Complete guide: Translation + Notary + MFA + Embassy One-Stop Combo

Topic 01 · Professional licence applications for overseas regulators

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 02 · Asset documentation for outbound FDI and treasury filings

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Certificate authentication / Authentication → Destination Diplomatic mission — full chain delivered in 7-10 business days. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 03 · Payment and tax invoice

We give customers a comparison matrix per case: Certificate authentication vs MFA + Diplomatic mission, generalist vs MoJ vs NAATI translator, DIY consular post vs full-service — with prices, timelines, and constraints side by side. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate case holders who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 04 · Probate and inheritance documents across multiple jurisdictions

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: certified translation is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 05 · Sample cases and lessons learned

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 06 · Cross-border corporate document stack — Apostille + Embassy combo

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 commercial days. Same-Day rush is available at +100% with prior booking. Cost ranges in this guide are inclusive: government fees, courier, language rendering, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 07 · Comparison of client options

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. We document everything for repeat commercial. If you used us in 2024 for a marriage registration and come back in 2026 to authentication seal the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 08 · Add-on services worth considering

We offer a written accuracy guarantee. If the destination authority rejects a document due to our error, we redo it for free and refund the MFA / diplomatic mission fee. Combined team experience exceeds 50 years. Our translated copy team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language rendering cases that single-translator shops cannot detect.

Topic 09 · Relevant legal requirements

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Engaged parties may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 10 · Scholarship and research grant documentation packages

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. For complex chains — language conversion + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the diplomatic mission's name on file.

Topic 11 · Country-specific notes

Corporate applicants receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consular post fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 12 · Quality standards and accuracy guarantee

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + officially recognized diploma copy + translator-duly verified translated copy — couriered directly to the evaluation body. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two enterprise days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 13 · Name-match resolution via Affidavit of One and the Same Person

Case holders access an online portal to view case timelines, download past deliverables, request requotes, and pull receipts going back five years — all encrypted and 2FA-gated. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 14 · Service coverage and document pickup options

Cross-border accounting documents (Audited Financial Statement, VAT and CIT returns) require two-column language rendering that preserves table formatting — handled by our specialised finance translated copy workflow. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves case holders five-figure sums in repeat fees.

Topic 15 · Passport name-match verification

Post-delivery we follow up: applicants confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Many destinations now require Hague-stamp in addition to certified translation since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 16 · International courier (DHL/FedEx) with full-value damage insurance

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language conversion must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 17 · Document risk assessment criteria

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry case holders (1–2 extra business days). Foreign case holders regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 18 · Lawyer-certified true copies

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests applicants agree.

Topic 19 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

Foreign professional licensing (doctors, nurses, engineers, architects) needs a Certificate of Good Standing from the Thai council + transcript + practice certificate — MFA + destination consulate attestation — prepared as one package. Common destination-specific traps: USCIS rejects translated copys that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 20 · Affidavit of Translation Accuracy for foreign court submission

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-officially recognized and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed engaged parties make better filings.

The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Consular endorsement adding 2 more corporate days for international use. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's consulate, MFA-legalized language rendering, then registration at any district office. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, consular post fee receipt with obscured date, and incorrect translator certification format. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Attested translators, and dedicated embassy-liaison officers. Same-day rush service is available for instruments that do not require MFA apostille, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. We hold standing slots at 35 major embassies in Bangkok, cutting consular post authentication queue time from 5–10 business days down to 2–3 commercial days. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate service users, with same-month back-dating where allowed by law. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Additional frequently asked questions

What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.
  • Any change to the original after translation — even one additional stamp — requires the translation to be updated to match.
  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
