Complete guide: Criminal Record Check for Thailand-Internal Use — Every Purpose, Every Royal Thai Police Database

Topic 01 · Digital Nomad Visa and Remote Work Visa document stacks

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 02 · International courier (DHL/FedEx) with full-value damage insurance

We run a pre-flight check before any MFA or consular post submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 03 · Professional licence applications for overseas regulators

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consular post-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 04 · Asset documentation for outbound FDI and treasury filings

Medical record language rendering for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Customers quoted before a change pay the older rate; service users quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 05 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

We give applicants a comparison matrix per case: Apostille vs MFA + Diplomatic mission, generalist vs MoJ vs NAATI translator, DIY consular post vs full-service — with prices, timelines, and constraints side by side. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate service users who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 06 · Probate and inheritance documents across multiple jurisdictions

Frequent add-ons: MFA consular endorsement, destination diplomatic mission authentication, NAATI official rendering for Australia, MoJ language rendering for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. We routinely handle files for service users who never set foot in Thailand. The Remote POA workflow — notary in your country, Certificate authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 07 · Signature and seal verification against the Notary Worldwide database

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. Foreign customers should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the case holder's preferred channel. We answer within two business hours during Bangkok working time.

Topic 08 · Documents and information you need to prepare

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every diplomatic mission and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Engaged parties do not travel themselves. Corporate customers receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for engaged partys with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 09 · Common mistakes and how to avoid them

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international service users. Full Thai/English tax invoices, with 3% withholding for corporate customers. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 10 · Single-status / never-married affidavits for overseas marriage

Our file storage system is audited annually against ISO/IEC 27001. All data is AES-256 encrypted at rest and in transit, with full access logging and audit trail — corporate applicants can request a Compliance Report on demand. Many destinations now require certificate authentication in addition to translated copy since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 11 · Embassy and consular re-legalization

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Service users track status 24/7 via reference number. Foreign case holders regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 12 · Backup-set preparation to mitigate document loss in transit

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests customers agree.

Topic 13 · Two-column side-by-side translation format for court submission

Our attorneys can issue Duly verified True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves engaged parties five-figure sums in repeat fees.

Topic 14 · Quality standards and accuracy guarantee

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column translated copy that preserves table formatting — handled by our specialised finance official rendering workflow. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 15 · Original and controlled-copy handling

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Customers may invoke Right to Erasure at any time. Every staff member signs an NDA. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 16 · Service coverage and document pickup options

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / diplomatic mission rejection-and-rework downstream. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 17 · Destination Matrix: per-country document requirement analysis

Our team includes Notarial Services Attorneys registered with the Lawyers Council, Ministry of Justice–listed translators, NAATI Duly verified translators, and dedicated diplomatic mission liaison officers. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: language conversion is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before diplomatic mission submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 18 · Choosing the right certification for your destination

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official diplomatic mission sources — applicants get precise pre-filing guidance and avoid wrong-document-type submission. We are PDPA-registered and treat paperwork handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Case holders may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 19 · Coordination with government agencies

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + attested translated copy + destination consular post attestation — full chain delivered in 5-7 business days with consulate coordination included. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one corporate day, intake within two business days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 20 · Accounting and financial statements for cross-border business

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 enterprise days. Same-Day rush is available at +100% with prior booking. Cost ranges in this guide are inclusive: government fees, courier, language rendering, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Key atomic facts — Juvenile / Minor Criminal Record Check

All applicant documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Standard turnaround is 1–3 business days for language conversion and certification; add 2–4 corporate days when MFA apostille is required; add 2–5 business days when destination consulate authentication is required. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, consulate fee receipt with obscured date, and incorrect translator certification format. Apostillable instruments include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's embassy, MFA-legalized certified translation, then registration at any district office. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 enterprise days, with Certificate authentication adding 2 more business days for international use. NAATI-Officially recognized language conversions are required for all official Australian Department of Home Affairs filings; translations must be issued within the prior 24 months. BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. Language conversion pricing is flat per page with no first-page premium; the same per-page rate applies whether the document is one page or one hundred. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Same-day rush service is available for paperworks that do not require MFA authentication, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional.

Additional frequently asked questions

How long is the certificate valid?
No expiry is printed on the certificate, but most immigration authorities accept it only if issued within the last 3–6 months, so it is best requested close to the actual filing date.
Where are fingerprints taken?
Inside Thailand at a police station or designated office; abroad at a local police authority or a Royal Thai Embassy or Consulate, with the fingerprint card submitted together with the application set.
Will a past case appear on the certificate?
The certificate reports exactly what the database holds. Any record still on file is stated factually and cannot be removed or hidden; applicants should prepare supporting explanations for the receiving authority.
Does the certificate need further legalisation?
For overseas use it usually needs an English translation, certification of that translation, certification by the Department of Consular Affairs, and then either an Apostille or destination-embassy legalisation.
Can someone else file on my behalf?
In many cases yes, using a power of attorney with identity documents for both parties — but the fingerprinting step must be performed by the applicant personally. Scope and requirements are confirmed case by case by phone, LINE or email.
Which authority issues the Thai police clearance certificate?
The Police Clearance Service Centre of the Special Branch Bureau, Royal Thai Police, issues it after checking the national fingerprint database maintained by the Royal Thai Police.

How this connects to the next step

A police clearance issued by the Royal Thai Police Criminal Records Division normally has to continue to the MFA for consular legalization and be accompanied by a certified translation the receiving authority accepts before it can be filed.

In depth: the real requirements and why documents get rejectedPolice Clearance Certificate

Written from the competent authority's published rules, not marketing copy.

A Thai Police Clearance Certificate is issued by the Royal Thai Police Special Branch and reports the result of a criminal-record search performed against fingerprint records. It is not a character reference, and it is not a document a local police station can issue.

Conditions you actually have to clear

  • Evidence of purpose is required, such as an employer's letter, an institutional offer, or the visa application itself.
  • The name and passport number on the application must match the travel document that will actually be used; a passport replaced during processing must be reported.
  • Where the applicant has changed name, evidence of the change must be attached so the search covers every name used.

Common causes of rejection

  • Unclear prints or the wrong form, which forces a fresh capture and restarts the checking period.
  • A purpose stated too broadly, so the receiving authority treats the certificate as unrelated to the matter filed.

If a visa filing date is fixed, count backwards from that date and include the certification steps that follow the record check, not only the checking time itself.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
