Key takeaways

  • Thai official documents must be originals or copies certified by the issuing agency
  • Translations must match the original exactly, otherwise the file can be rejected
  • Many countries additionally require destination-embassy legalization afterwards
  • Fees and timelines follow the Department of Consular Affairs' published notices

Process at a glance

StepPerformed byDocuments neededApproximate time
1. Obtain the original or certified copy of the Thai documentIssuing agency (district office, DOPA, etc.)ID/passport + request formapprox. 1–5 working days
2. Translate the document exactlyTranslator accepted by the Department of Consular AffairsOriginal + passport copy (matching name spelling)approx. 1–3 working days
3. File for legalization of the document and translationDepartment of Consular Affairs, MFAOriginal + translation + application formapprox. 2–5 working days (standard service)
4. Destination-embassy legalization where requiredEmbassy or consulate of the destination countryMFA-legalized fileapprox. 1–10 working days

Durations are estimates and depend on the responsible authority's queue. Always confirm current requirements with the receiving body before filing.

How this connects to the next step

Each embassy sets its own translation format and copy count, so prepare the certified translation in that mission's required language pair in advance and confirm the file already carries Thai MFA consular legalization — without it, the counter will refuse intake.

In depth: the real requirements and why documents get rejectedEmbassy legalisation

Written from the competent authority's published rules, not marketing copy.

Each mission sets its own translation format, copy count, and appointment method. These requirements differ even for identical document types, so experience with another country's mission is a poor guide.

Conditions you actually have to clear

  • Once certified, the file usually may not be separated or partially copied for use.
  • The document must be legalised by the Department of Consular Affairs before the mission will consider it.
  • Many missions require the translation to be in their official language rather than English.

Common causes of rejection

  • Underestimating consecutive public holidays in the destination country.
  • Preparing an English translation when the mission requires its own official language.

Confirm the mission's current requirements before commissioning translation, since translation format is the hardest element to change later. Our team can map the whole chain with you by phone, LINE, or email.

How to translate foreign bank loan guarantee agreement documents?

Certified translation

Quick summary for expats, HR teams and law firms to "How to translate foreign bank loan guarantee agreement documents?" — Multi-language certified translation for use in Thailand runs in three layers: translation by a native/MFA-recognised translator, a certificate of accuracy sealed by the translation company or a Notary Public lawyer, then MFA legalisation of that translation. Government fees are THB 200 per stamp for the normal service (2–3 business days) and THB 400 per stamp for same-day express (filed before 11:30); translation itself is priced per page/word and by language rarity. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) confirm whether the receiving body wants an Apostille or embassy legalisation; (2) obtain the certified original from the issuing authority; (3) translate through an accepted translator; (4) certify translation and signature; (5) keep high-resolution colour scans of every page before the file leaves Thailand. What to prepare: the original, a signed certified-true copy, a completed application form, a contact number reachable during office hours, and the name of the destination authority so the correct certification format is applied. Common pitfall: official fees and service windows change. Verify the current rate and turnaround directly with the certifying authority before you fix a budget or a travel date. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

Living in Rayong, do I have to travel to Bangkok for certified translation of official documents, or can documents be couriered both ways?

Certified translation

How we handle this in practice to "Living in Rayong, do I have to travel to Bangkok for certified translation of official documents, or can documents be couriered both ways?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so outbound documents to member states need one Apostille from MFA instead of a destination-embassy step, except for states that objected to the accession. We cover English, Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Portuguese, Russian, Italian, Arabic, Persian, Turkish, Hindi, Vietnamese, Myanmar, Lao, Khmer, Indonesian, Malay, Tagalog, Dutch, Swedish, Danish, Finnish and Eastern European languages. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) confirm the original was issued by the competent authority and is still within the accepted validity window; (2) have it translated by a translator the destination accepts; (3) obtain certification of the signature/translation; (4) add destination-embassy legalisation only where Apostille is not accepted; (5) proof names, dates and reference numbers before dispatch. What to prepare: the original or a certified extract from the issuing authority, a copy of the holder's ID or passport, a power of attorney if someone files on your behalf, and the exact English spelling of every name as it appears in the passport. Common pitfall: self-made or machine translations are usually refused — reviewers check the letterhead, the translator's certification wording, and whether every stamp on the original has been rendered. Practitioner's tip: send us photographs of the documents before work begins. We will confirm the correct chain, an honest timeline, and anything still missing so you do not lose a filing slot.

How can the attorney's seal and registration on cross-border bank forms and loan documents be verified?

Notary Public

Short answer to "How can the attorney's seal and registration on cross-border bank forms and loan documents be verified?" — You must sign in front of the attorney with your original passport; the attorney affixes the notarial seal, signature, register number and date so the document is accepted abroad. The notarised document remains valid indefinitely, but consulates and banks abroad usually accept it only within 3–6 months of issuance. Send a photo of your document to LINE @Thainotary and we'll quote and schedule within 15 minutes. What to prepare: the original, the translation kept unbound from the source until certification, passport copies of every person named in the document, and any relationship evidence such as a house registration or marriage certificate if the destination asks for it. Common pitfall: many destinations accept documents only within 3–6 months of issue or certification. Missing that window means re-issuing and re-certifying the entire set, so plan backwards from the real filing date. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

What technical differences distinguish Simplified and Traditional Chinese translations for official use?

Certified translation

Practitioner's view to "What technical differences distinguish Simplified and Traditional Chinese translations for official use?" — Inbound chain for foreign documents: notarisation or Apostille in the country of origin → that country's embassy in Bangkok (non-Apostille states only) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts accept the file. Multi-language certified translation for use in Thailand runs in three layers: translation by a native/MFA-recognised translator, a certificate of accuracy sealed by the translation company or a Notary Public lawyer, then MFA legalisation of that translation. Free consultation on LINE @Thainotary or call 094-895-8999 (Mon–Sun 08:00–20:00 ICT). Process in brief: (1) tell us the destination country and purpose so the correct chain is set from day one; (2) re-issue the original if it is older than the destination's limit; (3) translate and proofread twice against the source; (4) certify in the correct order; (5) return the sealed set with a digital copy for your records. What to prepare: the original or a certified extract from the issuing authority, a copy of the holder's ID or passport, a power of attorney if someone files on your behalf, and the exact English spelling of every name as it appears in the passport. Common pitfall: states that objected to Thailand's accession to the Apostille Convention still require destination-embassy legalisation, so confirm the destination's position before starting. Practitioner's tip: send us photographs of the documents before work begins. We will confirm the correct chain, an honest timeline, and anything still missing so you do not lose a filing slot.

If certified copies of a degree and academic transcript will be used as evidence in a foreign court, what additional form of attestation is usually demanded?

Notary Public

Short answer to "If certified copies of a degree and academic transcript will be used as evidence in a foreign court, what additional form of attestation is usually demanded?" — You must sign in front of the attorney with your original passport; the attorney affixes the notarial seal, signature, register number and date so the document is accepted abroad. The notarised document remains valid indefinitely, but consulates and banks abroad usually accept it only within 3–6 months of issuance. Send a photo of your document to LINE @Thainotary and we'll quote and schedule within 15 minutes. Practitioner's tip: give us your travel or filing deadline up front. We plan backwards and pick the service tier that lands on time without paying for unnecessary express handling.

Does the receiving authority require a sworn translator or an agency certification for translated admission files and statements of purpose?

Certified translation

How we handle this in practice to "Does the receiving authority require a sworn translator or an agency certification for translated admission files and statements of purpose?" — Inbound chain for foreign documents: notarisation or Apostille in the country of origin → that country's embassy in Bangkok (non-Apostille states only) → Thai translation → MFA certification, after which DBD, district offices, Immigration and the Thai courts accept the file. Multi-language certified translation for use in Thailand runs in three layers: translation by a native/MFA-recognised translator, a certificate of accuracy sealed by the translation company or a Notary Public lawyer, then MFA legalisation of that translation. Send a photo of the document to LINE @Thainotary and we quote the language pair, chain, cost and timeline within 15 minutes. What to prepare: the original, the translation kept unbound from the source until certification, passport copies of every person named in the document, and any relationship evidence such as a house registration or marriage certificate if the destination asks for it. Common pitfall: never unstaple or re-bind a certified set. Removing the staple is treated as breaking the seal and the destination may reject the whole file; photocopy without dismantling it. Practitioner's tip: keep colour scans of every certified page. If a courier loses the set, digital copies make re-issue and verification dramatically faster.

How are international government procurement contracts involving foreign entities legalized?

Consular / Apostille

Quick summary for expats, HR and law firms to "How are international government procurement contracts involving foreign entities legalized?" — You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Standard outbound chain: original from the issuing Thai authority → certified English translation → MFA certification of the translation/signature → destination-embassy legalisation in Bangkok (only for non-Apostille countries). Send a photo of the document to LINE @Thainotary and we will quote the chain, cost and timeline within 15 minutes. What to prepare: the full original set, colour scans of every page for translation proofing, an English spelling list for all people and place names, and any extra items listed on the destination authority's own checklist. Common pitfall: states that objected to Thailand's accession to the Apostille Convention still require destination-embassy legalisation, so confirm the destination's position before starting. Practitioner's tip: if the same document is needed by several authorities, produce all copies in one round — it saves time and keeps the certification format consistent across the sets.

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Confirm which translation language and which translators the embassy accepts.
  • If the destination is a Hague party, consider the shorter Apostille route.
  • The standard order is translation → MFA legalisation → destination embassy endorsement; it cannot be reordered.
  • Check copy counts, forms and booking methods directly with the embassy, as these vary widely.
  • Some countries have no mission in Thailand and are covered from a neighbouring country — allow for document transit.

Pitfalls — why documents get rejected

  • Preparing fewer copies than the embassy requires.
  • No prior appointment at an appointment-only mission.
  • Sending documents abroad without trackable delivery.
  • Ignoring destination-country public holidays when planning.
  • Filing at the embassy before MFA legalisation.

In-depth questions and answersEmbassy legalisation

Answers follow the competent authority's published requirements, not marketing copy.

Where can the current requirements for Embassy legalisation be verified?

The official sources used on this page are https://consular.mfa.go.th/th/publicservice/legalization · https://www.hcch.net/en/instruments/conventions/status-table/?cid=41. What if our Embassy legalisation case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with The destination country's embassy or consulate. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Must the applicant appear in person for Embassy legalisation, or can it be delegated?

Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by The destination country's embassy or consulate under its published schedule. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
