Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Embassy and consular re-legalization

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 02 · Standard turnaround vs rush service

Required from the case holder: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. Our translated copy team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language rendering cases that single-translator shops cannot detect.

Topic 03 · Two-column side-by-side translation format for court submission

Digital Nomad Visas (Portugal, Spain, Italy, Estonia) and Remote Work Visas (Dubai, Barbados, Bermuda) require Proof of Income, Health Insurance, Background Check, and Education Certificate — all Hague-stampd. We deliver the full stack. Our liability insurance covers professional indemnity up to THB 10 million per matter, and we are happy to share the policy schedule with corporate applicants who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 04 · Post-delivery follow-up

Frequent add-ons: MFA certification, destination diplomatic mission authentication, NAATI official rendering for Australia, MoJ official rendering for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. Corporate case holders receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for engaged parties with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 05 · Workflow from intake to delivery

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + attested diploma copy + translator-officially recognized certified translation — couriered directly to the evaluation body. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language conversion must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 06 · Service coverage and document pickup options

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the case holder loses originals abroad, we courier a Authenticated True Copy within 24 hours — no need to restart the workflow. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 07 · Digital Nomad Visa and Remote Work Visa document stacks

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Document attestation + return courier, so we can act on your behalf for the entire chain. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 08 · International courier (DHL/FedEx) with full-value damage insurance

We run a pre-flight check before any MFA or diplomatic mission submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 09 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Engaged parties track status 24/7 via reference number. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed case holders make better filings.

Topic 10 · Lawyer-certified true copies

Our team includes Notarial Services Attorneys registered with the Lawyers Council, Ministry of Justice–listed translators, NAATI Authenticated translators, and dedicated diplomatic mission liaison officers. Common destination-specific traps: USCIS rejects language conversions that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 11 · Payment and tax invoice

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. Foreign service users regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 12 · Probate and inheritance documents across multiple jurisdictions

Consular post authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two corporate hours during Bangkok working time.

Topic 13 · Inter-country adoption documents under the Hague Adoption Convention

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consulate and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Customers do not travel themselves. For complex chains — language rendering + lawyer certification + MFA + destination diplomatic mission + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the embassy's name on file.

Topic 14 · The team behind your file and their credentials

Document attestation is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the authentication chain is required: Notary → MFA Thailand → Destination Consulate — we operate both pipelines daily. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 15 · Common mistakes and how to avoid them

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing duly verified documents and language conversions end-to-end. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 16 · Single-status / never-married affidavits for overseas marriage

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consulate sources — customers get precise pre-filing guidance and avoid wrong-document-type submission. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 17 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 18 · Backup-set preparation to mitigate document loss in transit

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to certificate authentication the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 19 · Service fees and turnaround time

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 20 · Name-match resolution via Affidavit of One and the Same Person

Medical record certified translation for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Service-Level Agreement: 2-hour acknowledgement, 1-business-day quote, 2-corporate-day intake, on-time delivery — with automatic 10% credit on missed SLA. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's diplomatic mission, MFA-legalized language rendering, then registration at any district office. Payment channels include bank transfer, PromptPay, Visa/Mastercard/JCB, Stripe, Wise, and USD wire transfer; corporate case holders receive net-30 credit on retainer. Foreign case holders can engage us entirely remotely via Power-of-Attorney: notarize in your country, Certificate authentication, courier to us, and we act on your behalf for the entire Thai-side chain. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate case holders, with same-month back-dating where allowed by law. MFA Consular Affairs (Chaeng Wattana) processes Authentication seals in 2 business days standard, 1 corporate day rush, with a flat THB 200 government fee per page. Standard turnaround is 1–3 business days for language conversion and certification; add 2–4 commercial days when MFA authentication is required; add 2–5 business days when destination consular post authentication is required. Same-day rush service is available for documents that do not require MFA certification, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 enterprise days, with Consular endorsement adding 2 more business days for international use. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Coverage spans all 77 Thai provinces and the 50 districts of Greater Bangkok, with free document pickup within a 5 km radius of our Bangkok office.

Additional frequently asked questions

What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
