Key takeaways

  • Thai official documents must be originals or copies certified by the issuing agency
  • Translations must match the original exactly, otherwise the file can be rejected
  • Many countries additionally require destination-embassy legalization afterwards
  • Fees and timelines follow the Department of Consular Affairs' published notices

Process at a glance

StepPerformed byDocuments neededApproximate time
1. Obtain the original or certified copy of the Thai documentIssuing agency (district office, DOPA, etc.)ID/passport + request formapprox. 1–5 working days
2. Translate the document exactlyTranslator accepted by the Department of Consular AffairsOriginal + passport copy (matching name spelling)approx. 1–3 working days
3. File for legalization of the document and translationDepartment of Consular Affairs, MFAOriginal + translation + application formapprox. 2–5 working days (standard service)
4. Destination-embassy legalization where requiredEmbassy or consulate of the destination countryMFA-legalized fileapprox. 1–10 working days

Durations are estimates and depend on the responsible authority's queue. Always confirm current requirements with the receiving body before filing.

How this connects to the next step

Each embassy sets its own translation format and copy count, so prepare the certified translation in that mission's required language pair in advance and confirm the file already carries Thai MFA consular legalization — without it, the counter will refuse intake.

In depth: the real requirements and why documents get rejectedEmbassy legalisation

Written from the competent authority's published rules, not marketing copy.

Each mission sets its own translation format, copy count, and appointment method. These requirements differ even for identical document types, so experience with another country's mission is a poor guide.

Conditions you actually have to clear

  • The document must be legalised by the Department of Consular Affairs before the mission will consider it.
  • Many missions require the translation to be in their official language rather than English.
  • Some accept filings only from the document owner or an attorney holding a valid power of attorney.

Common causes of rejection

  • Underestimating consecutive public holidays in the destination country.
  • Preparing an English translation when the mission requires its own official language.

Confirm the mission's current requirements before commissioning translation, since translation format is the hardest element to change later. Our team can map the whole chain with you by phone, LINE, or email.

Real customer questions, answered by our attorneys

Selected from our knowledge base of 3,300+ real questions we have answered.

What are the most common reasons a power of attorney is rejected at the legalisation counter, and how is each fixed before refiling?

Consular / Apostille

Short answer to "What are the most common reasons a power of attorney is rejected at the legalisation counter, and how is each fixed before refiling?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so documents destined for member states now need a single Apostille from MFA — no destination-embassy step, except for states that objected to Thailand's accession. You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Send a photo of the document to LINE @Thainotary and we will quote the chain, cost and timeline within 15 minutes. Process in brief: (1) check whether a parent authority must endorse the document first — a school, hospital or line department; (2) translate into the required language; (3) certify the translation; (4) complete the next certification layer; (5) submit within the validity window the destination accepts. What to prepare: the full original set, colour scans of every page for translation proofing, an English spelling list for all people and place names, and any extra items listed on the destination authority's own checklist. Common pitfall: states that objected to Thailand's accession to the Apostille Convention still require destination-embassy legalisation, so confirm the destination's position before starting. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

When a Thai court judgment or order for overseas use is needed in several languages, should each be translated from the Thai original or pivoted through English?

Certified translation

Short answer to "When a Thai court judgment or order for overseas use is needed in several languages, should each be translated from the Thai original or pivoted through English?" — Inbound chain for foreign documents: notarisation or Apostille in the country of origin → that country's embassy in Bangkok (non-Apostille states only) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts accept the file. Multi-language certified translation for use in Thailand runs in three layers: translation by a native/MFA-recognised translator, a certificate of accuracy sealed by the translation company or a Notary Public lawyer, then MFA legalisation of that translation. Send a photo of the document to LINE @Thainotary and we quote the language pair, chain, cost and timeline within 15 minutes. Process in brief: (1) confirm the original was issued by the competent authority and is still within the accepted validity window; (2) have it translated by a translator the destination accepts; (3) obtain certification of the signature/translation; (4) add destination-embassy legalisation only where Apostille is not accepted; (5) proof names, dates and reference numbers before dispatch. What to prepare: the original or a certified extract from the issuing authority, a copy of the holder's ID or passport, a power of attorney if someone files on your behalf, and the exact English spelling of every name as it appears in the passport. Common pitfall: self-made or machine translations are usually refused — reviewers check the letterhead, the translator's certification wording, and whether every stamp on the original has been rendered. Practitioner's tip: give us your travel or filing deadline up front. We plan backwards and pick the service tier that lands on time without paying for unnecessary express handling.

What online booking and identity-verification options exist for clients based in Rayong who need certified translation of official documents?

Certified translation

Short answer to "What online booking and identity-verification options exist for clients based in Rayong who need certified translation of official documents?" — Inbound chain for foreign documents: notarisation or Apostille in the country of origin → that country's embassy in Bangkok (non-Apostille states only) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts accept the file. Process in brief: (1) tell us the destination country and purpose so the correct chain is set from day one; (2) re-issue the original if it is older than the destination's limit; (3) translate and proofread twice against the source; (4) certify in the correct order; (5) return the sealed set with a digital copy for your records. What to prepare: the original, the translation kept unbound from the source until certification, passport copies of every person named in the document, and any relationship evidence such as a house registration or marriage certificate if the destination asks for it. Common pitfall: the single largest cause of rejection is an English spelling that does not match the passport. Always take the passport spelling as authoritative and confirm it before translation starts. Practitioner's tip: send us photographs of the documents before work begins. We will confirm the correct chain, an honest timeline, and anything still missing so you do not lose a filing slot.

Consular / Apostille

Quick summary for expats, HR and law firms to "Are NAATI certified translations accepted alongside Thai consular legalization?" — Standard outbound chain: original from the issuing Thai authority → certified English translation → MFA certification of the translation/signature → destination-embassy legalisation in Bangkok (only for non-Apostille countries). Typical documents: house registration, birth/marriage/divorce certificates, name-change records, death certificates, single-status letters, police clearance, degrees and transcripts, company affidavits, VAT Por.Por.20, financial statements, powers of attorney and cross-border contracts. Free consultation on LINE @Thainotary or call 094-895-8999 (Mon–Sun 08:00–20:00 ICT). What to prepare: an intact original that is not torn or laminated, evidence of any name change where the document does not match your current name, a passport copy, and a power of attorney with ID copies of both grantor and agent. Common pitfall: many destinations accept documents only within 3–6 months of issue or certification. Missing that window means re-issuing and re-certifying the entire set, so plan backwards from the real filing date. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

What to prepare: the original or a certified extract from the issuing authority, a copy of the holder's ID or passport, a power of attorney if someone files on your behalf, and the exact English spelling of every name as it appears in the passport. Common pitfall: never unstaple or re-bind a certified set. Removing the staple is treated as breaking the seal and the destination may reject the whole file; photocopy without dismantling it. Practitioner's tip: keep colour scans of every certified page. If a courier loses the set, digital copies make re-issue and verification dramatically faster.

Does safety manuals and product dossiers for registration need onward MFA and embassy legalisation, and in what order?

Certified translation

Quick summary for expats, HR teams and law firms to "Does safety manuals and product dossiers for registration need onward MFA and embassy legalisation, and in what order?" — Government fees are THB 200 per stamp for the normal service (2–3 business days) and THB 400 per stamp for same-day express (filed before 11:30); translation itself is priced per page/word and by language rarity. Every translation ships with a Certificate of Accuracy carrying the translator's name, a job reference number and the company seal — the format Thai ministries, embassies and universities expect. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

What are the most common reasons a death certificate is rejected at the legalisation counter, and how is each fixed before refiling?

Consular / Apostille

Practitioner's view to "What are the most common reasons a death certificate is rejected at the legalisation counter, and how is each fixed before refiling?" — Government fee is THB 200 per stamp for the normal service (2–3 business days) and THB 400 per stamp for same-day express (file before 11:30). Our end-to-end agency fee starts at THB 1,500–4,500 per set depending on volume and urgency. Inbound chain for foreign documents used in Thailand: notarisation/Apostille in the country of origin → that country's embassy in Bangkok (if not an Apostille state) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts will accept the file. Send a photo of the document to LINE @Thainotary and we will quote the chain, cost and timeline within 15 minutes. What to prepare: the full original set, colour scans of every page for translation proofing, an English spelling list for all people and place names, and any extra items listed on the destination authority's own checklist.

In-depth questions and answersEmbassy legalisation

Answers follow the competent authority's published requirements, not marketing copy.

Where can the current requirements for Embassy legalisation be verified?

Check the notices published by The destination country's embassy or consulate. The official sources used on this page are https://consular.mfa.go.th/th/publicservice/legalization · https://www.hcch.net/en/instruments/conventions/status-table/?cid=41. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What if our Embassy legalisation case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with The destination country's embassy or consulate. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Embassy legalisation take?

Turnaround is not fixed: it depends on the queue and rules of The destination country's embassy or consulate, the document type, and the receiving office abroad. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Embassy legalisation expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with The destination country's embassy or consulate, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Must the applicant appear in person for Embassy legalisation, or can it be delegated?

Some steps require the document owner to sign or appear; others accept a power of attorney. It depends on the rules of The destination country's embassy or consulate and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Embassy legalisation on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by The destination country's embassy or consulate under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Embassy legalisation be prepared to pass on the first submission?

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
