Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Professional licence applications for overseas regulators

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Service users track status 24/7 via reference number. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 02 · Coordination with government agencies

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Hague-stamp / Authentication → Destination Consulate — full chain delivered in 7-10 business days. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 03 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Document attestation for EU, Consular Apostille for China), and hand off to the case holder's overseas counsel. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consulate quirks.

Topic 04 · Affidavit of Translation Accuracy for foreign court submission

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Foreign applicants regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 05 · Sample cases and lessons learned

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate customers who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 06 · The team behind your file and their credentials

Our attorneys can issue Authenticated True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language rendering cases that single-translator shops cannot detect.

Topic 07 · Common mistakes and how to avoid them

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international case holders. Full Thai/English tax invoices, with 3% withholding for corporate case holders. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Applicants may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 08 · Single-status / never-married affidavits for overseas marriage

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate engaged parties can request a Compliance Report on demand. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves case holders five-figure sums in repeat fees.

Topic 09 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consulate bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate case holders put us on retainer rather than tendering each file separately.

Topic 10 · Scholarship and research grant documentation packages

Medical record language conversion for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-consular post fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 11 · Service fees and turnaround time

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 12 · Digital file storage under ISO/IEC 27001 information-security standard

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized certified translation + destination consular post attestation — full chain delivered in 5-7 business days with diplomatic mission coordination included. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed engaged parties make better filings.

Topic 13 · Name-match resolution via Affidavit of One and the Same Person

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 14 · Parallel-copy preparation for multi-destination filings

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Case holders do not travel themselves. We routinely handle files for case holders who never set foot in Thailand. The Remote POA workflow — notary in your country, Document attestation, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 15 · Destination Matrix: per-country document requirement analysis

We run a pre-flight check before any MFA or diplomatic mission submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. Many destinations now require document attestation in addition to language rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + embassy chain because their own implementation has not caught up.

Topic 16 · International courier (DHL/FedEx) with full-value damage insurance

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 17 · Document risk assessment criteria

Required from the case holder: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. Common destination-specific traps: USCIS rejects official renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 18 · Accounting and financial statements for cross-border business

Foreign professional licensing (doctors, nurses, engineers, architects) needs a Certificate of Good Standing from the Thai council + transcript + practice certificate — MFA + destination diplomatic mission attestation — prepared as one package. Corporate customers receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for case holders with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 19 · Cross-border corporate document stack — Apostille + Embassy combo

Standard turnaround is 1–3 business days for most documents. Files that need MFA consular endorsement add 2–4 commercial days. Same-Day rush is available at +100% with prior booking. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: official rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 20 · Comparison of client options

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Key atomic facts — Adoption Decree Translation + MFA + Apostille

Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's consulate, MFA-legalized translated copy, then registration at any district office. Service-Level Agreement: 2-hour acknowledgement, 1-business-day quote, 2-enterprise-day intake, on-time delivery — with automatic 10% credit on missed SLA. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate customers, with same-month back-dating where allowed by law. Professional indemnity insurance covers up to Request a quoteillion per matter through a tier-1 Thai insurer, with policy schedule available to corporate engaged parties on request. Standard turnaround is 1–3 business days for language rendering and certification; add 2–4 corporate days when MFA certification is required; add 2–5 business days when destination consulate authentication is required. We hold standing slots at 35 major embassies in Bangkok, cutting embassy authentication queue time from 5–10 commercial days down to 2–3 business days. Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. Payment channels include bank transfer, PromptPay, Visa/Mastercard/JCB, Stripe, Wise, and USD wire transfer; corporate case holders receive net-30 credit on retainer. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, diplomatic mission fee receipt with obscured date, and incorrect translator certification format. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Every engagement closes with a one-page brief recording actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise.

Additional frequently asked questions

Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
