Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Notes for corporate and institutional clients

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / consulate fee. Combined team experience exceeds 50 years. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves applicants five-figure sums in repeat fees.

Topic 02 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Applicants track status 24/7 via reference number. Many destinations now require certificate authentication in addition to translated copy since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 03 · Backup-set preparation to mitigate document loss in transit

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Consular endorsement / Apostille → Destination Diplomatic mission — full chain delivered in 7-10 business days. Service-level agreements are written, not verbal. Our standard SLA covers prompt acknowledgement, a written quotation, intake after approval, and delivery within the agreed turnaround. If we ever risk missing a committed deadline, we tell the case holder immediately and agree a remedy in writing.

Topic 04 · Two-column side-by-side translation format for court submission

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. On urgency: we accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than take on work we would miss.

Topic 05 · Post-delivery follow-up

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + authenticated language rendering + destination consulate attestation — full chain delivered in 5-7 business days with consular post coordination included. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; case holders quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 06 · Name-match resolution via Affidavit of One and the Same Person

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Engaged parties may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 07 · Service coverage and document pickup options

Standard turnaround is 1–3 business days for most documents. Files that need MFA certification add 2–4 enterprise days. Same-Day rush is available with prior booking and is quoted separately. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published diplomatic mission queue times by 40-60% on average.

Topic 08 · Passport name-match verification

Service fees follow the quote; standard turnaround is 1–3 business days. Rush service is quoted separately per file. Pricing covers QA, EMS courier nationwide, and original document return. Foreign service users regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 09 · International courier (DHL/FedEx) with full-value damage insurance

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consular post bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate case holders put us on retainer rather than tendering each file separately.

Topic 10 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Medical record certified translation for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Our official rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Topic 11 · Asset documentation for outbound FDI and treasury filings

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Hague-stamp for EU, Consular Consular endorsement for China), and hand off to the applicant's overseas counsel. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 12 · Payment and tax invoice

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to certificate authentication the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 13 · Confidentiality and personal data (PDPA) handling

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: language conversion is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 14 · Inter-country adoption documents under the Hague Adoption Convention

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the customer loses originals abroad, we courier a Attested True Copy within 24 hours — no need to restart the workflow. We publish our internal QA stats quarterly to service users on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our long-running retainer relationships suggest engaged parties agree.

Topic 15 · The team behind your file and their credentials

We run a pre-flight check before any MFA or consular post submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. We routinely handle files for customers who never set foot in Thailand. The Remote POA workflow — notary in your country, Certificate authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 16 · Common mistakes and how to avoid them

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consulate rejection-and-rework downstream. We are deliberate about which embassies we hold standing slots with. The missions we coordinate with regularly cover the main destinations for Thai outbound documents; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 17 · Add-on services worth considering

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consulate sources — applicants get precise pre-filing guidance and avoid wrong-document-type submission. Cost ranges in this guide are inclusive: government fees, courier, official rendering, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 18 · Relevant legal requirements

Corporate customers receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the certified translation must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 19 · Standard turnaround vs rush service

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international engaged parties. Full Thai/English tax invoices, with 3% withholding for corporate customers. Common destination-specific traps: USCIS rejects certified translations that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 20 · Quality standards and accuracy guarantee

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Service-Level Agreement: prompt acknowledgement, written quotation, intake after approval, on-time delivery — with a written remedy agreed if a committed deadline is ever at risk. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Same-day rush service is available for documents that do not require MFA authentication, with bookings confirmed before 11:00 Bangkok time and a rush surcharge quoted in advance. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's consulate, MFA-legalized language conversion, then registration at any district office. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, diplomatic mission fee receipt with obscured date, and incorrect translator certification format. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. We hold standing slots at 35 major embassies in Bangkok, cutting embassy authentication queue time from 5–10 business days down to 2–3 commercial days. MFA Consular Affairs (Chaeng Wattana) processes Certificate authentications in 2 business days standard, 1 commercial day rush, with a flat THB 200 government fee per page. Every engagement closes with a one-page brief paperworking actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. If a document is Apostilled, does it still need embassy attestation?

Additional frequently asked questions

What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejected — Certified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.
  • Delivering the translation as a standalone file with no link to the source document.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

Practitioner guidance — Embassy legalisation

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Check copy counts, forms and booking methods directly with the embassy, as these vary widely.
  • Some countries have no mission in Thailand and are covered from a neighbouring country — allow for document transit.
  • Commercial documents usually need Board of Trade certification before the embassy stage.
  • Keep copies at every stage; originals stay with the authorities while in process.
  • Confirm which translation language and which translators the embassy accepts.

Pitfalls — why documents get rejected

  • Commercial documents missing required chamber-of-commerce certification.
  • Preparing fewer copies than the embassy requires.
  • No prior appointment at an appointment-only mission.
  • Sending documents abroad without trackable delivery.
  • Ignoring destination-country public holidays when planning.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
