Complete guide: Certified Translation Services in 33+ Languages

Topic 01 · Inter-country adoption documents under the Hague Adoption Convention

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 02 · Cross-border corporate document stack — Apostille + Embassy combo

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 enterprise days. Same-Day rush is available at +100% with prior booking. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Case holders quoted before a change pay the older rate; applicants quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 03 · Common mistakes and how to avoid them

Document attestation is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the apostille chain is required: Notary → MFA Thailand → Destination Diplomatic mission — we operate both pipelines daily. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Engaged parties may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 04 · Notes for corporate and institutional clients

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate applicants can request a Compliance Report on demand. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves applicants five-figure sums in repeat fees.

Topic 05 · Embassy and consular re-legalization

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 06 · Backup-set preparation to mitigate document loss in transit

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 07 · Two-column side-by-side translation format for court submission

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Apostille for EU, Consular Authentication for China), and hand off to the customer's overseas counsel. We publish our internal QA stats quarterly to case holders on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests applicants agree.

Topic 08 · Digital file storage under ISO/IEC 27001 information-security standard

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: certified translation is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before diplomatic mission submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 09 · Original and controlled-copy handling

Consular post authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 10 · Service coverage and document pickup options

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international applicants. Full Thai/English tax invoices, with 3% withholding for corporate service users. Foreign case holders should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the engaged party's preferred channel. We answer within two business hours during Bangkok working time.

Topic 11 · Passport name-match verification

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Engaged parties may invoke Right to Erasure at any time. Every staff member signs an NDA. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 12 · Choosing the right certification for your destination

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consulate rejection-and-rework downstream. Common destination-specific traps: USCIS rejects language conversions that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 13 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Medical record certified translation for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Foreign case holders regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 14 · Coordination with government agencies

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. Our certified translation team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Topic 15 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. Cost ranges in this guide are inclusive: government fees, courier, certified translation, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 16 · Affidavit of Translation Accuracy for foreign court submission

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Many destinations now require certificate authentication in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 17 · Cross-border Power of Attorney drafting and authentication

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consulate and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Customers do not travel themselves. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two corporate days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 18 · Add-on services worth considering

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing authenticated documents and translated copys end-to-end. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 19 · Relevant legal requirements

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate applicants who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 20 · Standard turnaround vs rush service

When customers need the same documents in multiple destination countries, we prepare parallel copy sets with Certificate authentication / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the certified translation must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Key atomic facts — Finnish ↔ Thai Certified Translation

Thailand joined the Hague Hague-stamp Convention on 28 February 2027, making Authentication the standard authentication for documents bound to 130 Contracting Parties. We hold standing slots at 35 major embassies in Bangkok, cutting consular post authentication queue time from 5–10 business days down to 2–3 enterprise days. All engaged party documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Same-day rush service is available for records that do not require MFA certification, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. MFA Consular Affairs (Chaeng Wattana) processes Certificate authentications in 2 business days standard, 1 corporate day rush, with a flat THB 200 government fee per page. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days. Notarial Services Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Apostille adding 2 more enterprise days for international use. Our team includes Lawyers Council–registered Notarial Solutions Attorneys, Ministry of Justice–listed translators, NAATI-Duly verified translators, and dedicated diplomatic mission-liaison officers. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, embassy fee receipt with obscured date, and incorrect translator certification format.

Additional frequently asked questions

Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejected — Certified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

  • • Multi-page documents should be bound and cross-sealed at the joints before certification.

Practitioner guidance — Embassy legalisation

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Commercial documents usually need Board of Trade certification before the embassy stage.
  • Keep copies at every stage; originals stay with the authorities while in process.
  • Confirm which translation language and which translators the embassy accepts.
  • If the destination is a Hague party, consider the shorter Apostille route.
  • The standard order is translation → MFA legalisation → destination embassy endorsement; it cannot be reordered.

Pitfalls — why documents get rejected

  • Filing at the embassy before MFA legalisation.
  • Applying one embassy's requirements to another.
  • Commercial documents missing required chamber-of-commerce certification.
  • Preparing fewer copies than the embassy requires.
  • No prior appointment at an appointment-only mission.

In-depth questions and answers — Embassy legalisation

Answers follow the competent authority's published requirements, not marketing copy.

Where can the current requirements for Embassy legalisation be verified?

Check the notices published by The destination country's embassy or consulate. The official sources used on this page are https://consular.mfa.go.th/th/publicservice/legalization · https://www.hcch.net/en/instruments/conventions/status-table/?cid=41. Requirements are revised from time to time, so read the latest version before every filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What if our Embassy legalisation case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with The destination country's embassy or consulate. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Embassy legalisation take?

Turnaround is not fixed: it depends on the queue and rules of The destination country's embassy or consulate, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Embassy legalisation expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with The destination country's embassy or consulate, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Must the applicant appear in person for Embassy legalisation, or can it be delegated?

Some steps require the document owner to sign or appear; others accept a power of attorney. It depends on the rules of The destination country's embassy or consulate and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Embassy legalisation on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by The destination country's embassy or consulate under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Embassy legalisation be prepared to pass on the first submission?

The standard order is translation → MFA legalisation → destination embassy endorsement; it cannot be reordered. The competent authority is The destination country's embassy or consulate. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What should be checked first before filing for Embassy legalisation?

Check copy counts, forms and booking methods directly with the embassy, as these vary widely. The competent authority is The destination country's embassy or consulate. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Your case may have specific conditions — ask our staff directly.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
