Key takeaways

  • Thai official documents must be originals or copies certified by the issuing agency
  • Translations must match the original exactly, otherwise the file can be rejected
  • Many countries additionally require destination-embassy legalization afterwards
  • Fees and timelines follow the Department of Consular Affairs' published notices

Process at a glance

StepPerformed byDocuments neededApproximate time
1. Obtain the original or certified copy of the Thai documentIssuing agency (district office, DOPA, etc.)ID/passport + request formapprox. 1–5 working days
2. Translate the document exactlyTranslator accepted by the Department of Consular AffairsOriginal + passport copy (matching name spelling)approx. 1–3 working days
3. File for legalization of the document and translationDepartment of Consular Affairs, MFAOriginal + translation + application formapprox. 2–5 working days (standard service)
4. Destination-embassy legalization where requiredEmbassy or consulate of the destination countryMFA-legalized fileapprox. 1–10 working days

Durations are estimates and depend on the responsible authority's queue. Always confirm current requirements with the receiving body before filing.

How this connects to the next step

Each embassy sets its own translation format and copy count, so prepare the certified translation in that mission's required language pair in advance and confirm the file already carries Thai MFA consular legalization — without it, the counter will refuse intake.

In depth: the real requirements and why documents get rejectedEmbassy legalisation

Written from the competent authority's published rules, not marketing copy.

Each mission sets its own translation format, copy count, and appointment method. These requirements differ even for identical document types, so experience with another country's mission is a poor guide.

Conditions you actually have to clear

  • Once certified, the file usually may not be separated or partially copied for use.
  • The document must be legalised by the Department of Consular Affairs before the mission will consider it.
  • Many missions require the translation to be in their official language rather than English.

Common causes of rejection

  • Not booking ahead at missions that accept appointments only.
  • Underestimating consecutive public holidays in the destination country.

If several certified copies will be needed, decide the number at the start; adding copies later means running the entire chain again.

If academic transcripts and degree certificates is refused at the counter for an unclear seal or a missing source signature, what is the fastest fix?

Consular / Apostille

Practitioner's view to "If academic transcripts and degree certificates is refused at the counter for an unclear seal or a missing source signature, what is the fastest fix?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so documents destined for member states now need a single Apostille from MFA — no destination-embassy step, except for states that objected to Thailand's accession. You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) confirm whether the receiving body wants an Apostille or embassy legalisation; (2) obtain the certified original from the issuing authority; (3) translate through an accepted translator; (4) certify translation and signature; (5) keep high-resolution colour scans of every page before the file leaves Thailand. What to prepare: the original, the translation kept unbound from the source until certification, passport copies of every person named in the document, and any relationship evidence such as a house registration or marriage certificate if the destination asks for it. Common pitfall: official fees and service windows change. Verify the current rate and turnaround directly with the certifying authority before you fix a budget or a travel date. Practitioner's tip: give us your travel or filing deadline up front. We plan backwards and pick the service tier that lands on time without paying for unnecessary express handling.

How will the Hague Apostille Convention entering into force for Thailand on 28 February 2027 change legalisation for documents sent to the United States?

Consular / Apostille

Short answer to "How will the Hague Apostille Convention entering into force for Thailand on 28 February 2027 change legalisation for documents sent to the United States?" — Government fee is THB 200 per stamp for the normal service (2–3 business days) and THB 400 per stamp for same-day express (file before 11:30). Our end-to-end agency fee starts at THB 1,500–4,500 per set depending on volume and urgency. Inbound chain for foreign documents used in Thailand: notarisation/Apostille in the country of origin → that country's embassy in Bangkok (if not an Apostille state) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts will accept the file. Free consultation on LINE @Thainotary or call 094-895-8999 (Mon–Sun 08:00–20:00 ICT). What to prepare: an intact original that is not torn or laminated, evidence of any name change where the document does not match your current name, a passport copy, and a power of attorney with ID copies of both grantor and agent. Common pitfall: the single largest cause of rejection is an English spelling that does not match the passport. Always take the passport spelling as authoritative and confirm it before translation starts. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

How are multi-language translation rates calculated (per page or per word) in Thailand?

Certified translation

Short answer to "How are multi-language translation rates calculated (per page or per word) in Thailand?" — Inbound chain for foreign documents: notarisation or Apostille in the country of origin → that country's embassy in Bangkok (non-Apostille states only) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts accept the file. Multi-language certified translation for use in Thailand runs in three layers: translation by a native/MFA-recognised translator, a certificate of accuracy sealed by the translation company or a Notary Public lawyer, then MFA legalisation of that translation. Common pitfall: never unstaple or re-bind a certified set. Removing the staple is treated as breaking the seal and the destination may reject the whole file; photocopy without dismantling it. Practitioner's tip: keep colour scans of every certified page. If a courier loses the set, digital copies make re-issue and verification dramatically faster.

Is the MFA express service available for a driving licence and vehicle document used abroad, by what time must it be filed, and is same-day collection realistic?

Consular / Apostille

How we handle this in practice to "Is the MFA express service available for a driving licence and vehicle document used abroad, by what time must it be filed, and is same-day collection realistic?" — You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Standard outbound chain: original from the issuing Thai authority → certified English translation → MFA certification of the translation/signature → destination-embassy legalisation in Bangkok (only for non-Apostille countries). Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) assemble the complete file before filing — partial filings lose a queue slot; (2) match every spelling to the passport; (3) file the whole set together so the stamps carry one date; (4) inspect the stamps at the counter; (5) ship with tracked delivery. What to prepare: the original, a signed certified-true copy, a completed application form, a contact number reachable during office hours, and the name of the destination authority so the correct certification format is applied. Common pitfall: self-made or machine translations are usually refused — reviewers check the letterhead, the translator's certification wording, and whether every stamp on the original has been rendered. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

What does legalising a Thai document for use abroad really cost line by line, and which part is a government fee?

Consular / Apostille

Practitioner's view to "What does legalising a Thai document for use abroad really cost line by line, and which part is a government fee?" — You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Standard outbound chain: original from the issuing Thai authority → certified English translation → MFA certification of the translation/signature → destination-embassy legalisation in Bangkok (only for non-Apostille countries). Send a photo of the document to LINE @Thainotary and we will quote the chain, cost and timeline within 15 minutes. Process in brief: (1) tell us the destination country and purpose so the correct chain is set from day one; (2) re-issue the original if it is older than the destination's limit; (3) translate and proofread twice against the source; (4) certify in the correct order; (5) return the sealed set with a digital copy for your records. What to prepare: the original, a signed certified-true copy, a completed application form, a contact number reachable during office hours, and the name of the destination authority so the correct certification format is applied. Common pitfall: states that objected to Thailand's accession to the Apostille Convention still require destination-embassy legalisation, so confirm the destination's position before starting. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

How to process multi-language real estate lease agreement translations for foreign tenants?

Certified translation

Short answer to "How to process multi-language real estate lease agreement translations for foreign tenants?" — Government fees are THB 200 per stamp for the normal service (2–3 business days) and THB 400 per stamp for same-day express (filed before 11:30); translation itself is priced per page/word and by language rarity. Every translation ships with a Certificate of Accuracy carrying the translator's name, a job reference number and the company seal — the format Thai ministries, embassies and universities expect. Common pitfall: many destinations accept documents only within 3–6 months of issue or certification. Missing that window means re-issuing and re-certifying the entire set, so plan backwards from the real filing date. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Some countries have no mission in Thailand and are covered from a neighbouring country — allow for document transit.
  • Commercial documents usually need Board of Trade certification before the embassy stage.
  • Keep copies at every stage; originals stay with the authorities while in process.
  • Confirm which translation language and which translators the embassy accepts.
  • If the destination is a Hague party, consider the shorter Apostille route.

Pitfalls — why documents get rejected

  • Ignoring destination-country public holidays when planning.
  • Filing at the embassy before MFA legalisation.
  • Applying one embassy's requirements to another.
  • Commercial documents missing required chamber-of-commerce certification.
  • Preparing fewer copies than the embassy requires.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
