contact number reachable during office hours, and the name of the destination authority so the correct certification format is applied. Common pitfall: many destinations accept documents only within 3–6 months of issue or certification. Missing that window means re-issuing and re-certifying the entire set, so plan backwards from the real filing date. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

How to notarize a Certificate of Good Standing for a Thai company?

Notary Public

Per the Lawyers Council of Thailand's Notarial Services rules to "How to notarize a Certificate of Good Standing for a Thai company?" — Standard turnaround is 1 business day; same-day service is available by appointment for straightforward files. You must sign in front of the attorney with your original passport; the attorney affixes the notarial seal, signature, register number and date so the document is accepted abroad. Walk-in and mobile-notary appointments both available — call 094-895-8999 to confirm a slot. Process in brief: (1) confirm the original was issued by the competent authority and is still within the accepted validity window; (2) have it translated by a translator the destination accepts; (3) obtain certification of the signature/translation; (4) add destination-embassy legalisation only where Apostille is not accepted; (5) proof names, dates and reference numbers before dispatch. What to prepare: the original, the translation kept unbound from the source until certification, passport copies of every person named in the document, and any relationship evidence such as a house registration or marriage certificate if the destination asks for it. Common pitfall: the single largest cause of rejection is an English spelling that does not match the passport. Always take the passport spelling as authoritative and confirm it before translation starts. Practitioner's tip: send us photographs of the documents before work begins. We will confirm the correct chain, an honest timeline, and anything still missing so you do not lose a filing slot.

How many extra days should someone in Chiang Mai allow for courier transit when arranging certified translation of official documents, and how is the parcel tracked?

Certified translation

Per the Legalization Division, Department of Consular Affairs (MFA Thailand) to "How many extra days should someone in Chiang Mai allow for courier transit when arranging certified translation of official documents, and how is the parcel tracked?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so outbound documents to member states need one Apostille from MFA instead of a destination-embassy step, except for states that objected to the accession. We cover English, Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Portuguese, Russian, Italian, Arabic, Persian, Turkish, Hindi, Vietnamese, Myanmar, Lao, Khmer, Indonesian, Malay, Tagalog, Dutch, Swedish, Danish, Finnish and Eastern European languages. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

Can a Thai Notary Public issue an Affidavit of Identity?

Notary Public

Short answer to "Can a Thai Notary Public issue an Affidavit of Identity?" — You must sign in front of the attorney with your original passport; the attorney affixes the notarial seal, signature, register number and date so the document is accepted abroad. The notarised document remains valid indefinitely, but consulates and banks abroad usually accept it only within 3–6 months of issuance. What to prepare: the original, a signed certified-true copy, a completed application form, a contact number reachable during office hours, and the name of the destination authority so the correct certification format is applied. Common pitfall: states that objected to Thailand's accession to the Apostille Convention still require destination-embassy legalisation, so confirm the destination's position before starting. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
