Complete guide: Apostille Thailand — MFA Department of Consular Affairs Apostille for 130 Hague Convention Contracting Parties (enters into force 28 February 2027)

Topic 01 · Digital file storage under ISO/IEC 27001 information-security standard

Frequent add-ons: MFA apostille, destination diplomatic mission authentication, NAATI translated copy for Australia, MoJ language conversion for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. Corporate customers receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for customers with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 02 · Original and controlled-copy handling

Consular post authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 03 · Service coverage and document pickup options

Our attorneys can issue Officially recognized True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. Common destination-specific traps: USCIS rejects certified translations that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 04 · Passport name-match verification

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international engaged parties. Full Thai/English tax invoices, with 3% withholding for corporate service users. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to authentication seal the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 05 · International courier (DHL/FedEx) with full-value damage insurance

Post-delivery we follow up: applicants confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Our official rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-translated copy cases that single-translator shops cannot detect.

Topic 06 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. We publish our internal QA stats quarterly to applicants on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests engaged parties agree.

Topic 07 · Coordination with government agencies

Medical record language conversion for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published diplomatic mission queue times by 40-60% on average.

Topic 08 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 09 · Confidentiality and personal data (PDPA) handling

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + officially recognized diploma copy + translator-duly verified translated copy — couriered directly to the evaluation body. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 10 · Inter-country adoption documents under the Hague Adoption Convention

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside officially recognized official rendering and MFA authentication in a single engagement. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 11 · Documents and information you need to prepare

An Affidavit of Translated copy Accuracy is the translator's sworn statement before a notary that the certified translation is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 12 · Cross-border Power of Attorney drafting and authentication

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves engaged parties five-figure sums in repeat fees.

Topic 13 · Add-on services worth considering

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. Many destinations now require authentication in addition to language conversion since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 14 · Embassy and consular re-legalization

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 15 · Backup-set preparation to mitigate document loss in transit

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Engaged parties may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 16 · Country-specific notes

Engaged parties access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Foreign engaged parties should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two business hours during Bangkok working time.

Topic 17 · Digital Nomad Visa and Remote Work Visa document stacks

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column official rendering that preserves table formatting — handled by our specialised finance official rendering workflow. For complex chains — language conversion + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the diplomatic mission's name on file.

Topic 18 · Professional licence applications for overseas regulators

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Engaged parties may invoke Right to Erasure at any time. Every staff member signs an NDA. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 19 · Asset documentation for outbound FDI and treasury filings

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Certificate authentication / Consular endorsement → Destination Consulate — full chain delivered in 7-10 business days. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 20 · Payment and tax invoice

We give service users a comparison matrix per case: Hague-stamp vs MFA + Consulate, generalist vs MoJ vs NAATI translator, DIY diplomatic mission vs full-service — with prices, timelines, and constraints side by side. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Engaged parties quoted before a change pay the older rate; customers quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Additional frequently asked questions

Does Thailand have a Notary Public in the common-law sense?
Thailand has no common-law notary. The equivalent is a Notarial Services Attorney registered with the Lawyers Council of Thailand under Royal Patronage. Foreign authorities, embassies and universities generally accept this attestation where a notarised document is required. Scope and requirements are confirmed case by case by phone, LINE or email.
Do I have to sign in person before the attorney?
For signature attestation, yes — the signer must appear with an original passport or Thai ID card and sign in the attorney's presence. Certified true copies and certain fact attestations can be handled from originals without a fresh signature, depending on what the receiving authority requires.
Can the attestation be used abroad immediately?
It depends on the destination. Many countries additionally require legalisation by the Department of Consular Affairs, Ministry of Foreign Affairs, and sometimes by their own embassy in Bangkok. Confirm the receiving party's chain before starting so the work is not repeated.
Do Thai-language documents need translation first?
If the recipient is a foreign authority, an English translation (or the official language of that country) is normally required, and the translation itself may need certification. The correct order is translate, certify the translation, then legalise.
What is needed to certify corporate documents?
Typically a company affidavit issued by the Department of Business Development within the recency window the recipient allows, ID or passport of the authorised director, the company seal if one is used, and the document to be attested. Scope and requirements are confirmed case by case by phone, LINE or email.
How long does an attested document stay valid?
The attestation itself has no expiry, but recipients such as embassies, banks and universities commonly require documents issued within the last 3–6 months. Always check the recipient's recency rule first.

How this connects to the next step

A notarised document rarely travels alone: most receiving authorities also require consular legalization at the Department of Consular Affairs (MFA), and for non-Hague destinations one further step of attestation by the destination country's embassy in Bangkok. The order of these steps cannot be swapped.

In depth: the real requirements and why documents get rejectedNotary Public

Written from the competent authority's published rules, not marketing copy.

A notarial certification issued in Thailand by a Notarial Services Attorney does not attest that the statements inside a document are true. It attests to procedural facts: that the signatory appeared in person, presented valid identification, and signed in the certifier's presence. Receiving authorities abroad read the certificate wording first, and that wording is where most files fail.

Conditions you actually have to clear

  • If the signatory cannot read the language of the instrument, an interpreter must be present and that fact recorded in the certificate.
  • The signatory must appear in person with an unexpired passport or national ID card; a scan sent in advance cannot substitute for appearance.
  • When signing for a company, a recently issued company affidavit and evidence of signing authority consistent with the registered restrictions are required.

Common causes of rejection

  • Name spellings that differ from the passport, even by a diacritic or the ordering of a middle name, are enough to justify refusal.
  • A company affidavit older than the destination's accepted age leaves signing authority unproven as at the certification date.

Once the destination country and the receiving office are known, the required certificate form and the following steps can be fixed immediately. Having our team review the case first substantially reduces repeat work.

  2. 2The original document to be notarised — do not sign in advance; signing must occur before the attorney
  3. 3Details of the receiving authority — university, embassy, or overseas counterparty
  4. 4Company affidavit and power of attorney if signing for a legal entity

Before you start

  • Check that the person's name is spelled identically across every document, or the receiving authority may reject the file.
  • Multi-page documents should be bound and cross-sealed at the joints before certification.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • Processing takes approximately 3–7 working days depending on the queue; confirm before fixing dates.
  • Submit recently issued originals from the issuing authority, not old stored photocopies.
  • Keep an image of the Apostille; some countries allow online verification by register number.
  • Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table).
  • Private documents such as powers of attorney or affidavits must first be signature-certified by a Notarial Services Attorney.

Pitfalls — why documents get rejected

  • Assuming the Apostille certifies content — it certifies only signature, capacity and seal.
  • The destination requires its own official language but only English was prepared.
  • Planning with no allowance for the authority's queue.
  • Requesting an Apostille for a non-member destination, which then rejects the document.
  • Filing private documents without prior signature certification.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.

What we handled: reviewed the source documents and flagged which ones needed re-issuing before work began · delivered a scanned set plus the originals with lodgement instructions · tracked progress between steps and reported status along the way · prepared the translation and reconciled every name spelling against the passport
