Complete guide: Apostille Thailand — MFA Department of Consular Affairs Apostille for 130 Hague Convention Contracting Parties (enters into force 28 February 2027)

Topic 01 · Parallel-copy preparation for multi-destination filings

Customers access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 02 · Passport name-match verification

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international applicants. Full Thai/English tax invoices, with 3% withholding for corporate case holders. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the case holder's preferred channel. We answer within two business hours during Bangkok working time.

Topic 03 · Choosing the right certification for your destination

An Affidavit of Certified translation Accuracy is the translator's sworn statement before a notary that the translated copy is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Authentication seal, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 04 · Document risk assessment criteria

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. Many destinations now require document attestation in addition to translated copy since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + diplomatic mission chain because their own implementation has not caught up.

Topic 05 · Lawyer-certified true copies

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. Corporate case holders receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for service users with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 06 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 07 · Affidavit of Translation Accuracy for foreign court submission

Corporate case holders receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 08 · Sample cases and lessons learned

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 09 · Documents and information you need to prepare

Our attorneys can issue Duly verified True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to record attestation the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 10 · Comparison of client options

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 11 · Add-on services worth considering

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 12 · Relevant legal requirements

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry customers (1–2 extra business days). We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests engaged partys agree.

Topic 13 · Backup-set preparation to mitigate document loss in transit

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Case holders quoted before a change pay the older rate; applicants quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 14 · Country-specific notes

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the applicant loses originals abroad, we courier a Duly verified True Copy within 24 hours — no need to restart the workflow. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Engaged parties may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 15 · Post-delivery follow-up

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Authentication + return courier, so we can act on your behalf for the entire chain. Our language conversion team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Topic 16 · Workflow from intake to delivery

We run a pre-flight check before any MFA or consulate submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 17 · Service coverage and document pickup options

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Case holders track status 24/7 via reference number. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 18 · Destination Matrix: per-country document requirement analysis

We give customers a comparison matrix per case: Certificate authentication vs MFA + Consulate, generalist vs MoJ vs NAATI translator, DIY consulate vs full-service — with prices, timelines, and constraints side by side. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 19 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. For complex chains — language conversion + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the consulate's name on file.

Topic 20 · Probate and inheritance documents across multiple jurisdictions

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Additional frequently asked questions

Does an Apostille expire?
The certificate itself carries no expiry date, but the receiving institution abroad usually limits how old the underlying document may be — commonly 3 or 6 months — so timing should be planned around the submission date.
What about countries outside the Convention?
Non-member states, including several Middle Eastern and Asian countries, still use the two-step chain: certification by the Department of Consular Affairs followed by certification at that country's embassy in Thailand.
Can a representative file on my behalf?
Yes. A power of attorney in the form accepted by the Department of Consular Affairs is required, together with ID or passport copies of both the grantor and the representative. Scope and requirements are confirmed case by case by phone, LINE or email.
How are foreign documents used inside Thailand?
Obtain an Apostille from the competent authority in the issuing country, then have the document translated into Thai and the translation certified as the Thai receiving authority requires.
Can Thailand issue an Apostille now?
Thailand acceded to the 1961 Hague Apostille Convention, which entered into force for Thailand on 28 February 2026. The competent authority is the Department of Consular Affairs, Ministry of Foreign Affairs. Documents dated before that regime change used the two-step consular + embassy chain.
How does an Apostille differ from consular legalisation?
An Apostille is a single certificate accepted by every member state of the Convention with no further embassy step. Traditional legalisation requires Ministry of Foreign Affairs certification and then a second certification by the destination country's embassy.

How this connects to the next step

Thailand now issues apostilles, yet most private documents must first pass signature certification by a Thai notarial services attorney before they can enter that channel; destinations that do not accept an apostille still follow the legacy route of embassy attestation in Bangkok.

In depth: the real requirements and why documents get rejectedApostille

Written from the competent authority's published rules, not marketing copy.

Thailand's accession to the Hague Convention Abolishing the Requirement of Legalisation for Foreign Public Documents allows Thai public documents to be used in other contracting states with an Apostille certificate rather than a further embassy legalisation. The Apostille certifies the origin of the document, the signature, and the seal — never the content.

Conditions you actually have to clear

  • Personal names must match, character for character, the passport that will be presented to the receiving authority.
  • Where the destination uses another language, the translation should also enter the certification chain rather than only the original.
  • An Apostille is bound to one specific document; copying the certificate onto another document has no effect.

Common causes of rejection

  • Substituting a self-certified copy for an authority-issued original, so the document never qualifies as a public document.
  • Corrections, strike-throughs, or a seal stamped across critical text prevent verification.

If the destination is a contracting state but the receiving office still asks for embassy certification, obtain that requirement in writing and route the document accordingly rather than assuming the convention overrides it.

Documents you need to prepareApostille Thailand

  1. 1Original Thai government document, or a private document already notarised
  2. 2Confirmation that the destination is a Hague member — in force for Thailand from 28 February 2027
  3. 3Valid original passport or Thai ID card of the person signing
  4. 4Certified translation if the receiving body requires its own official language

Before you start

  • Some documents have a limited acceptance window, so start the process close to your actual filing date.
  • Check that the person's name is spelled identically across every document, or the receiving authority may reject the file.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • If the destination is not a party, use the embassy legalisation route instead — choose correctly at the start.
  • Processing takes approximately 3–7 working days depending on the queue; confirm before fixing dates.
  • Submit recently issued originals from the issuing authority, not old stored photocopies.
  • Keep an image of the Apostille; some countries allow online verification by register number.
  • Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table).

Pitfalls — why documents get rejected

  • Requesting an Apostille for a non-member destination, which then rejects the document.
  • Filing private documents without prior signature certification.
  • Filing a translation that has not been certified.
  • Using copies not issued by the competent authority.
  • Assuming the Apostille certifies content — it certifies only signature, capacity and seal.

In-depth questions and answersApostille certification

Answers follow the competent authority's published requirements, not marketing copy.

Which authority is competent for Apostille certification?

Department of Consular Affairs, Ministry of Foreign Affairs is the principal competent authority for Apostille certification. A certification issued outside the route the receiving office requires may be refused even when the content itself is correct. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Where can the current requirements for Apostille certification be verified?

Check the notices published by Department of Consular Affairs, Ministry of Foreign Affairs. The official sources used on this page are https://www.hcch.net/en/instruments/conventions/status-table/?cid=41 · https://consular.mfa.go.th/th/publicservice/legalization. Requirements are revised from time to time, so read the latest version before every filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What if our Apostille certification case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with Department of Consular Affairs, Ministry of Foreign Affairs. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Apostille certification take?

Turnaround is not fixed: it depends on the queue and rules of Department of Consular Affairs, Ministry of Foreign Affairs, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Apostille certification expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with Department of Consular Affairs, Ministry of Foreign Affairs, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Must the applicant appear in person for Apostille certification, or can it be delegated?

Some steps require the document owner to sign or appear; others accept a power of attorney. It depends on the rules of Department of Consular Affairs, Ministry of Foreign Affairs and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Apostille certification on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by Department of Consular Affairs, Ministry of Foreign Affairs under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Apostille certification be prepared to pass on the first submission?

Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table). The competent authority is Department of Consular Affairs, Ministry of Foreign Affairs. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Your case may have specific conditions — ask our staff directly.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
