Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Confidentiality and personal data (PDPA) handling

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + attested language conversion + destination consular post attestation — full chain delivered in 5-7 business days with consulate coordination included. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Certificate authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five enterprise days from receipt of the POA.

Topic 02 · Sample cases and lessons learned

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed engaged parties make better filings.

Topic 03 · Documents and information you need to prepare

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside duly verified language conversion and MFA certification in a single engagement. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published diplomatic mission queue times by 40-60% on average.

Topic 04 · Cross-border Power of Attorney drafting and authentication

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column language rendering that preserves table formatting — handled by our specialised finance certified translation workflow. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Service users may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 05 · Single-status / never-married affidavits for overseas marriage

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing authenticated documents and official renderings end-to-end. Our language conversion team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-translated copy cases that single-translator shops cannot detect.

Topic 06 · Embassy and consular re-legalization

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to Hague-stamp the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 07 · Scholarship and research grant documentation packages

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Certificate authentication / Consular endorsement → Destination Diplomatic mission — full chain delivered in 7-10 business days. Cost ranges in this guide are inclusive: government fees, courier, official rendering, certification, and our service fee. The single line item that can vary is destination-diplomatic mission fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 08 · Two-column side-by-side translation format for court submission

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Hague-stamp for EU, Consular Apostille for China), and hand off to the case holder's overseas counsel. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consular post quirks.

Topic 09 · Quality standards and accuracy guarantee

Corporate engaged parties receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. Service-level agreements are written, not verbal. Our standard SLA covers prompt acknowledgement, a written quotation, intake after approval, and delivery within the agreed turnaround. If we ever risk missing a committed deadline, we tell the applicant immediately and agree a remedy in writing.

Topic 10 · Workflow from intake to delivery

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. We are deliberate about which embassies we hold standing slots with. The missions we coordinate with regularly cover the main destinations for Thai outbound documents; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 11 · Service coverage and document pickup options

Two-column side-by-side official rendering format places source and translated copy in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. On urgency: we accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than take on work we would miss.

Topic 12 · Passport name-match verification

Post-delivery we follow up: case holders confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language rendering must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 13 · International courier (DHL/FedEx) with full-value damage insurance

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consular post rejection-and-rework downstream. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves service users five-figure sums in repeat fees.

Topic 14 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Medical record certified translation for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 15 · Asset documentation for outbound FDI and treasury filings

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Many destinations now require consular endorsement in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 16 · Payment and tax invoice

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 17 · Probate and inheritance documents across multiple jurisdictions

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 corporate days. Same-Day rush is available with prior booking and is quoted separately. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the engaged party's preferred channel. We answer within two business hours during Bangkok working time.

Topic 18 · Inter-country adoption documents under the Hague Adoption Convention

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Certificate authentication + return courier, so we can act on your behalf for the entire chain. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 19 · Cross-border corporate document stack — Apostille + Embassy combo

We run a pre-flight check before any MFA or diplomatic mission submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 20 · Notes for corporate and institutional clients

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Key atomic facts — Adoption Decree Translation + MFA + Apostille

Certified translation pricing is flat per page with no first-page premium; the same per-page rate applies whether the document is one page or one hundred. All case holder documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Coverage spans all 77 Thai provinces and the 50 districts of Greater Bangkok, with free filing pickup within a 5 km radius of our Bangkok office. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Authentication seal adding 2 more enterprise days for international use. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's diplomatic mission, MFA-legalized certified translation, then registration at any district office. MFA Consular Affairs (Chaeng Wattana) processes Authentication seals in 2 business days standard, 1 corporate day rush, with a flat THB 200 government fee per page. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Officially recognized translators, and dedicated diplomatic mission-liaison officers. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, embassy fee receipt with obscured date, and incorrect translator certification format. Thailand joined the Hague Document attestation Convention on 28 February 2027, making Apostille the standard authentication for documents bound to 130 Contracting Parties. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days.

How is my personal data protected?
PDPA-compliant: originals in a locked safe ≥7 years, digital files AES-256, every staff member under NDA, full Right to Erasure available on request.
Do I need to visit the office in person?
No. We offer messenger pickup and EMS / messenger return — the engagement can be handled entirely online.
Why is an Affidavit of Translation Accuracy required?
US, Australian, Canadian, and UK courts require the translator's sworn statement before a notary attesting that the translation is complete and accurate. Without it the filing is rejected on intake.

Standard 7-10 business days (MFA 3-5 + Embassy 3-5). Same-Day MFA + Premium Embassy Slot reduces it to 2-3 days with a rush surcharge quoted in advance.
How do I engage you from abroad?
Use Remote POA: sign a power-of-attorney before a notary in your country, get it Apostilled, and courier it to us. We then handle every Thai-side step.
What is the starting price for Adoption Decree Translation + MFA + Apostille?
Fees depend on document type, page count and urgency — send a photo on LINE @Thainotary for a firm quote before work starts.
How long does Adoption Decree Translation + MFA + Apostille take?

Where can Adoption Decree Translation + MFA + Apostille be used?
Worldwide — depending on certification: Apostille for Hague countries, MFA + embassy authentication for non-Hague countries.
If a document is Apostilled, does it still need embassy attestation?
Only if the destination is not a Hague 1961 member (e.g. China, certain UAE cases). Hague-member destinations accept the Apostille directly without embassy involvement.

Additional frequently asked questions

Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejected — Certified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.

Common causes of rejection

  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.
  • Delivering the translation as a standalone file with no link to the source document.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
