Complete guide: Apostille Thailand — MFA Department of Consular Affairs Apostille for 130 Hague Convention Contracting Parties (enters into force 28 February 2027)

Topic 01 · Notes for corporate and institutional clients

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Service users may invoke Right to Erasure at any time. Every staff member signs an NDA. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two corporate days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 02 · Embassy and consular re-legalization

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consular post rejection-and-rework downstream. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 03 · Scholarship and research grant documentation packages

Required from the customer: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before diplomatic mission submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 04 · Service fees and turnaround time

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Customers may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 05 · Quality standards and accuracy guarantee

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + authenticated language conversion + destination consulate attestation — full chain delivered in 5-7 business days with consulate coordination included. Foreign case holders regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 06 · Workflow from intake to delivery

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 07 · Service coverage and document pickup options

Our attorneys can issue Officially recognized True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 08 · Passport name-match verification

Each destination has its own quirks: the US wants state-level Certification, the UK uses FCDO Certificate authentication, Australia accepts NAATI without Authentication seal, China requires consular post authentication, Japan often demands diplomatic mission-aligned certified translation. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-embassy fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 09 · International courier (DHL/FedEx) with full-value damage insurance

Post-delivery we follow up: service users confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Many destinations now require Hague-stamp in addition to official rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 10 · Document risk assessment criteria

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. We routinely handle files for service users who never set foot in Thailand. The Remote POA workflow — notary in your country, Hague-stamp, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 11 · Asset documentation for outbound FDI and treasury filings

We give customers a comparison matrix per case: Hague-stamp vs MFA + Diplomatic mission, generalist vs MoJ vs NAATI translator, DIY consular post vs full-service — with prices, timelines, and constraints side by side. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 12 · Payment and tax invoice

Corporate applicants receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consular post queue times by 40-60% on average.

Topic 13 · Probate and inheritance documents across multiple jurisdictions

Diplomatic mission authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 14 · Inter-country adoption documents under the Hague Adoption Convention

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international applicants. Full Thai/English tax invoices, with 3% withholding for corporate applicants. We publish our internal QA stats quarterly to customers on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests service users agree.

Topic 15 · Documents and information you need to prepare

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and language conversions end-to-end. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 16 · Cross-border Power of Attorney drafting and authentication

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. Corporate customers receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for customers with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 17 · Add-on services worth considering

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry applicants (1–2 extra business days). We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; case holders quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 18 · Standard turnaround vs rush service

Frequent add-ons: MFA authentication, destination consular post authentication, NAATI certified translation for Australia, MoJ official rendering for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consulate quirks.

Topic 19 · Post-delivery follow-up

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 20 · Name-match resolution via Affidavit of One and the Same Person

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside authenticated official rendering and MFA consular endorsement in a single engagement. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Additional frequently asked questions

Does an Apostille expire?
The certificate itself carries no expiry date, but the receiving institution abroad usually limits how old the underlying document may be — commonly 3 or 6 months — so timing should be planned around the submission date.
What about countries outside the Convention?
Non-member states, including several Middle Eastern and Asian countries, still use the two-step chain: certification by the Department of Consular Affairs followed by certification at that country's embassy in Thailand.
Can a representative file on my behalf?
Yes. A power of attorney in the form accepted by the Department of Consular Affairs is required, together with ID or passport copies of both the grantor and the representative. Scope and requirements are confirmed case by case by phone, LINE or email.
How are foreign documents used inside Thailand?
Obtain an Apostille from the competent authority in the issuing country, then have the document translated into Thai and the translation certified as the Thai receiving authority requires.
Can Thailand issue an Apostille now?
Thailand acceded to the 1961 Hague Apostille Convention, which entered into force for Thailand on 28 February 2026. The competent authority is the Department of Consular Affairs, Ministry of Foreign Affairs. Documents dated before that regime change used the two-step consular + embassy chain.
How does an Apostille differ from consular legalisation?
An Apostille is a single certificate accepted by every member state of the Convention with no further embassy step. Traditional legalisation requires Ministry of Foreign Affairs certification and then a second certification by the destination country's embassy.

How this connects to the next step

Thailand now issues apostilles, yet most private documents must first pass signature certification by a Thai notarial services attorney before they can enter that channel; destinations that do not accept an apostille still follow the legacy route of embassy attestation in Bangkok.

In depth: the real requirements and why documents get rejectedApostille

Written from the competent authority's published rules, not marketing copy.

An Apostille is issued for public documents. A private instrument such as a commercial contract or a personal power of attorney has to enter the public chain first, through certification by an officer whose signature the issuing authority can verify.

Conditions you actually have to clear

  • Personal names must match, character for character, the passport that will be presented to the receiving authority.
  • Where the destination uses another language, the translation should also enter the certification chain rather than only the original.
  • An Apostille is bound to one specific document; copying the certificate onto another document has no effect.

Common causes of rejection

  • Substituting a self-certified copy for an authority-issued original, so the document never qualifies as a public document.
  • Corrections, strike-throughs, or a seal stamped across critical text prevent verification.

If the destination is a contracting state but the receiving office still asks for embassy certification, obtain that requirement in writing and route the document accordingly rather than assuming the convention overrides it.

Documents you need to prepareApostille Thailand

  1. 1Original Thai government document, or a private document already notarised
  2. 2Confirmation that the destination is a Hague member — in force for Thailand from 28 February 2027
  3. 3Valid original passport or Thai ID card of the person signing
  4. 4Certified translation if the receiving body requires its own official language

Before you start

  • Some documents have a limited acceptance window, so start the process close to your actual filing date.
  • Keep a copy of everything submitted in case the receiving authority requests further evidence later.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table).
  • Private documents such as powers of attorney or affidavits must first be signature-certified by a Notarial Services Attorney.
  • Thai-language documents normally require a certified translation before the Apostille is issued.
  • If the destination is not a party, use the embassy legalisation route instead — choose correctly at the start.
  • Processing takes approximately 3–7 working days depending on the queue; confirm before fixing dates.

Pitfalls — why documents get rejected

  • Assuming the Apostille certifies content — it certifies only signature, capacity and seal.
  • The destination requires its own official language but only English was prepared.
  • Planning with no allowance for the authority's queue.
  • Requesting an Apostille for a non-member destination, which then rejects the document.
  • Filing private documents without prior signature certification.

In-depth questions and answersApostille certification

Answers follow the competent authority's published requirements, not marketing copy.

Which authority is competent for Apostille certification?

Department of Consular Affairs, Ministry of Foreign Affairs is the principal competent authority for Apostille certification. A certification issued outside the route the receiving office requires may be refused even when the content itself is correct. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Where can the current requirements for Apostille certification be verified?

Check the notices published by Department of Consular Affairs, Ministry of Foreign Affairs. The official sources used on this page are https://www.hcch.net/en/instruments/conventions/status-table/?cid=41 · https://consular.mfa.go.th/th/publicservice/legalization. Requirements are revised from time to time, so read the latest version before every filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What if our Apostille certification case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with Department of Consular Affairs, Ministry of Foreign Affairs. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Apostille certification take?

Turnaround is not fixed: it depends on the queue and rules of Department of Consular Affairs, Ministry of Foreign Affairs, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Apostille certification expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with Department of Consular Affairs, Ministry of Foreign Affairs, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Must the applicant appear in person for Apostille certification, or can it be delegated?

Some steps require the document owner to sign or appear; others accept a power of attorney. It depends on the rules of Department of Consular Affairs, Ministry of Foreign Affairs and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Apostille certification on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by Department of Consular Affairs, Ministry of Foreign Affairs under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Apostille certification be prepared to pass on the first submission?

Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table). The competent authority is Department of Consular Affairs, Ministry of Foreign Affairs. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Your case may have specific conditions — ask our staff directly.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
