Complete guide: Certified Translation Services in 33+ Languages

Topic 01 · Scholarship and research grant documentation packages

Our team includes Notarial Services Attorneys registered with the Lawyers Council, Ministry of Justice–listed translators, NAATI Officially recognized translators, and dedicated diplomatic mission liaison officers. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 02 · Service fees and turnaround time

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official diplomatic mission sources — service users get precise pre-filing guidance and avoid wrong-document-type submission. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound filing traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 03 · Post-delivery follow-up

Frequent add-ons: MFA apostille, destination diplomatic mission authentication, NAATI language conversion for Australia, MoJ official rendering for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Case holders quoted before a change pay the older rate; customers quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 04 · Original and controlled-copy handling

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + officially recognized diploma copy + translator-duly verified language rendering — couriered directly to the evaluation body. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to authentication seal the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 05 · Service coverage and document pickup options

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Service users do not travel themselves. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 06 · Digital Nomad Visa and Remote Work Visa document stacks

Each destination has its own quirks: the US wants state-level Document attestation, the UK uses FCDO Certificate authentication, Australia accepts NAATI without Hague-stamp, China requires consular post authentication, Japan often demands consular post-aligned language conversion. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 07 · International courier (DHL/FedEx) with full-value damage insurance

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / consular post fee. Combined team experience exceeds 50 years. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed customers make better filings.

Topic 08 · Professional licence applications for overseas regulators

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Authentication seal, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 09 · Coordination with government agencies

Medical record translated copy for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Common destination-specific traps: USCIS rejects language conversions that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 10 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 11 · Probate and inheritance documents across multiple jurisdictions

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two corporate days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 12 · Inter-country adoption documents under the Hague Adoption Convention

Consulate authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. For complex chains — certified translation + lawyer certification + MFA + destination diplomatic mission + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the embassy's name on file.

Topic 13 · Cross-border corporate document stack — Apostille + Embassy combo

Our attorneys can issue Officially recognized True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language rendering must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 14 · Comparison of client options

Corporate engaged parties receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. Foreign service users regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 15 · Add-on services worth considering

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-attested and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. Many destinations now require certificate authentication in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 16 · Relevant legal requirements

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column language conversion that preserves table formatting — handled by our specialised finance language rendering workflow. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Customers may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 17 · Country-specific notes

Post-delivery we follow up: case holders confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: translated copy is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before diplomatic mission submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 18 · Quality standards and accuracy guarantee

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 19 · Name-match resolution via Affidavit of One and the Same Person

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry applicants (1–2 extra business days). We publish our internal QA stats quarterly to customers on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests case holders agree.

Topic 20 · Passport name-match verification

Digital Nomad Visas (Portugal, Spain, Italy, Estonia) and Remote Work Visas (Dubai, Barbados, Bermuda) require Proof of Income, Health Insurance, Background Check, and Education Certificate — all Certificate authenticationd. We deliver the full stack. Our official rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-translated copy cases that single-translator shops cannot detect.

BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Attested translators, and dedicated consulate-liaison officers. MFA Consular Affairs (Chaeng Wattana) processes Authentication seals in 2 business days standard, 1 enterprise day rush, with a flat THB 200 government fee per page. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, consular post fee receipt with obscured date, and incorrect translator certification format. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. All applicant paperworks are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Consular endorsement adding 2 more corporate days for international use. Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. Who certifies Persian (Farsi) ↔ Thai Certified Translation?
Notarial work is certified by Lawyers Council–licensed attorneys; translation work is certified by Ministry of Justice–listed translators.
Can clients abroad use this service without travelling to Thailand?
Yes. Notarise documents in your home country with local Apostille, courier the originals to us, and we run the full Thai-side workflow and return everything by DHL or FedEx within the agreed window.
If a document is Apostilled, does it still need embassy attestation?
Only if the destination is not a Hague 1961 member (e.g. China, certain UAE cases). Hague-member destinations accept the Apostille directly without embassy involvement.
Why is an Affidavit of Translation Accuracy required?
US, Australian, Canadian, and UK courts require the translator's sworn statement before a notary attesting that the translation is complete and accurate. Without it the filing is rejected on intake.
Will my originals be returned?
Yes, returned with every completed job via registered EMS or messenger, with end-to-end tracking.
How do I engage you from abroad?

Additional frequently asked questions

How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.

Common causes of rejection

  • Reusing an earlier translation when the original has been reissued under a different number and date.
  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

  • Commercial documents usually need Board of Trade certification before the embassy stage.

  • Confirm which translation language and which translators the embassy accepts.

Pitfalls — why documents get rejected

  • No prior appointment at an appointment-only mission.
  • Sending documents abroad without trackable delivery.
  • Ignoring destination-country public holidays when planning.

Answers follow the competent authority's published requirements, not marketing copy.

How long does Embassy legalisation take?

Turnaround is not fixed: it depends on the queue and rules of The destination country's embassy or consulate, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Embassy legalisation expire?

Validity is set by the receiving office, not by the service provider. Must the applicant appear in person for Embassy legalisation, or can it be delegated?

It depends on the rules of The destination country's embassy or consulate and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Embassy legalisation on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by The destination country's embassy or consulate under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Embassy legalisation be prepared to pass on the first submission?

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
