Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Passport name-match verification

Each destination has its own quirks: the US wants state-level Document attestation, the UK uses FCDO Certificate authentication, Australia accepts NAATI without Document attestation, China requires diplomatic mission authentication, Japan often demands consular post-aligned language rendering. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 02 · Choosing the right certification for your destination

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 03 · Document risk assessment criteria

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Service users track status 24/7 via reference number. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate service users who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 04 · Lawyer-certified true copies

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Certificate authentication / Authentication → Destination Diplomatic mission — full chain delivered in 7-10 business days. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 05 · Payment and tax invoice

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Document attestation for EU, Consular Apostille for China), and hand off to the applicant's overseas counsel. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 06 · Probate and inheritance documents across multiple jurisdictions

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + duly verified official rendering + destination consular post attestation — full chain delivered in 5-7 business days with consulate coordination included. We document everything for repeat commercial. If you used us in 2024 for a marriage registration and come back in 2026 to Hague-stamp the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 07 · Sample cases and lessons learned

Diplomatic mission authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. Common destination-specific traps: USCIS rejects official renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 08 · The team behind your file and their credentials

Applicants access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 09 · Cross-border Power of Attorney drafting and authentication

Two-column side-by-side language rendering format places source and language rendering in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Cost ranges in this guide are inclusive: government fees, courier, language rendering, certification, and our service fee. The single line item that can vary is destination-consular post fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 10 · Add-on services worth considering

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and language renderings end-to-end. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 11 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. Pricing transparency matters: every quote breaks out government fees, courier, certified translation surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 12 · Scholarship and research grant documentation packages

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry case holders (1–2 extra business days). Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed customers make better filings.

Topic 13 · Service fees and turnaround time

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Engaged parties do not travel themselves. Our translated copy team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Topic 14 · Quality standards and accuracy guarantee

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column certified translation that preserves table formatting — handled by our specialised finance language conversion workflow. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 15 · Original and controlled-copy handling

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Customers may invoke Right to Erasure at any time. Every staff member signs an NDA. Corporate engaged parties receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for engaged partys with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 16 · Parallel-copy preparation for multi-destination filings

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Foreign applicants regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 17 · Citizenship application and renunciation document handling

When engaged parties need the same documents in multiple destination countries, we prepare parallel copy sets with Document attestation / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. Foreign case holders should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the case holder's preferred channel. We answer within two business hours during Bangkok working time.

Topic 18 · Professional licence applications for overseas regulators

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. Many destinations now require document attestation in addition to language rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 19 · Coordination with government agencies

Corporate engaged parties receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests engaged partys agree.

Topic 20 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Customers quoted before a change pay the older rate; service users quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Certificate authentication adding 2 more commercial days for international use. Professional indemnity insurance covers up to THB 10 million per matter through a tier-1 Thai insurer, with policy schedule available to corporate applicants on request. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. MFA Consular Affairs (Chaeng Wattana) processes Apostilles in 2 corporate days standard, 1 business day rush, with a flat THB 200 government fee per page. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's embassy, MFA-legalized language conversion, then registration at any district office. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, diplomatic mission fee receipt with obscured date, and incorrect translator certification format.

US, Australian, Canadian, and UK courts require the translator's sworn statement before a notary attesting that the translation is complete and accurate. Without it the filing is rejected on intake.

Additional frequently asked questions

Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
