Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Service fees and turnaround time

Cross-border Power of Attorney must satisfy both Thai law and the destination jurisdiction's formality rules — we draft bilingual parallel text, verify destination requirements (Notary + Certificate authentication for EU, Consular Apostille for China), and hand off to the applicant's overseas counsel. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 02 · Quality standards and accuracy guarantee

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized language rendering + destination consulate attestation — full chain delivered in 5-7 business days with consular post coordination included. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 03 · Workflow from intake to delivery

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Case holders may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 04 · Medical record handling for international insurance claims

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the case holder loses originals abroad, we courier a Authenticated True Copy within 24 hours — no need to restart the workflow. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves customers five-figure sums in repeat fees.

Topic 05 · Destination Matrix: per-country document requirement analysis

Two-column side-by-side translated copy format places source and language rendering in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 06 · Choosing the right certification for your destination

Post-delivery we follow up: customers confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate customers who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 07 · Document risk assessment criteria

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consulate rejection-and-rework downstream. Corporate service users receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for customers with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 08 · Coordination with government agencies

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Hague-stamp / Certification → Destination Consular post — full chain delivered in 7-10 business days. We routinely handle files for engaged parties who never set foot in Thailand. The Remote POA workflow — notary in your country, Authentication seal, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five enterprise days from receipt of the POA.

Topic 09 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

We give customers a comparison matrix per case: Certificate authentication vs MFA + Consular post, generalist vs MoJ vs NAATI translator, DIY consular post vs full-service — with prices, timelines, and constraints side by side. Pricing transparency matters: every quote breaks out government fees, courier, language conversion surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 10 · Probate and inheritance documents across multiple jurisdictions

Frequent add-ons: MFA consular endorsement, destination consular post authentication, NAATI language conversion for Australia, MoJ certified translation for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to apostille the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 11 · Sample cases and lessons learned

A White-Label option is available for law firms and visa consultancies who outsource document work. We deliver under your firm's letterhead with an enterprise NDA in place. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 12 · Cross-border corporate document stack — Apostille + Embassy combo

Our attorneys can issue Authenticated True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 13 · Comparison of client options

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Authentication seal + return courier, so we can act on your behalf for the entire chain. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 14 · Notes for corporate and institutional clients

We run a pre-flight check before any MFA or consular post submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. Common destination-specific traps: USCIS rejects translated copys that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 15 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Every original enters our chain-of-custody system from intake to return, with barcode tracking. Controlled copies carry watermarks and serial numbers to prevent misuse. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Engaged parties quoted before a change pay the older rate; service users quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 16 · Standard turnaround vs rush service

Medical record official rendering for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 17 · Country-specific notes

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consular post sources — case holders get precise pre-filing guidance and avoid wrong-document-type submission. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two enterprise days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 18 · Digital file storage under ISO/IEC 27001 information-security standard

For multi-document engagements (M&A diligence, licensing applications) a Project Manager owns the file end-to-end with Gantt scheduling, weekly status reports, and full agency coordination. Cost ranges in this guide are inclusive: government fees, courier, translated copy, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 19 · Original and controlled-copy handling

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + attested diploma copy + translator-officially recognized certified translation — couriered directly to the evaluation body. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consulate quirks.

Topic 20 · Service coverage and document pickup options

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every diplomatic mission and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Service users do not travel themselves. Our translated copy team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-official rendering cases that single-translator shops cannot detect.

Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Same-day rush service is available for documents that do not require MFA certification, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. Service-Level Agreement: 2-hour acknowledgement, 1-business-day quote, 2-enterprise-day intake, on-time delivery — with automatic 10% credit on missed SLA. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Every engagement closes with a one-page brief paperworking actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate engaged parties, with same-month back-dating where allowed by law. Standard turnaround is 1–3 business days for language rendering and certification; add 2–4 enterprise days when MFA consular endorsement is required; add 2–5 business days when destination diplomatic mission authentication is required. We hold standing slots at 35 major embassies in Bangkok, cutting diplomatic mission authentication queue time from 5–10 enterprise days down to 2–3 business days. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Thailand joined the Hague Authentication seal Convention on 28 February 2027, making Authentication seal the standard authentication for documents bound to 130 Contracting Parties.

Additional frequently asked questions

Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.
Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Quality in official-document translation is not measured by fluency. It is measured by the consistency of proper names, document numbers, dates, and the description of seals. The receiving officer compares these point by point against the original.

Conditions you actually have to clear

  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
