Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Workflow from intake to delivery

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + attested diploma copy + translator-officially recognized language conversion — couriered directly to the evaluation body. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 02 · Medical record handling for international insurance claims

Service users access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 03 · Passport name-match verification

Apostille is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the authentication chain is required: Notary → MFA Thailand → Destination Consulate — we operate both pipelines daily. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 04 · International courier (DHL/FedEx) with full-value damage insurance

An Affidavit of Certified translation Accuracy is the translator's sworn statement before a notary that the official rendering is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 05 · Document risk assessment criteria

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Applicants track status 24/7 via reference number. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 06 · Asset documentation for outbound FDI and treasury filings

When service users need the same documents in multiple destination countries, we prepare parallel copy sets with Document attestation / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two enterprise days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 07 · Payment and tax invoice

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. Many destinations now require certificate authentication in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 08 · Affidavit of Translation Accuracy for foreign court submission

Corporate engaged parties receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves service users five-figure sums in repeat fees.

Topic 09 · Inter-country adoption documents under the Hague Adoption Convention

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside officially recognized language rendering and MFA authentication in a single engagement. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 10 · The team behind your file and their credentials

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column translated copy that preserves table formatting — handled by our specialised finance translated copy workflow. Corporate applicants receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for service users with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 11 · Common mistakes and how to avoid them

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 12 · Notes for corporate and institutional clients

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consular post-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 13 · Embassy and consular re-legalization

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. We publish our internal QA stats quarterly to service users on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests customers agree.

Topic 14 · Scholarship and research grant documentation packages

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Authentication seal for EU, Consular Authentication for China), and hand off to the case holder's overseas counsel. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 15 · Country-specific notes

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Customers do not travel themselves. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 16 · Digital file storage under ISO/IEC 27001 information-security standard

Two-column side-by-side certified translation format places source and official rendering in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Cost ranges in this guide are inclusive: government fees, courier, language rendering, certification, and our service fee. The single line item that can vary is destination-diplomatic mission fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 17 · Original and controlled-copy handling

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Engaged parties may invoke Right to Erasure at any time. Every staff member signs an NDA. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to certification the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 18 · Parallel-copy preparation for multi-destination filings

Medical record official rendering for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-translated copy cases that single-translator shops cannot detect.

Topic 19 · Choosing the right certification for your destination

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. We routinely handle files for case holders who never set foot in Thailand. The Remote POA workflow — notary in your country, Hague-stamp, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 20 · Lawyer-certified true copies

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Additional frequently asked questions

Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
