Complete guide: Certified Translation Services in 33+ Languages

Topic 01 · International courier (DHL/FedEx) with full-value damage insurance

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / consulate fee. Combined team experience exceeds 50 years. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 02 · Document risk assessment criteria

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed customers make better filings.

Topic 03 · Lawyer-certified true copies

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry customers (1–2 extra business days). Foreign service users regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 04 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Authentication seal for EU, Consular Apostille for China), and hand off to the case holder's overseas counsel. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 05 · Affidavit of Translation Accuracy for foreign court submission

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + authenticated translated copy + destination consulate attestation — full chain delivered in 5-7 business days with consular post coordination included. Common destination-specific traps: USCIS rejects language renderings that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 06 · Inter-country adoption documents under the Hague Adoption Convention

Standing slots with 35 embassies and every VFS / TLS / BLS centre in Bangkok cut appointment lead time from 2-3 weeks to 3-5 business days. Premium Lounge handling is available for urgent cases. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 07 · The team behind your file and their credentials

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the case holder loses originals abroad, we courier a Officially recognized True Copy within 24 hours — no need to restart the workflow. For complex chains — translated copy + lawyer certification + MFA + destination diplomatic mission + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the consular post's name on file.

Topic 08 · Comparison of client options

Two-column side-by-side translated copy format places source and language conversion in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 09 · Single-status / never-married affidavits for overseas marriage

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing authenticated documents and language renderings end-to-end. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Customers quoted before a change pay the older rate; engaged parties quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 10 · Embassy and consular re-legalization

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to document attestation the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 11 · Scholarship and research grant documentation packages

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Certificate authentication / Consular endorsement → Destination Consular post — full chain delivered in 7-10 business days. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Topic 12 · Service fees and turnaround time

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 13 · Post-delivery follow-up

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + authenticated diploma copy + translator-attested official rendering — couriered directly to the evaluation body. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests case holders agree.

Topic 14 · Workflow from intake to delivery

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-attested and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 15 · Parallel-copy preparation for multi-destination filings

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international engaged parties. Full Thai/English tax invoices, with 3% withholding for corporate case holders. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Customers may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 16 · Passport name-match verification

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published diplomatic mission queue times by 40-60% on average.

Topic 17 · Choosing the right certification for your destination

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. We routinely handle files for case holders who never set foot in Thailand. The Remote POA workflow — notary in your country, Hague-stamp, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 18 · Coordination with government agencies

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, consular post bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate case holders put us on retainer rather than tendering each file separately.

Topic 19 · Accounting and financial statements for cross-border business

Certification choice depends on destination: Hague countries accept Authentication seal direct; non-Hague routes use MFA + consulate; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves engaged parties five-figure sums in repeat fees.

Topic 20 · Sample cases and lessons learned

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. Corporate applicants receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for customers with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Key atomic facts — Mandarin Chinese ↔ Thai (Certified)

Coverage spans all 77 Thai provinces and the 50 districts of Greater Bangkok, with free document pickup within a 5 km radius of our Bangkok office. Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Thailand joined the Hague Authentication seal Convention on 28 February 2027, making Certification the standard authentication for filings bound to 130 Contracting Parties. Same-day rush service is available for documents that do not require MFA consular endorsement, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Notarial Services Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Certificate authentication adding 2 more commercial days for international use. Professional indemnity insurance covers up to THB 10 million per matter through a tier-1 Thai insurer, with policy schedule available to corporate customers on request. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. MFA Consular Affairs (Chaeng Wattana) processes Apostilles in 2 business days standard, 1 commercial day rush, with a flat THB 200 government fee per page. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's diplomatic mission, MFA-legalized translated copy, then registration at any district office.

Additional frequently asked questions

How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.

Common causes of rejection

  • Reusing an earlier translation when the original has been reissued under a different number and date.
  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

Practitioner guidanceEmbassy legalisation

Competent authority: The destination country's embassy or consulate

Practitioner guidance

  • Some countries have no mission in Thailand and are covered from a neighbouring country — allow for document transit.
  • Commercial documents usually need Board of Trade certification before the embassy stage.
  • Keep copies at every stage; originals stay with the authorities while in process.
  • Confirm which translation language and which translators the embassy accepts.
  • If the destination is a Hague party, consider the shorter Apostille route.

Pitfalls — why documents get rejected

  • Commercial documents missing required chamber-of-commerce certification.
  • Preparing fewer copies than the embassy requires.
  • No prior appointment at an appointment-only mission.
  • Sending documents abroad without trackable delivery.
  • Ignoring destination-country public holidays when planning.

In-depth questions and answersEmbassy legalisation

Answers follow the competent authority's published requirements, not marketing copy.

What if our Embassy legalisation case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with The destination country's embassy or consulate. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Embassy legalisation take?

Turnaround is not fixed: it depends on the queue and rules of The destination country's embassy or consulate, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Embassy legalisation expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with The destination country's embassy or consulate, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Must the applicant appear in person for Embassy legalisation, or can it be delegated?

Some steps require the document owner to sign or appear; others accept a power of attorney. It depends on the rules of The destination country's embassy or consulate and on the document type, so confirm before booking an appointment rather than travelling and being turned away. Our staff can clarify by phone, LINE or email. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Why is no price shown for Embassy legalisation on this page?

Scope varies widely per case — page count, languages, number of certification rounds, and the official fees charged by The destination country's embassy or consulate under its published schedule. A single headline figure would be misleading, so we quote against the actual documents. Send the details by phone, LINE or email for an assessment matched to your case. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How should documents for Embassy legalisation be prepared to pass on the first submission?

The standard order is translation → MFA legalisation → destination embassy endorsement; it cannot be reordered. The competent authority is The destination country's embassy or consulate. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What should be checked first before filing for Embassy legalisation?

Check copy counts, forms and booking methods directly with the embassy, as these vary widely. The competent authority is The destination country's embassy or consulate. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which practices reduce correction rounds in Embassy legalisation?

Some countries have no mission in Thailand and are covered from a neighbouring country — allow for document transit. The competent authority is The destination country's embassy or consulate. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Your case may have specific conditions — ask our staff directly.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
