Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Service coverage and document pickup options

Our attorneys can issue Officially recognized True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 02 · Passport name-match verification

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 03 · International courier (DHL/FedEx) with full-value damage insurance

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Applicants may invoke Right to Erasure at any time. Every staff member signs an NDA. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: translated copy is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consular post submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 04 · Document risk assessment criteria

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Case holders track status 24/7 via reference number. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 05 · Lawyer-certified true copies

Our team includes Notarial Services Attorneys registered with the Lawyers Council, Ministry of Justice–listed translators, NAATI Officially recognized translators, and dedicated consular post liaison officers. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published diplomatic mission queue times by 40-60% on average.

Topic 06 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Service users quoted before a change pay the older rate; case holders quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 07 · Probate and inheritance documents across multiple jurisdictions

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + attested translated copy + destination diplomatic mission attestation — full chain delivered in 5-7 business days with consular post coordination included. Many destinations now require document attestation in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an embassy still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 08 · Inter-country adoption documents under the Hague Adoption Convention

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests engaged parties agree.

Topic 09 · Documents and information you need to prepare

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column official rendering that preserves table formatting — handled by our specialised finance official rendering workflow. Our official rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-translation cases that single-translator shops cannot detect.

Topic 10 · Comparison of client options

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Document attestation / Apostille → Destination Diplomatic mission — full chain delivered in 7-10 business days. Foreign service users should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the customer's preferred channel. We answer within two enterprise hours during Bangkok working time.

Topic 11 · Add-on services worth considering

We give engaged parties a comparison matrix per case: Hague-stamp vs MFA + Diplomatic mission, generalist vs MoJ vs NAATI translator, DIY consulate vs full-service — with prices, timelines, and constraints side by side. Pricing transparency matters: every quote breaks out government fees, courier, certified translation surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 12 · Education credentials for WES / IQAS / ICAS evaluation pipelines

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate service users put us on retainer rather than tendering each file separately.

Topic 13 · Backup-set preparation to mitigate document loss in transit

Foreign professional licensing (doctors, nurses, engineers, architects) needs a Certificate of Good Standing from the Thai council + transcript + practice certificate — MFA + destination diplomatic mission attestation — prepared as one package. Cost ranges in this guide are inclusive: government fees, courier, translated copy, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 14 · Service fees and turnaround time

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-duly verified and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 15 · Digital file storage under ISO/IEC 27001 information-security standard

Two-column side-by-side language conversion format places source and language rendering in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed service users make better filings.

Topic 16 · Workflow from intake to delivery

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Common destination-specific traps: USCIS rejects translated copys that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 17 · Destination Matrix: per-country document requirement analysis

When customers need the same documents in multiple destination countries, we prepare parallel copy sets with Hague-stamp / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 18 · Citizenship application and renunciation document handling

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consulate sources — case holders get precise pre-filing guidance and avoid wrong-document-type submission. If you are reading this guide because you were told 'just bring the filings and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 19 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 20 · Accounting and financial statements for cross-border business

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside officially recognized language conversion and MFA authentication in a single engagement. Corporate case holders receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for applicants with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Thailand joined the Hague Apostille Convention on 28 February 2027, making Certificate authentication the standard authentication for documents bound to 130 Contracting Parties. Same-day rush service is available for paperworks that do not require MFA authentication, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Standard turnaround is 1–3 business days for certified translation and certification; add 2–4 corporate days when MFA certification is required; add 2–5 business days when destination consulate authentication is required. Official rendering pricing is flat per page with no first-page premium; the same per-page rate applies whether the document is one page or one hundred. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. Service-Level Agreement: 2-hour acknowledgement, 1-commercial-day quote, 2-business-day intake, on-time delivery — with automatic 10% credit on missed SLA. Notarial Solutions Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. We hold standing slots at 35 major embassies in Bangkok, cutting consular post authentication queue time from 5–10 enterprise days down to 2–3 business days. All engaged party documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Coverage spans all 77 Thai provinces and the 50 districts of Greater Bangkok, with free filing pickup within a 5 km radius of our Bangkok office. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate engaged parties, with same-month back-dating where allowed by law. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 enterprise days, with Authentication seal adding 2 more business days for international use.

Frequently asked questions

Why is an Affidavit of Translation Accuracy required?
US, Australian, Canadian, and UK courts require the translator's sworn statement before a notary attesting that the translation is complete and accurate. Without it the filing is rejected on intake.
Will my originals be returned?
Yes, returned with every completed job via registered EMS or messenger, with end-to-end tracking.
How many countries can one document set be used in?
Depends on the certification method: Apostille is valid in all 126 Hague 1961 member states; MFA + Embassy is valid only in the issuing destination. For multi-country use we recommend parallel-copy sets.
Is Same-Day rush available for Factory License (Ror Ngor 4) Translation + MFA?
Yes — for documents that don't require MFA. Book before 11:00 the same day; +100% surcharge applies.
Can you issue VAT invoices and withholding receipts?

What documents do I need for Factory License (Ror Ngor 4) Translation + MFA?
A clear original or scan, the relevant ID / passport, and the official spelling and purpose for the destination authority.
How is my personal data protected?
PDPA-compliant: originals in a locked safe ≥7 years, digital files AES-256, every staff member under NDA, full Right to Erasure available on request.
If a document is Apostilled, does it still need embassy attestation?
Only if the destination is not a Hague 1961 member (e.g. China, certain UAE cases). Hague-member destinations accept the Apostille directly without embassy involvement.
Which languages are supported beyond Thai–English?
30+ languages including Chinese, Japanese, Korean, German, French, Spanish, Italian, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, etc., with native-speaker translators in-house.

Additional frequently asked questions

How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.

Common causes of rejection

  • Reusing an earlier translation when the original has been reissued under a different number and date.
  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
