Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Country-specific notes

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate applicants who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 02 · Quality standards and accuracy guarantee

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized language rendering + destination diplomatic mission attestation — full chain delivered in 5-7 business days with diplomatic mission coordination included. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves case holders five-figure sums in repeat fees.

Topic 03 · Name-match resolution via Affidavit of One and the Same Person

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. Many destinations now require Hague-stamp in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + diplomatic mission chain because their own implementation has not caught up.

Topic 04 · Medical record handling for international insurance claims

Service users access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 05 · Destination Matrix: per-country document requirement analysis

Authentication seal is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the apostille chain is required: Notary → MFA Thailand → Destination Diplomatic mission — we operate both pipelines daily. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Engaged parties may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 06 · Choosing the right certification for your destination

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / consular post fee. Combined team experience exceeds 50 years. We routinely handle files for case holders who never set foot in Thailand. The Remote POA workflow — notary in your country, Document attestation, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 07 · Professional licence applications for overseas regulators

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 08 · Lawyer-certified true copies

Our team includes Notarial Services Attorneys registered with the Lawyers Council, Ministry of Justice–listed translators, NAATI Authenticated translators, and dedicated consular post liaison officers. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two enterprise days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 09 · Payment and tax invoice

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Hague-stamp for EU, Consular Apostille for China), and hand off to the applicant's overseas counsel. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 10 · Affidavit of Translation Accuracy for foreign court submission

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 11 · Inter-country adoption documents under the Hague Adoption Convention

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 12 · Cross-border corporate document stack — Apostille + Embassy combo

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 commercial days. Same-Day rush is available at +100% with prior booking. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed case holders make better filings.

Topic 13 · Cross-border Power of Attorney drafting and authentication

Two-column side-by-side official rendering format places source and translated copy in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Corporate service users receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for applicants with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 14 · Notes for corporate and institutional clients

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and language renderings end-to-end. Foreign customers should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two business hours during Bangkok working time.

Topic 15 · Embassy and consular re-legalization

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Service users track status 24/7 via reference number. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 16 · Scholarship and research grant documentation packages

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry case holders (1–2 extra business days). If your matter touches a Thai court, immigration tribunal, or arbitration panel, the official rendering must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 17 · Post-delivery follow-up

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 18 · Original and controlled-copy handling

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + officially recognized diploma copy + translator-duly verified certified translation — couriered directly to the evaluation body. We publish our internal QA stats quarterly to service users on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests service users agree.

Topic 19 · Parallel-copy preparation for multi-destination filings

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column official rendering that preserves table formatting — handled by our specialised finance translated copy workflow. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 20 · Passport name-match verification

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and diplomatic mission-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; case holders quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate engaged parties, with same-month back-dating where allowed by law. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Consular endorsement adding 2 more corporate days for international use. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Same-day rush service is available for documents that do not require MFA apostille, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Officially recognized translators, and dedicated diplomatic mission-liaison officers. NAATI-Duly verified language renderings are required for all official Australian Department of Home Affairs filings; language renderings must be issued within the prior 24 months. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Thailand joined the Hague Authentication Convention on 28 February 2027, making Certificate authentication the standard authentication for documents bound to 130 Contracting Parties. All case holder filings are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise.

Additional frequently asked questions

Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
