Complete guide: Thai Police Clearance End-to-End Combo — Translation + MFA + Embassy Legalization

Topic 01 · Choosing the right certification for your destination

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. Pricing transparency matters: every quote breaks out government fees, courier, official rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 02 · Professional licence applications for overseas regulators

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate applicants put us on retainer rather than tendering each file separately.

Topic 03 · Asset documentation for outbound FDI and treasury filings

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consular post queue times by 40-60% on average.

Topic 04 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consular post sources — customers get precise pre-filing guidance and avoid wrong-document-type submission. We record everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to certificate authentication the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 05 · Affidavit of Translation Accuracy for foreign court submission

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Foreign customers regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 06 · Signature and seal verification against the Notary Worldwide database

Diplomatic mission authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 07 · The team behind your file and their credentials

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-officially recognized and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 08 · Comparison of client options

Each destination has its own quirks: the US wants state-level Certification, the UK uses FCDO Document attestation, Australia accepts NAATI without Consular endorsement, China requires consular post authentication, Japan often demands consulate-aligned translated copy. Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 09 · Notes for corporate and institutional clients

An Affidavit of Certified translation Accuracy is the translator's sworn statement before a notary that the translated copy is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves engaged parties five-figure sums in repeat fees.

Topic 10 · Relevant legal requirements

When case holders need the same documents in multiple destination countries, we prepare parallel copy sets with Certificate authentication / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 11 · Backup-set preparation to mitigate document loss in transit

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 12 · Service fees and turnaround time

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 13 · Quality standards and accuracy guarantee

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Case holders do not travel themselves. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 14 · Workflow from intake to delivery

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column language conversion that preserves table formatting — handled by our specialised finance language conversion workflow. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: language rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consular post submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 15 · Parallel-copy preparation for multi-destination filings

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing duly verified documents and language conversions end-to-end. We routinely handle files for customers who never set foot in Thailand. The Remote POA workflow — notary in your country, Hague-stamp, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 16 · Passport name-match verification

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 17 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Medical record language conversion for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. We publish our internal QA stats quarterly to applicants on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests engaged parties agree.

Topic 18 · Coordination with government agencies

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Document attestation for EU, Consular Certification for China), and hand off to the applicant's overseas counsel. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language rendering cases that single-translator shops cannot detect.

Topic 19 · Inter-country adoption documents under the Hague Adoption Convention

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. Corporate applicants receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for service users with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 20 · Documents and information you need to prepare

Standard turnaround is 1–3 business days for most documents. Files that need MFA consular endorsement add 2–4 enterprise days. Same-Day rush is available at +100% with prior booking. For complex chains — official rendering + lawyer certification + MFA + destination consulate + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the consular post's name on file.

Key atomic facts — Police Clearance Combo for Korea — Translation + MFA + Korean Embassy

Same-day rush service is available for documents that do not require MFA consular endorsement, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Service-Level Agreement: 2-hour acknowledgement, 1-business-day quote, 2-commercial-day intake, on-time delivery — with automatic 10% credit on missed SLA. NAATI-Attested language renderings are required for all official Australian Department of Home Affairs filings; language conversions must be issued within the prior 24 months. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Document attestation adding 2 more corporate days for international use. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Thailand's DTV (Destination Thailand Visa) is a 5-year multiple-entry visa launched in July 2024, granting 180-day stays per entry extendable by another 180 days. Our team includes Lawyers Council–registered Notarial Engagements Attorneys, Ministry of Justice–listed translators, NAATI-Officially recognized translators, and dedicated consular post-liaison officers. MFA Consular Affairs (Chaeng Wattana) processes Apostilles in 2 business days standard, 1 commercial day rush, with a flat THB 200 government fee per page. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's consular post, MFA-legalized language rendering, then registration at any district office. Every engagement closes with a one-page brief paperworking actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Thailand joined the Hague Authentication seal Convention on 28 February 2027, making Apostille the standard authentication for documents bound to 130 Contracting Parties. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, embassy fee receipt with obscured date, and incorrect translator certification format.

Additional frequently asked questions

Does the certificate need further legalisation?
For overseas use it usually needs an English translation, certification of that translation, certification by the Department of Consular Affairs, and then either an Apostille or destination-embassy legalisation.
Can someone else file on my behalf?
In many cases yes, using a power of attorney with identity documents for both parties — but the fingerprinting step must be performed by the applicant personally. Scope and requirements are confirmed case by case by phone, LINE or email.
Which authority issues the Thai police clearance certificate?
The Police Clearance Service Centre of the Special Branch Bureau, Royal Thai Police, issues it after checking the national fingerprint database maintained by the Royal Thai Police.
Can foreigners who lived in Thailand apply?
Yes, where there is an immigration record. Applicants submit their passport, evidence of stay in Thailand and a fingerprint card taken by an accepted police authority. Applicants abroad may file through a Royal Thai Embassy.
How long does processing take?
Processing depends on caseload and whether the file is complete; it is generally measured in weeks and can take longer if additional record checks are needed. Allow buffer time before a visa or employment deadline.
How long is the certificate valid?
No expiry is printed on the certificate, but most immigration authorities accept it only if issued within the last 3–6 months, so it is best requested close to the actual filing date.

How this connects to the next step

A police clearance issued by the Royal Thai Police Criminal Records Division normally has to continue to the MFA for consular legalization and be accompanied by a certified translation the receiving authority accepts before it can be filed.

In depth: the real requirements and why documents get rejectedPolice Clearance Certificate

Written from the competent authority's published rules, not marketing copy.

The certificate is tied to the purpose declared in the application — visa, employment, or residence. Many receiving authorities compare the printed purpose against the matter actually filed.

Conditions you actually have to clear

  • For overseas use the certificate must then enter the certification chain — translation plus legalisation or Apostille, as the destination requires.
  • Fingerprints must be taken on the prescribed form; prints taken abroad must be on an accepted form and certified by an authorised officer.
  • Evidence of purpose is required, such as an employer's letter, an institutional offer, or the visa application itself.

Common causes of rejection

  • Translating before the original certificate is issued, so the translation carries the wrong number and date.
  • Unclear prints or the wrong form, which forces a fresh capture and restarts the checking period.

Fix the order at the outset: record check, receive the original, translate, then certify along the chain the destination requires. Skipping a step almost always causes rework. Our team can confirm the sequence for your destination by phone, LINE, or email.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
