Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Workflow from intake to delivery

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + attested diploma copy + translator-officially recognized official rendering — couriered directly to the evaluation body. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed customers make better filings.

Topic 02 · Medical record handling for international insurance claims

Service users access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 03 · Passport name-match verification

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international applicants. Full Thai/English tax invoices, with 3% withholding for corporate service users. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to authentication seal the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 04 · Citizenship application and renunciation document handling

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / consular post fee. Combined team experience exceeds 50 years. Corporate applicants receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for case holders with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 05 · Professional licence applications for overseas regulators

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consular post quirks.

Topic 06 · Asset documentation for outbound FDI and treasury filings

When service users need the same documents in multiple destination countries, we prepare parallel copy sets with Document attestation / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. For complex chains — certified translation + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the consulate's name on file.

Topic 07 · Accounting and financial statements for cross-border business

Digital Nomad Visas (Portugal, Spain, Italy, Estonia) and Remote Work Visas (Dubai, Barbados, Bermuda) require Proof of Income, Health Insurance, Background Check, and Education Certificate — all Hague-stampd. We deliver the full stack. Our translated copy team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Topic 08 · Confidentiality and personal data (PDPA) handling

Corporate case holders receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the official rendering must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 09 · Signature and seal verification against the Notary Worldwide database

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 10 · The team behind your file and their credentials

Our attorneys can issue Attested True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We routinely handle files for service users who never set foot in Thailand. The Remote POA workflow — notary in your country, Hague-stamp, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 11 · Comparison of client options

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column language rendering that preserves table formatting — handled by our specialised finance translated copy workflow. Common destination-specific traps: USCIS rejects certified translations that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 12 · Single-status / never-married affidavits for overseas marriage

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate case holders can request a Compliance Report on demand. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate customers who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 13 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. Many destinations now require Hague-stamp in addition to language conversion since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 14 · Scholarship and research grant documentation packages

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: language rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 15 · Service fees and turnaround time

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official diplomatic mission sources — case holders get precise pre-filing guidance and avoid wrong-document-type submission. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the case holder's preferred channel. We answer within two business hours during Bangkok working time.

Topic 16 · Digital file storage under ISO/IEC 27001 information-security standard

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Pricing transparency matters: every quote breaks out government fees, courier, language rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 17 · Destination Matrix: per-country document requirement analysis

Diplomatic mission authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 18 · International courier (DHL/FedEx) with full-value damage insurance

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside attested certified translation and MFA apostille in a single engagement. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 19 · Probate and inheritance documents across multiple jurisdictions

Two-column side-by-side language rendering format places source and certified translation in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consulate bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 20 · Inter-country adoption documents under the Hague Adoption Convention

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and language conversions end-to-end. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Key atomic facts — Translation + Notary + MFA + Norway Embassy Combo

Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, consulate fee receipt with obscured date, and incorrect translator certification format. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Duly verified translators, and dedicated consulate-liaison officers. Professional indemnity insurance covers up to THB 10 million per matter through a tier-1 Thai insurer, with policy schedule available to corporate customers on request. Standard turnaround is 1–3 business days for language rendering and certification; add 2–4 corporate days when MFA certification is required; add 2–5 business days when destination embassy authentication is required. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. Translated copy pricing is flat per page with no first-page premium; the same per-page rate applies whether the paperwork is one page or one hundred. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Payment channels include bank transfer, PromptPay, Visa/Mastercard/JCB, Stripe, Wise, and USD wire transfer; corporate case holders receive net-30 credit on retainer. NAATI-Authenticated translated copys are required for all official Australian Department of Home Affairs filings; translations must be issued within the prior 24 months. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise.

Additional frequently asked questions

Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
