Complete guide: Certified Translation Services in 33+ Languages

Topic 01 · Name-match resolution via Affidavit of One and the Same Person

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language conversion must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 02 · Service coverage and document pickup options

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consulate and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Engaged parties do not travel themselves. Foreign engaged parties regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 03 · Passport name-match verification

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column language conversion that preserves table formatting — handled by our specialised finance language rendering workflow. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 04 · International courier (DHL/FedEx) with full-value damage insurance

An Affidavit of Certified translation Accuracy is the translator's sworn statement before a notary that the language rendering is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 05 · Professional licence applications for overseas regulators

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 06 · Lawyer-certified true copies

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Hague-stamp / Authentication → Destination Consulate — full chain delivered in 7-10 business days. Foreign case holders should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two corporate hours during Bangkok working time.

Topic 07 · Payment and tax invoice

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 08 · Probate and inheritance documents across multiple jurisdictions

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Pricing transparency matters: every quote breaks out government fees, courier, official rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 09 · Signature and seal verification against the Notary Worldwide database

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 10 · Documents and information you need to prepare

Our attorneys can issue Authenticated True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 11 · Cross-border Power of Attorney drafting and authentication

Two-column side-by-side certified translation format places source and language conversion in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed case holders make better filings.

Topic 12 · Notes for corporate and institutional clients

We run a pre-flight check before any MFA or consular post submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. Our official rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 13 · Relevant legal requirements

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Engaged parties track status 24/7 via reference number. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: language conversion is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before diplomatic mission submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 14 · Scholarship and research grant documentation packages

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry case holders (1–2 extra business days). If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves service users five-figure sums in repeat fees.

Topic 15 · Service fees and turnaround time

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 16 · Post-delivery follow-up

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + officially recognized diploma copy + translator-duly verified translated copy — couriered directly to the evaluation body. Common destination-specific traps: USCIS rejects certified translations that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 17 · Workflow from intake to delivery

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside officially recognized language rendering and MFA authentication in a single engagement. We publish our internal QA stats quarterly to applicants on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests case holders agree.

Topic 18 · Citizenship application and renunciation document handling

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Authentication seal + return courier, so we can act on your behalf for the entire chain. For complex chains — language rendering + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the consular post's name on file.

Topic 19 · Document risk assessment criteria

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Service users may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 20 · Asset documentation for outbound FDI and treasury filings

When engaged parties need the same documents in multiple destination countries, we prepare parallel copy sets with Document attestation / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Additional frequently asked questions

What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
