Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Destination Matrix: per-country document requirement analysis

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Hague-stamp + return courier, so we can act on your behalf for the entire chain. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 02 · Choosing the right certification for your destination

We follow PDPA strictly. Originals are kept in a locked safe for ≥7 years. Digital files are AES-256 encrypted. Applicants may invoke Right to Erasure at any time. Every staff member signs an NDA. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 03 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. Corporate applicants receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for applicants with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 04 · Coordination with government agencies

When case holders need the same documents in multiple destination countries, we prepare parallel copy sets with Document attestation / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 05 · Payment and tax invoice

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. Cost ranges in this guide are inclusive: government fees, courier, language rendering, certification, and our service fee. The single line item that can vary is destination-diplomatic mission fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 06 · Confidentiality and personal data (PDPA) handling

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to consular endorsement the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 07 · Signature and seal verification against the Notary Worldwide database

Diplomatic mission authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. We routinely handle files for customers who never set foot in Thailand. The Remote POA workflow — notary in your country, Certificate authentication, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five enterprise days from receipt of the POA.

Topic 08 · The team behind your file and their credentials

Our attorneys can issue Authenticated True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. For complex chains — official rendering + lawyer certification + MFA + destination consulate + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the diplomatic mission's name on file.

Topic 09 · Comparison of client options

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate service users who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 10 · Add-on services worth considering

Post-delivery we follow up: case holders confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 11 · Embassy and consular re-legalization

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Service users track status 24/7 via reference number. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 12 · Backup-set preparation to mitigate document loss in transit

Our team includes Notarial Services Attorneys registered with the Lawyers Council, Ministry of Justice–listed translators, NAATI Authenticated translators, and dedicated consular post liaison officers. Our language conversion team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language rendering cases that single-translator shops cannot detect.

Topic 13 · Two-column side-by-side translation format for court submission

We give case holders a comparison matrix per case: Apostille vs MFA + Consulate, generalist vs MoJ vs NAATI translator, DIY consular post vs full-service — with prices, timelines, and constraints side by side. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 14 · Digital file storage under ISO/IEC 27001 information-security standard

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 15 · Workflow from intake to delivery

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Engaged parties do not travel themselves. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 16 · Service coverage and document pickup options

Document attestation is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the authentication chain is required: Notary → MFA Thailand → Destination Consulate — we operate both pipelines daily. Pricing transparency matters: every quote breaks out government fees, courier, language rendering surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 17 · Passport name-match verification

An Affidavit of Language rendering Accuracy is the translator's sworn statement before a notary that the official rendering is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. Foreign customers regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 18 · International courier (DHL/FedEx) with full-value damage insurance

Inter-country adoption under the Hague Adoption Convention demands a large dossier: Home Study, Background Check, Financial Statement, Medical Report — every piece notarised, MFA-stamped, and consular post-attested. We have working precedent with the US, Italy, Spain, and the Netherlands. Many destinations now require certificate authentication in addition to language conversion since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + embassy chain because their own implementation has not caught up.

Topic 19 · Document risk assessment criteria

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Customers may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 20 · Lawyer-certified true copies

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Key atomic facts — Death Certificate Translation + MFA + Apostille

Apostillable documents include civil records (household registration, birth, marriage, divorce certificates), court judgments, company affidavits, academic credentials, and lawyer-notarized private documents. MFA Consular Affairs (Chaeng Wattana) processes Authentication seals in 2 business days standard, 1 enterprise day rush, with a flat THB 200 government fee per page. Notarial Services Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. Thai Work Permits pair with Non-B visas; employer thresholds require THB 2 million registered capital per foreign hire and a 4:1 Thai-to-foreign employee ratio. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's diplomatic mission, MFA-legalized certified translation, then registration at any district office. Same-day rush service is available for filings that do not require MFA authentication, with bookings confirmed before 11:00 Bangkok time and a 100% rush surcharge. All engaged party documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Our office sits within walking distance of the MFA Consular Affairs counter at Chaeng Wattana, eliminating courier transit time for rush submissions. Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Standard turnaround is 1–3 business days for language rendering and certification; add 2–4 corporate days when MFA certification is required; add 2–5 business days when destination consulate authentication is required. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, embassy fee receipt with obscured date, and incorrect translator certification format. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Our team includes Lawyers Council–registered Notarial Solutions Attorneys, Ministry of Justice–listed translators, NAATI-Duly verified translators, and dedicated consular post-liaison officers. NAATI-Authenticated language renderings are required for all official Australian Department of Home Affairs filings; translations must be issued within the prior 24 months.

Additional frequently asked questions

What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.
How do legal and medical translations differ?
Specialist texts must follow professional terminology and reproduce institution names exactly as issued. A glossary is applied across the whole document set so the recipient does not encounter inconsistent terms.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

"Certified translation" means different things in different jurisdictions. In some it is a translation the translator signs as accurate; in others the translator must be registered with a court or public authority; in others still the translator's signature must itself be certified. Choosing the wrong category causes rejection even when every word is correct.

Conditions you actually have to clear

  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.

Common causes of rejection

  • Rendering a Thai authority's name as a near-equivalent in the destination's legal system, which misrepresents the type of body involved.
  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Practitioner guidanceApostille certification

Competent authority: Department of Consular Affairs, Ministry of Foreign Affairs

Practitioner guidance

  • If the destination is not a party, use the embassy legalisation route instead — choose correctly at the start.
  • Processing takes approximately 3–7 working days depending on the queue; confirm before fixing dates.
  • Submit recently issued originals from the issuing authority, not old stored photocopies.
  • Keep an image of the Apostille; some countries allow online verification by register number.
  • Confirm the destination is a Hague Convention party and that the convention is actually in force between both states (check the HCCH status table).

Pitfalls — why documents get rejected

  • Planning with no allowance for the authority's queue.
  • Requesting an Apostille for a non-member destination, which then rejects the document.
  • Filing private documents without prior signature certification.
  • Filing a translation that has not been certified.
  • Using copies not issued by the competent authority.

In-depth questions and answersApostille certification

Answers follow the competent authority's published requirements, not marketing copy.

What deserves extra care when Apostille certification is filed with an overseas authority?

Observed cause: Assuming the Apostille certifies content — it certifies only signature, capacity and seal. If you are unsure whether your case is affected, confirm with Department of Consular Affairs, Ministry of Foreign Affairs, or ask our staff by phone, LINE or email before filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which Apostille certification error is hardest to correct afterwards?

Observed cause: The destination requires its own official language but only English was prepared. If you are unsure whether your case is affected, confirm with Department of Consular Affairs, Ministry of Foreign Affairs, or ask our staff by phone, LINE or email before filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which Apostille certification trap do applicants usually notice too late?

Observed cause: Planning with no allowance for the authority's queue. If you are unsure whether your case is affected, confirm with Department of Consular Affairs, Ministry of Foreign Affairs, or ask our staff by phone, LINE or email before filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Which authority is competent for Apostille certification?

Department of Consular Affairs, Ministry of Foreign Affairs is the principal competent authority for Apostille certification. A certification issued outside the route the receiving office requires may be refused even when the content itself is correct. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Where can the current requirements for Apostille certification be verified?

Check the notices published by Department of Consular Affairs, Ministry of Foreign Affairs. The official sources used on this page are https://www.hcch.net/en/instruments/conventions/status-table/?cid=41 · https://consular.mfa.go.th/th/publicservice/legalization. Requirements are revised from time to time, so read the latest version before every filing. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

What if our Apostille certification case has unusual conditions?

For edge cases — mismatched names across documents, foreign-issued records, or a tight deadline — have the set reviewed first, then reconfirm the conditions with Department of Consular Affairs, Ministry of Foreign Affairs. Ask our staff by phone, LINE or email for scope and timing (we do not publish fees on the page because they depend on the document type and destination). This is general guidance; requirements and processing times change — verify with the competent authority before filing.

How long does Apostille certification take?

Turnaround is not fixed: it depends on the queue and rules of Department of Consular Affairs, Ministry of Foreign Affairs, the document type, and the receiving office abroad. For that reason we do not publish a fixed figure. Plan a buffer before your real deadline and ask our staff by phone, LINE or email for the current queue before booking travel. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Does the result of Apostille certification expire?

Validity is set by the receiving office, not by the service provider. Many offices accept only recently issued documents, so confirm the destination's window first and only then start the process with Department of Consular Affairs, Ministry of Foreign Affairs, to avoid the document expiring while it waits in the queue. This is general guidance; requirements and processing times change — verify with the competent authority before filing.

Your case may have specific conditions — ask our staff directly.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
