Additional frequently asked questions

What about countries outside the Convention?
Non-member states, including several Middle Eastern and Asian countries, still use the two-step chain: certification by the Department of Consular Affairs followed by certification at that country's embassy in Thailand.
Can a representative file on my behalf?
Yes. A power of attorney in the form accepted by the Department of Consular Affairs is required, together with ID or passport copies of both the grantor and the representative. Scope and requirements are confirmed case by case by phone, LINE or email.
How are foreign documents used inside Thailand?
Obtain an Apostille from the competent authority in the issuing country, then have the document translated into Thai and the translation certified as the Thai receiving authority requires.
Can Thailand issue an Apostille now?
Thailand acceded to the 1961 Hague Apostille Convention, which entered into force for Thailand on 28 February 2026. The competent authority is the Department of Consular Affairs, Ministry of Foreign Affairs. Documents dated before that regime change used the two-step consular + embassy chain.
How does an Apostille differ from consular legalisation?
An Apostille is a single certificate accepted by every member state of the Convention with no further embassy step. Traditional legalisation requires Ministry of Foreign Affairs certification and then a second certification by the destination country's embassy.
Which documents can receive an Apostille?
Public documents such as birth certificates, house registration, marriage certificates, police clearance certificates and educational records verified by their issuing body, plus private documents whose signatures have been attested by an authorised officer.

How this connects to the next step

Check that your translation is one the Department of Consular Affairs will accept — this is why many clients use the combined translation and legalization package, or, when the receiving country insists on a registered linguist, sworn translator work.

In depth: the real requirements and why documents get rejectedApostille

Written from the competent authority's published rules, not marketing copy.

Thailand's accession to the Hague Convention Abolishing the Requirement of Legalisation for Foreign Public Documents allows Thai public documents to be used in other contracting states with an Apostille certificate rather than a further embassy legalisation. The Apostille certifies the origin of the document, the signature, and the seal — never the content.

Conditions you actually have to clear

  • An Apostille is bound to one specific document; copying the certificate onto another document has no effect.
  • Some receiving bodies count document age from the issue date of the underlying document, not from the Apostille date.
  • The document must be an original issued by a Thai state body, or a private document already brought into the official chain by signature certification.

Common causes of rejection

  • Translating after the Apostille is issued, which leaves the translation outside the certified chain.
  • Substituting a self-certified copy for an authority-issued original, so the document never qualifies as a public document.

Confirm two points with the receiving party before starting: whether that country accepts an Apostille, and what translation format is required. With those answers the whole chain can be completed in one pass. Our team can review your case by phone, LINE, or email.

How to process psychotropic and narcotic substance import license translations?

Certified translation

Per the Legalization Division, Department of Consular Affairs (MFA Thailand) to "How to process psychotropic and narcotic substance import license translations?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so outbound documents to member states need one Apostille from MFA instead of a destination-embassy step, except for states that objected to the accession. We cover English, Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Portuguese, Russian, Italian, Arabic, Persian, Turkish, Hindi, Vietnamese, Myanmar, Lao, Khmer, Indonesian, Malay, Tagalog, Dutch, Swedish, Danish, Finnish and Eastern European languages. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) confirm whether the receiving body wants an Apostille or embassy legalisation; (2) obtain the certified original from the issuing authority; (3) translate through an accepted translator; (4) certify translation and signature; (5) keep high-resolution colour scans of every page before the file leaves Thailand. What to prepare: the full original set, colour scans of every page for translation proofing, an English spelling list for all people and place names, and any extra items listed on the destination authority's own checklist. Common pitfall: never unstaple or re-bind a certified set. Removing the staple is treated as breaking the seal and the destination may reject the whole file; photocopy without dismantling it. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

What is the safest way to courier the legalised a medical certificate or health report for a visa or work permit abroad, and how is a replacement obtained if it is lost in transit?

Consular / Apostille

Practitioner's view to "What is the safest way to courier the legalised a medical certificate or health report for a visa or work permit abroad, and how is a replacement obtained if it is lost in transit?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so documents destined for member states now need a single Apostille from MFA — no destination-embassy step, except for states that objected to Thailand's accession. You never need to attend Chaeng Watthana yourself — we file under a power of attorney, track the queue, and courier the sealed originals back by EMS or DHL worldwide. Send a photo of the document to LINE @Thainotary and we will quote the chain, cost and timeline within 15 minutes. Process in brief: (1) assemble the complete file before filing — partial filings lose a queue slot; (2) match every spelling to the passport; (3) file the whole set together so the stamps carry one date; (4) inspect the stamps at the counter; (5) ship with tracked delivery. What to prepare: an intact original that is not torn or laminated, evidence of any name change where the document does not match your current name, a passport copy, and a power of attorney with ID copies of both grantor and agent. Common pitfall: never unstaple or re-bind a certified set. Removing the staple is treated as breaking the seal and the destination may reject the whole file; photocopy without dismantling it. Practitioner's tip: keep colour scans of every certified page. If a courier loses the set, digital copies make re-issue and verification dramatically faster.

Consular / Apostille

How we handle this in practice to "What verification procedures apply to foreign university transcripts lacking standard registrar stamps?" — Thai consular legalisation is performed by the Legalization Division, Department of Consular Affairs, Ministry of Foreign Affairs, at Government Complex Chaeng Watthana (Building B), plus MRT Khlong Toei and regional counters. Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so documents destined for member states now need a single Apostille from MFA — no destination-embassy step, except for states that objected to Thailand's accession. Common pitfall: many destinations accept documents only within 3–6 months of issue or certification. Missing that window means re-issuing and re-certifying the entire set, so plan backwards from the real filing date. Practitioner's tip: treat the destination authority's own published checklist as the final reference; country-specific rules change, and we will review that checklist with you before filing.

How to process death certificates and coroner autopsy report translations?

Certified translation

Quick summary for expats, HR teams and law firms to "How to process death certificates and coroner autopsy report translations?" — MFA Thailand only certifies the Thai–English pair, so a third-language original is either relayed through English or translated directly into Thai with a signed translator declaration attached to every page. Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so outbound documents to member states need one Apostille from MFA instead of a destination-embassy step, except for states that objected to the accession. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) check whether a parent authority must endorse the document first — a school, hospital or line department; (2) translate into the required language; (3) certify the translation; (4) complete the next certification layer; (5) submit within the validity window the destination accepts. What to prepare: the full original set, colour scans of every page for translation proofing, an English spelling list for all people and place names, and any extra items listed on the destination authority's own checklist. Common pitfall: many destinations accept documents only within 3–6 months of issue or certification. Missing that window means re-issuing and re-certifying the entire set, so plan backwards from the real filing date. Practitioner's tip: give us your travel or filing deadline up front. We plan backwards and pick the service tier that lands on time without paying for unnecessary express handling.

Living in Rayong, do I have to travel to Bangkok for certified translation of official documents, or can documents be couriered both ways?

Certified translation

How we handle this in practice to "Living in Rayong, do I have to travel to Bangkok for certified translation of official documents, or can documents be couriered both ways?" — Thailand deposited its instrument of accession to the Hague Apostille Convention on 30 June 2026, with entry into force for Thailand on 28 February 2027, so outbound documents to member states need one Apostille from MFA instead of a destination-embassy step, except for states that objected to the accession. We cover English, Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Portuguese, Russian, Italian, Arabic, Persian, Turkish, Hindi, Vietnamese, Myanmar, Lao, Khmer, Indonesian, Malay, Tagalog, Dutch, Swedish, Danish, Finnish and Eastern European languages. Door-to-door pickup in Bangkok and DHL dispatch worldwide — call 094-895-8999. Process in brief: (1) confirm the original was issued by the competent authority and is still within the accepted validity window; (2) have it translated by a translator the destination accepts; (3) obtain certification of the signature/translation; (4) add destination-embassy legalisation only where Apostille is not accepted; (5) proof names, dates and reference numbers before dispatch. What to prepare: the original or a certified extract from the issuing authority, a copy of the holder's ID or passport, a power of attorney if someone files on your behalf, and the exact English spelling of every name as it appears in the passport. Common pitfall: self-made or machine translations are usually refused — reviewers check the letterhead, the translator's certification wording, and whether every stamp on the original has been rendered. Practitioner's tip: send us photographs of the documents before work begins. We will confirm the correct chain, an honest timeline, and anything still missing so you do not lose a filing slot.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • Keep an image of the Apostille; some countries allow online verification by register number.
  • Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table).
  • Private documents such as powers of attorney or affidavits must first be signature-certified by a Notarial Services Attorney.
  • Thai-language documents normally require a certified translation before the Apostille is issued.
  • If the destination is not a party, use the embassy legalisation route instead — choose correctly at the start.

Pitfalls — why documents get rejected

  • Planning with no allowance for the authority's queue.
  • Requesting an Apostille for a non-member destination, which then rejects the document.
  • Filing private documents without prior signature certification.
  • Filing a translation that has not been certified.
  • Using copies not issued by the competent authority.

It depends on the rules of Department of Consular Affairs, Ministry of Foreign Affairs and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Apostille certification on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by Department of Consular Affairs, Ministry of Foreign Affairs under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
