Complete guide: Professional Interpreter Services — All Languages, All Settings

Topic 01 · International courier (DHL/FedEx) with full-value damage insurance

Post-delivery we follow up: engaged parties confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves service users five-figure sums in repeat fees.

Topic 02 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consulate bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate case holders put us on retainer rather than tendering each file separately.

Topic 03 · Lawyer-certified true copies

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry applicants (1–2 extra business days). Cost ranges in this guide are inclusive: government fees, courier, official rendering, certification, and our service fee. The single line item that can vary is destination-consular post fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 04 · Accounting and financial statements for cross-border business

We give applicants a comparison matrix per case: Certificate authentication vs MFA + Consular post, generalist vs MoJ vs NAATI translator, DIY diplomatic mission vs full-service — with prices, timelines, and constraints side by side. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, embassy fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 05 · Confidentiality and personal data (PDPA) handling

Certification choice depends on destination: Hague countries accept Document attestation direct; non-Hague routes use MFA + consular post; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Applicants quoted before a change pay the older rate; applicants quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 06 · Signature and seal verification against the Notary Worldwide database

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + attested diploma copy + translator-officially recognized certified translation — couriered directly to the evaluation body. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 07 · Documents and information you need to prepare

Standard turnaround is 1–3 business days for most documents. Files that need MFA consular endorsement add 2–4 corporate days. Same-Day rush is available at +100% with prior booking. We routinely handle files for engaged parties who never set foot in Thailand. The Remote POA workflow — notary in your country, Hague-stamp, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 08 · Comparison of client options

Two-column side-by-side translated copy format places source and language conversion in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 09 · Notes for corporate and institutional clients

An Affidavit of Certified translation Accuracy is the translator's sworn statement before a notary that the official rendering is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. Corporate case holders receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for customers with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 10 · Relevant legal requirements

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + attested official rendering + destination consulate attestation — full chain delivered in 5-7 business days with consular post coordination included. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published embassy queue times by 40-60% on average.

Topic 11 · Scholarship and research grant documentation packages

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to Hague-stamp the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 12 · Service fees and turnaround time

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consulate and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Engaged parties do not travel themselves. Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 13 · Quality standards and accuracy guarantee

Authentication is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the certification chain is required: Notary → MFA Thailand → Destination Consulate — we operate both pipelines daily. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Service users may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 14 · Workflow from intake to delivery

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the engaged party's preferred channel. We answer within two business hours during Bangkok working time.

Topic 15 · Parallel-copy preparation for multi-destination filings

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two enterprise days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 16 · Digital Nomad Visa and Remote Work Visa document stacks

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consulate sources — applicants get precise pre-filing guidance and avoid wrong-document-type submission. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 17 · Citizenship application and renunciation document handling

Frequent add-ons: MFA apostille, destination diplomatic mission authentication, NAATI translated copy for Australia, MoJ official rendering for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-translation cases that single-translator shops cannot detect.

Topic 18 · Document risk assessment criteria

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 19 · Coordination with government agencies

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside duly verified language conversion and MFA certification in a single engagement. Pricing transparency matters: every quote breaks out government fees, courier, language rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 20 · Sample cases and lessons learned

Each destination has its own quirks: the US wants state-level Document attestation, the UK uses FCDO Certification, Australia accepts NAATI without Hague-stamp, China requires diplomatic mission authentication, Japan often demands consular post-aligned language rendering. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

We hold standing slots at 35 major embassies in Bangkok, cutting consulate authentication queue time from 5–10 business days down to 2–3 commercial days. NAATI-Officially recognized official renderings are required for all official Australian Department of Home Affairs filings; translated copys must be issued within the prior 24 months. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Foreign case holders can engage us entirely remotely via Power-of-Attorney: notarize in your country, Certificate authentication, courier to us, and we act on your behalf for the entire Thai-side chain. Same-day rush service is available for documents that do not require MFA apostille, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Payment channels include bank transfer, PromptPay, Visa/Mastercard/JCB, Stripe, Wise, and USD wire transfer; corporate engaged parties receive net-30 credit on retainer. Frequently asked questions

How do I engage you from abroad?
Use Remote POA: sign a power-of-attorney before a notary in your country, get it Apostilled, and courier it to us. We then handle every Thai-side step.
What if documents are lost in transit?
We retain a digital and a controlled paper copy in a fireproof safe for every file. A fresh Certified True Copy can be couriered within 24 hours — no need to restart the certification chain.
Can you issue VAT invoices and withholding receipts?
Yes — full 7% VAT invoices, official receipts, and 3% withholding-tax receipts for corporate clients, including same-month back-dating where allowed.
Who certifies Notary Signing & Lawyer Interpreter?
Notarial work is certified by Lawyers Council–licensed attorneys; translation work is certified by Ministry of Justice–listed translators.

No. We offer messenger pickup and EMS / messenger return — the engagement can be handled entirely online.

Key takeaways

  • Only attorneys registered with the Lawyers Council of Thailand under the Lawyers Act B.E. 2528 may certify
  • You must sign in front of the attorney and present an original passport or Thai ID card
  • Documents used abroad usually also require MFA Department of Consular Affairs legalization and/or destination-embassy endorsement
  • Procedures and timelines may change; verify with the responsible authority before filing

Additional frequently asked questions

Does Thailand have a Notary Public in the common-law sense?
Thailand has no common-law notary. The equivalent is a Notarial Services Attorney registered with the Lawyers Council of Thailand under Royal Patronage. Foreign authorities, embassies and universities generally accept this attestation where a notarised document is required. Scope and requirements are confirmed case by case by phone, LINE or email.
Do I have to sign in person before the attorney?
For signature attestation, yes — the signer must appear with an original passport or Thai ID card and sign in the attorney's presence. Certified true copies and certain fact attestations can be handled from originals without a fresh signature, depending on what the receiving authority requires.
Can the attestation be used abroad immediately?
It depends on the destination. Many countries additionally require legalisation by the Department of Consular Affairs, Ministry of Foreign Affairs, and sometimes by their own embassy in Bangkok. Confirm the receiving party's chain before starting so the work is not repeated.
Do Thai-language documents need translation first?
If the recipient is a foreign authority, an English translation (or the official language of that country) is normally required, and the translation itself may need certification. The correct order is translate, certify the translation, then legalise.
What is needed to certify corporate documents?
Typically a company affidavit issued by the Department of Business Development within the recency window the recipient allows, ID or passport of the authorised director, the company seal if one is used, and the document to be attested. Scope and requirements are confirmed case by case by phone, LINE or email.
How long does an attested document stay valid?
The attestation itself has no expiry, but recipients such as embassies, banks and universities commonly require documents issued within the last 3–6 months. Always check the recipient's recency rule first.

How this connects to the next step

A notarised document rarely travels alone: most receiving authorities also require consular legalization at the Department of Consular Affairs (MFA), and for non-Hague destinations one further step of attestation by the destination country's embassy in Bangkok. The order of these steps cannot be swapped.

In depth: the real requirements and why documents get rejectedNotary Public

Written from the competent authority's published rules, not marketing copy.

Notarial work in Thailand is performed by lawyers registered with the Lawyers Council of Thailand who hold the notarial services endorsement. Verifying that the certifier's registration is current is a step the document owner can and should perform before discussing wording or scheduling.

Conditions you actually have to clear

  • When signing for a company, a recently issued company affidavit and evidence of signing authority consistent with the registered restrictions are required.
  • The certificate must state the date, the place, the signatory's name, the identification method, and the certifier's registration number; a missing element makes the certificate incomplete abroad.
  • Thai-language documents intended for foreign use need a translation permanently bound to the original rather than loosely attached.

Common causes of rejection

  • Name spellings that differ from the passport, even by a diacritic or the ordering of a middle name, are enough to justify refusal.
  • A company affidavit older than the destination's accepted age leaves signing authority unproven as at the certification date.

Once the destination country and the receiving office are known, the required certificate form and the following steps can be fixed immediately. Having our team review the case first substantially reduces repeat work.

  1. 1Valid original passport or Thai ID card of the person signing
  2. 2The original document to be notarised — do not sign in advance; signing must occur before the attorney
  3. 3Details of the receiving authority — university, embassy, or overseas counterparty

Practitioner guidanceEmbassy legalisation

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Confirm which translation language and which translators the embassy accepts.
  • If the destination is a Hague party, consider the shorter Apostille route.
  • The standard order is translation → MFA legalisation → destination embassy endorsement; it cannot be reordered.
  • Check copy counts, forms and booking methods directly with the embassy, as these vary widely.
  • Some countries have no mission in Thailand and are covered from a neighbouring country — allow for document transit.

Pitfalls — why documents get rejected

  • Ignoring destination-country public holidays when planning.
  • Filing at the embassy before MFA legalisation.
  • Applying one embassy's requirements to another.
  • Commercial documents missing required chamber-of-commerce certification.
  • Preparing fewer copies than the embassy requires.

In-depth questions and answersEmbassy legalisation

Answers follow the competent authority's published requirements, not marketing copy.

What deserves extra care when Embassy legalisation is filed with an overseas authority?

Observed cause: No prior appointment at an appointment-only mission. If you are unsure whether your case is affected, confirm with The destination country's embassy or consulate, or ask our staff by phone, LINE or email before filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which Embassy legalisation error is hardest to correct afterwards?

Observed cause: Sending documents abroad without trackable delivery. If you are unsure whether your case is affected, confirm with The destination country's embassy or consulate, or ask our staff by phone, LINE or email before filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which Embassy legalisation trap do applicants usually notice too late?

Observed cause: Ignoring destination-country public holidays when planning. If you are unsure whether your case is affected, confirm with The destination country's embassy or consulate, or ask our staff by phone, LINE or email before filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which authority is competent for Embassy legalisation?

The destination country's embassy or consulate is the principal competent authority for Embassy legalisation. A certification issued outside the route the receiving office requires may be refused even when the content itself is correct. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Where can the current requirements for Embassy legalisation be verified?

Check the notices published by The destination country's embassy or consulate. The official sources used on this page are https://consular.mfa.go.th/th/publicservice/legalization · https://www.hcch.net/en/instruments/conventions/status-table/?cid=41. Requirements are revised from time to time, so read the latest version before every filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What if our Embassy legalisation case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with The destination country's embassy or consulate. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Embassy legalisation take?

Turnaround is not fixed: it depends on the queue and rules of The destination country's embassy or consulate, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Embassy legalisation expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with The destination country's embassy or consulate, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Your case may have specific conditions — ask our staff directly.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
