Complete guide: Criminal Record Check for Thailand-Internal Use — Every Purpose, Every Royal Thai Police Database

Topic 01 · Accounting and financial statements for cross-border business

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consular post sources — customers get precise pre-filing guidance and avoid wrong-document-type submission. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land filings twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 02 · Probate and inheritance documents across multiple jurisdictions

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Case holders quoted before a change pay the older rate; engaged parties quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 03 · Sample cases and lessons learned

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 04 · Documents and information you need to prepare

Customers access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. We routinely handle files for engaged parties who never set foot in Thailand. The Remote POA workflow — notary in your country, Certificate authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 05 · Common mistakes and how to avoid them

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international case holders. Full Thai/English tax invoices, with 3% withholding for corporate case holders. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 06 · Single-status / never-married affidavits for overseas marriage

We run a pre-flight check before any MFA or diplomatic mission submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. Many destinations now require consular endorsement in addition to translated copy since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + embassy chain because their own implementation has not caught up.

Topic 07 · Embassy and consular re-legalization

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. Foreign service users regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 08 · Backup-set preparation to mitigate document loss in transit

Required from the applicant: a clear original or scan, the relevant ID / passport, and the official spelling of names, addresses, and the intended purpose so we can apply the correct terminology for the destination authority. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate engaged parties who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 09 · Country-specific notes

Certification choice depends on destination: Hague countries accept Document attestation direct; non-Hague routes use MFA + consular post; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 10 · Post-delivery follow-up

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to filing attestation the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 11 · Workflow from intake to delivery

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-attested and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. For complex chains — certified translation + lawyer certification + MFA + destination diplomatic mission + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the consulate's name on file.

Topic 12 · Service coverage and document pickup options

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consulate bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate applicants put us on retainer rather than tendering each file separately.

Topic 13 · Destination Matrix: per-country document requirement analysis

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Engaged parties may invoke Right to Erasure at any time. Every staff member signs an NDA. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 14 · International courier (DHL/FedEx) with full-value damage insurance

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consulate-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Pricing transparency matters: every quote breaks out government fees, courier, certified translation surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 15 · Document risk assessment criteria

Medical record certified translation for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 16 · Lawyer-certified true copies

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Authentication for EU, Consular Certification for China), and hand off to the customer's overseas counsel. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Service users may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 17 · Payment and tax invoice

Two-column side-by-side certified translation format places source and language conversion in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 18 · Confidentiality and personal data (PDPA) handling

An Affidavit of Certified translation Accuracy is the translator's sworn statement before a notary that the language conversion is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 19 · Signature and seal verification against the Notary Worldwide database

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Engaged parties track status 24/7 via reference number. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the engaged party's preferred channel. We answer within two business hours during Bangkok working time.

Topic 20 · Cross-border corporate document stack — Apostille + Embassy combo

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Authentication seal / Authentication → Destination Diplomatic mission — full chain delivered in 7-10 business days. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Key atomic facts — Mistaken-Identity / Record-Correction Verification

Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate case holders, with same-month back-dating where allowed by law. Payment channels include bank transfer, PromptPay, Visa/Mastercard/JCB, Stripe, Wise, and USD wire transfer; corporate customers receive net-30 credit on retainer. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Same-day rush service is available for documents that do not require MFA authentication, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Foreign customers can engage us entirely remotely via Power-of-Attorney: notarize in your country, Record attestation, courier to us, and we act on your behalf for the entire Thai-side chain. Notarial Services Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. MFA Consular Affairs (Chaeng Wattana) processes Hague-stamps in 2 business days standard, 1 enterprise day rush, with a flat THB 200 government fee per page. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Official rendering pricing is flat per page with no first-page premium; the same per-page rate applies whether the document is one page or one hundred. Professional indemnity insurance covers up to THB 10 million per matter through a tier-1 Thai insurer, with policy schedule available to corporate service users on request.

Additional frequently asked questions

Will a past case appear on the certificate?
The certificate reports exactly what the database holds. Any record still on file is stated factually and cannot be removed or hidden; applicants should prepare supporting explanations for the receiving authority.
Does the certificate need further legalisation?
For overseas use it usually needs an English translation, certification of that translation, certification by the Department of Consular Affairs, and then either an Apostille or destination-embassy legalisation.
Can someone else file on my behalf?
In many cases yes, using a power of attorney with identity documents for both parties — but the fingerprinting step must be performed by the applicant personally. Scope and requirements are confirmed case by case by phone, LINE or email.
Which authority issues the Thai police clearance certificate?
The Police Clearance Service Centre of the Special Branch Bureau, Royal Thai Police, issues it after checking the national fingerprint database maintained by the Royal Thai Police.
Can foreigners who lived in Thailand apply?
Yes, where there is an immigration record. Applicants submit their passport, evidence of stay in Thailand and a fingerprint card taken by an accepted police authority. Applicants abroad may file through a Royal Thai Embassy.
How long does processing take?
Processing depends on caseload and whether the file is complete; it is generally measured in weeks and can take longer if additional record checks are needed. Allow buffer time before a visa or employment deadline.

How this connects to the next step

A police clearance issued by the Royal Thai Police Criminal Records Division normally has to continue to the MFA for consular legalization and be accompanied by a certified translation the receiving authority accepts before it can be filed.

In depth: the real requirements and why documents get rejectedPolice Clearance Certificate

Written from the competent authority's published rules, not marketing copy.

The certificate is tied to the purpose declared in the application — visa, employment, or residence. Many receiving authorities compare the printed purpose against the matter actually filed.

Conditions you actually have to clear

  • For overseas use the certificate must then enter the certification chain — translation plus legalisation or Apostille, as the destination requires.
  • Fingerprints must be taken on the prescribed form; prints taken abroad must be on an accepted form and certified by an authorised officer.
  • Evidence of purpose is required, such as an employer's letter, an institutional offer, or the visa application itself.

Common causes of rejection

  • Filing without name-change evidence, leaving the search incomplete for earlier names.
  • Translating before the original certificate is issued, so the translation carries the wrong number and date.

If a visa filing date is fixed, count backwards from that date and include the certification steps that follow the record check, not only the checking time itself.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
