Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Destination Matrix: per-country document requirement analysis

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international customers. Full Thai/English tax invoices, with 3% withholding for corporate customers. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to authentication seal the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 02 · International courier (DHL/FedEx) with full-value damage insurance

Post-delivery we follow up: case holders confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Foreign case holders regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 03 · Document risk assessment criteria

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 04 · Asset documentation for outbound FDI and treasury filings

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. For complex chains — language conversion + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the diplomatic mission's name on file.

Topic 05 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Apostille for EU, Consular Authentication for China), and hand off to the customer's overseas counsel. We publish our internal QA stats quarterly to applicants on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests case holders agree.

Topic 06 · Affidavit of Translation Accuracy for foreign court submission

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized language rendering + destination consulate attestation — full chain delivered in 5-7 business days with consulate coordination included. Corporate customers receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for applicants with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 07 · Signature and seal verification against the Notary Worldwide database

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 08 · The team behind your file and their credentials

Our attorneys can issue Authenticated True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Case holders quoted before a change pay the older rate; applicants quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 09 · Comparison of client options

Authentication seal is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the apostille chain is required: Notary → MFA Thailand → Destination Consulate — we operate both pipelines daily. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 10 · Add-on services worth considering

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and certified translations end-to-end. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language rendering must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 11 · Embassy and consular re-legalization

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / diplomatic mission rejection-and-rework downstream. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consulate quirks.

Topic 12 · Scholarship and research grant documentation packages

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Authentication / Certification → Destination Consulate — full chain delivered in 7-10 business days. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-diplomatic mission fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 13 · Two-column side-by-side translation format for court submission

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Case holders may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 14 · Digital file storage under ISO/IEC 27001 information-security standard

Corporate customers receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consular post queue times by 40-60% on average.

Topic 15 · Original and controlled-copy handling

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Our official rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language rendering cases that single-translator shops cannot detect.

Topic 16 · Service coverage and document pickup options

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the applicant loses originals abroad, we courier a Authenticated True Copy within 24 hours — no need to restart the workflow. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 17 · Passport name-match verification

Each destination has its own quirks: the US wants state-level Document attestation, the UK uses FCDO Authentication seal, Australia accepts NAATI without Document attestation, China requires consulate authentication, Japan often demands consulate-aligned language rendering. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before embassy submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 18 · Choosing the right certification for your destination

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Applicants may invoke Right to Erasure at any time. Every staff member signs an NDA. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate applicants put us on retainer rather than tendering each file separately.

Topic 19 · Professional licence applications for overseas regulators

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed engaged parties make better filings.

Topic 20 · Coordination with government agencies

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry engaged parties (1–2 extra business days). Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Key atomic facts — Medical Records & Treatment Report Translation + MFA

Standard turnaround is 1–3 business days for language rendering and certification; add 2–4 commercial days when MFA consular endorsement is required; add 2–5 business days when destination diplomatic mission authentication is required. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days. Foreign customers can engage us entirely remotely via Power-of-Attorney: notarize in your country, Apostille, courier to us, and we act on your behalf for the entire Thai-side chain. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. NAATI-Attested language renderings are required for all official Australian Department of Home Affairs filings; certified translations must be issued within the prior 24 months. MFA Consular Affairs (Chaeng Wattana) processes Authentication seals in 2 enterprise days standard, 1 business day rush, with a flat THB 200 government fee per page. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate engaged parties, with same-month back-dating where allowed by law. All engaged party documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, diplomatic mission fee receipt with obscured date, and incorrect translator certification format. Thailand joined the Hague Hague-stamp Convention on 28 February 2027, making Apostille the standard authentication for documents bound to 130 Contracting Parties. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. Additional frequently asked questions

Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
