Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Comparison of client options

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Authentication seal + return courier, so we can act on your behalf for the entire chain. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consulate bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 02 · Add-on services worth considering

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / consular post fee. Combined team experience exceeds 50 years. We routinely handle files for customers who never set foot in Thailand. The Remote POA workflow — notary in your country, Certificate authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 03 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consular post rejection-and-rework downstream. We publish our internal QA stats quarterly to customers on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests case holders agree.

Topic 04 · Scholarship and research grant documentation packages

Medical record certified translation for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 05 · Two-column side-by-side translation format for court submission

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language conversion must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 06 · Post-delivery follow-up

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 07 · Original and controlled-copy handling

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 08 · Medical record handling for international insurance claims

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 corporate days. Same-Day rush is available at +100% with prior booking. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consular post queue times by 40-60% on average.

Topic 09 · Passport name-match verification

Each destination has its own quirks: the US wants state-level Authentication seal, the UK uses FCDO Document attestation, Australia accepts NAATI without Certification, China requires consular post authentication, Japan often demands diplomatic mission-aligned official rendering. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 10 · Choosing the right certification for your destination

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate service users can request a Compliance Report on demand. Foreign service users regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 11 · Professional licence applications for overseas regulators

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 12 · Coordination with government agencies

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 13 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Apostille for EU, Consular Authentication for China), and hand off to the customer's overseas counsel. Corporate engaged parties receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for case holders with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 14 · Confidentiality and personal data (PDPA) handling

Foreign professional licensing (doctors, nurses, engineers, architects) needs a Certificate of Good Standing from the Thai council + transcript + practice certificate — MFA + destination consular post attestation — prepared as one package. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consulate quirks.

Topic 15 · Signature and seal verification against the Notary Worldwide database

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-attested and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: certified translation is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consular post submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 16 · Cross-border corporate document stack — Apostille + Embassy combo

Two-column side-by-side official rendering format places source and certified translation in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; customers quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 17 · Cross-border Power of Attorney drafting and authentication

An Affidavit of Language rendering Accuracy is the translator's sworn statement before a notary that the certified translation is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. Many destinations now require document attestation in addition to official rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 18 · Single-status / never-married affidavits for overseas marriage

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. Pricing transparency matters: every quote breaks out government fees, courier, official rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 19 · Standard turnaround vs rush service

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry engaged parties (1–2 extra business days). If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves engaged parties five-figure sums in repeat fees.

Topic 20 · Service fees and turnaround time

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + authenticated official rendering + destination consular post attestation — full chain delivered in 5-7 business days with consular post coordination included. Foreign service users should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the case holder's preferred channel. We answer within two enterprise hours during Bangkok working time.

Thailand joined the Hague Hague-stamp Convention on 28 February 2027, making Consular endorsement the standard authentication for documents bound to 130 Contracting Parties. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Record attestation adding 2 more corporate days for international use. NAATI-Attested language conversions are required for all official Australian Department of Home Affairs filings; language conversions must be issued within the prior 24 months. Additional frequently asked questions

Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
