Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Add-on services worth considering

We run a pre-flight check before any MFA or diplomatic mission submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. For complex chains — language conversion + lawyer certification + MFA + destination diplomatic mission + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the embassy's name on file.

Topic 02 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 03 · Standard turnaround vs rush service

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. We routinely handle files for case holders who never set foot in Thailand. The Remote POA workflow — notary in your country, Consular endorsement, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 04 · Two-column side-by-side translation format for court submission

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. Many destinations now require authentication seal in addition to language conversion since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 05 · Quality standards and accuracy guarantee

Certification choice depends on destination: Hague countries accept Certificate authentication direct; non-Hague routes use MFA + diplomatic mission; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two corporate days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 06 · Name-match resolution via Affidavit of One and the Same Person

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + officially recognized diploma copy + translator-duly verified official rendering — couriered directly to the evaluation body. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to certificate authentication the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 07 · Parallel-copy preparation for multi-destination filings

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-officially recognized and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. Foreign applicants regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 08 · Destination Matrix: per-country document requirement analysis

Document attestation is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the apostille chain is required: Notary → MFA Thailand → Destination Consular post — we operate both pipelines daily. Foreign service users should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the engaged party's preferred channel. We answer within two business hours during Bangkok working time.

Topic 09 · Choosing the right certification for your destination

An Affidavit of Language conversion Accuracy is the translator's sworn statement before a notary that the language rendering is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: translated copy is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 10 · Document risk assessment criteria

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. We publish our internal QA stats quarterly to customers on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests service users agree.

Topic 11 · Lawyer-certified true copies

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry customers (1–2 extra business days). Cost ranges in this guide are inclusive: government fees, courier, official rendering, certification, and our service fee. The single line item that can vary is destination-consular post fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 12 · Payment and tax invoice

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. Corporate case holders receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for applicants with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 13 · Confidentiality and personal data (PDPA) handling

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 14 · Signature and seal verification against the Notary Worldwide database

Each destination has its own quirks: the US wants state-level Authentication seal, the UK uses FCDO Certificate authentication, Australia accepts NAATI without Authentication seal, China requires diplomatic mission authentication, Japan often demands consulate-aligned language rendering. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 15 · Documents and information you need to prepare

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate case holders can request a Compliance Report on demand. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; customers quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 16 · Cross-border Power of Attorney drafting and authentication

When case holders need the same documents in multiple destination countries, we prepare parallel copy sets with Apostille / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. Common destination-specific traps: USCIS rejects translated copys that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 17 · Backup-set preparation to mitigate document loss in transit

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Document attestation for EU, Consular Authentication for China), and hand off to the engaged party's overseas counsel. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 18 · Country-specific notes

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 19 · Digital file storage under ISO/IEC 27001 information-security standard

Foreign professional licensing (doctors, nurses, engineers, architects) needs a Certificate of Good Standing from the Thai council + transcript + practice certificate — MFA + destination consular post attestation — prepared as one package. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 20 · Workflow from intake to delivery

Applicants access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Additional frequently asked questions

What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.

Common causes of rejection

  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.
  • Delivering the translation as a standalone file with no link to the source document.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • Thai-language documents normally require a certified translation before the Apostille is issued.
  • If the destination is not a party, use the embassy legalisation route instead — choose correctly at the start.
  • Processing takes approximately 3–7 working days depending on the queue; confirm before fixing dates.
  • Submit recently issued originals from the issuing authority, not old stored photocopies.
  • Keep an image of the Apostille; some countries allow online verification by register number.

Pitfalls — why documents get rejected

  • Filing a translation that has not been certified.
  • Using copies not issued by the competent authority.
  • Assuming the Apostille certifies content — it certifies only signature, capacity and seal.
  • The destination requires its own official language but only English was prepared.
  • Planning with no allowance for the authority's queue.

In-depth questions and answersApostille certification

Answers follow the competent authority's published requirements, not marketing copy.

Does the result of Apostille certification expire?

Validity is set by the receiving office, not by the service provider. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Apostille certification on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by Department of Consular Affairs, Ministry of Foreign Affairs under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Apostille certification be prepared to pass on the first submission?

The competent authority is Department of Consular Affairs, Ministry of Foreign Affairs. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which practices reduce correction rounds in Apostille certification?

Thai-language documents normally require a certified translation before the Apostille is issued. The competent authority is Department of Consular Affairs, Ministry of Foreign Affairs. Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
