Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Document risk assessment criteria

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 02 · Asset documentation for outbound FDI and treasury filings

Medical record language rendering for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Foreign engaged parties regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 03 · Payment and tax invoice

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 04 · Probate and inheritance documents across multiple jurisdictions

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published diplomatic mission queue times by 40-60% on average.

Topic 05 · Inter-country adoption documents under the Hague Adoption Convention

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate engaged parties who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 06 · The team behind your file and their credentials

Applicants access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 07 · Common mistakes and how to avoid them

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column certified translation that preserves table formatting — handled by our specialised finance language conversion workflow. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed service users make better filings.

Topic 08 · Notes for corporate and institutional clients

Post-delivery we follow up: engaged parties confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 09 · Relevant legal requirements

Required from the engaged party: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 10 · Standard turnaround vs rush service

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. Foreign case holders should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two business hours during Bangkok working time.

Topic 11 · Service fees and turnaround time

Frequent add-ons: MFA consular endorsement, destination diplomatic mission authentication, NAATI translated copy for Australia, MoJ official rendering for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two corporate days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 12 · Digital file storage under ISO/IEC 27001 information-security standard

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 13 · Workflow from intake to delivery

Standard turnaround is 1–3 business days for most documents. Files that need MFA authentication add 2–4 enterprise days. Same-Day rush is available at +100% with prior booking. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, diplomatic mission fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 14 · Parallel-copy preparation for multi-destination filings

Each destination has its own quirks: the US wants state-level Certificate authentication, the UK uses FCDO Hague-stamp, Australia accepts NAATI without Certificate authentication, China requires diplomatic mission authentication, Japan often demands diplomatic mission-aligned certified translation. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Customers quoted before a change pay the older rate; applicants quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 15 · Destination Matrix: per-country document requirement analysis

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Customers may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 16 · Choosing the right certification for your destination

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry applicants (1–2 extra business days). On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 17 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. Pricing transparency matters: every quote breaks out government fees, courier, language rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 18 · Add-on services worth considering

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + authenticated translated copy + destination consular post attestation — full chain delivered in 5-7 business days with diplomatic mission coordination included. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 19 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to Hague-stamp the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 20 · Backup-set preparation to mitigate document loss in transit

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the case holder loses originals abroad, we courier a Authenticated True Copy within 24 hours — no need to restart the workflow. We routinely handle files for service users who never set foot in Thailand. The Remote POA workflow — notary in your country, Consular endorsement, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. MFA Consular Affairs (Chaeng Wattana) processes Authentication seals in 2 business days standard, 1 corporate day rush, with a flat THB 200 government fee per page. Standard turnaround is 1–3 business days for official rendering and certification; add 2–4 enterprise days when MFA certification is required; add 2–5 business days when destination consular post authentication is required. Every engagement closes with a one-page brief recording actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. Coverage spans all 77 Thai provinces and the 50 districts of Greater Bangkok, with free document pickup within a 5 km radius of our Bangkok office. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 enterprise days, with Authentication seal adding 2 more business days for international use. BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. Notarial Services Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Thailand joined the Hague Certificate authentication Convention on 28 February 2027, making Apostille the standard authentication for documents bound to 130 Contracting Parties. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, consulate fee receipt with obscured date, and incorrect translator certification format. Foreign customers can engage us entirely remotely via Power-of-Attorney: notarize in your country, Consular endorsement, courier to us, and we act on your behalf for the entire Thai-side chain.

Additional frequently asked questions

Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
