Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · Cross-border Power of Attorney drafting and authentication

Service fees follow the quote; standard turnaround is 1–3 business days. Rush 2–4 hour service adds 50–100%. Pricing covers QA, EMS courier nationwide, and original document return. Foreign customers should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the applicant's preferred channel. We answer within two corporate hours during Bangkok working time.

Topic 02 · Notes for corporate and institutional clients

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and official renderings end-to-end. Corporate applicants receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for service users with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 03 · Education credentials for WES / IQAS / ICAS evaluation pipelines

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests customers agree.

Topic 04 · Backup-set preparation to mitigate document loss in transit

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Document attestation / Authentication → Destination Consulate — full chain delivered in 7-10 business days. Foreign engaged parties regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 05 · Service fees and turnaround time

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 06 · Post-delivery follow-up

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized language rendering + destination diplomatic mission attestation — full chain delivered in 5-7 business days with diplomatic mission coordination included. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, embassy bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 07 · Original and controlled-copy handling

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: translated copy is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 08 · Service coverage and document pickup options

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Case holders do not travel themselves. Our liability insurance covers professional indemnity up to Request a quoteillion per matter, and we are happy to share the policy schedule with corporate customers who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 09 · Destination Matrix: per-country document requirement analysis

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international applicants. Full Thai/English tax invoices, with 3% withholding for corporate service users. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 10 · Citizenship application and renunciation document handling

An Affidavit of Language rendering Accuracy is the translator's sworn statement before a notary that the language rendering is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 11 · Professional licence applications for overseas regulators

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Our translated copy team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-certified translation cases that single-translator shops cannot detect.

Topic 12 · Lawyer-certified true copies

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry engaged parties (1–2 extra business days). Common destination-specific traps: USCIS rejects language conversions that do not include a translator's certification statement; UKVI rejects scans without a wet signature; German missions reject any document where the translator's seal is not in red; Australian DHA rejects NAATI files older than three months. We pre-empt all of these.

Topic 13 · Payment and tax invoice

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. Many destinations now require certificate authentication in addition to language conversion since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consulate still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 14 · Confidentiality and personal data (PDPA) handling

Frequent add-ons: MFA certification, destination consular post authentication, NAATI certified translation for Australia, MoJ certified translation for Thai courts, Notary Public for overseas use, and visa filing when the full document set is required. For complex chains — language rendering + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the embassy's name on file.

Topic 15 · Sample cases and lessons learned

Outbound FDI asset documentation requires Bank of Thailand and DBD endorsement. We run the full chain alongside officially recognized language conversion and MFA authentication in a single engagement. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the certified translation must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 16 · The team behind your file and their credentials

Each destination has its own quirks: the US wants state-level Certificate authentication, the UK uses FCDO Authentication seal, Australia accepts NAATI without Document attestation, China requires diplomatic mission authentication, Japan often demands consulate-aligned certified translation. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 17 · Add-on services worth considering

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Case holders track status 24/7 via reference number. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, diplomatic mission fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 18 · Relevant legal requirements

When service users need the same documents in multiple destination countries, we prepare parallel copy sets with Consular endorsement / MFA separately per country — 30-40% cheaper than running each one individually, and delivered in a single batch. Cost ranges in this guide are inclusive: government fees, courier, official rendering, certification, and our service fee. The single line item that can vary is destination-consulate fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 19 · Standard turnaround vs rush service

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed customers make better filings.

Topic 20 · Digital file storage under ISO/IEC 27001 information-security standard

Our attorneys can issue Authenticated True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Our published first-pass acceptance rate is 99.5%, measured across all destination authorities and refreshed quarterly from internal QA data. Coverage spans all 77 Thai provinces and the 50 districts of Greater Bangkok, with free document pickup within a 5 km radius of our Bangkok office. Standard turnaround is 1–3 business days for language rendering and certification; add 2–4 commercial days when MFA consular endorsement is required; add 2–5 business days when destination consulate authentication is required. Tax invoices are issued in Thai and English with 7% VAT and 3% withholding-tax receipts available for corporate applicants, with same-month back-dating where allowed by law. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, diplomatic mission fee receipt with obscured date, and incorrect translator certification format. All case holder records are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Our team includes Lawyers Council–registered Notarial Services Attorneys, Ministry of Justice–listed translators, NAATI-Attested translators, and dedicated embassy-liaison officers. Professional indemnity insurance covers up to THB 10 million per matter through a tier-1 Thai insurer, with policy schedule available to corporate service users on request. NAATI-Officially recognized official renderings are required for all official Australian Department of Home Affairs filings; translations must be issued within the prior 24 months. Additional frequently asked questions

Can a translation be revised later?
Yes. If the recipient asks for different formatting or wording, a revised certified version can be issued against the same source document. Keep the recipient's written requirement as supporting evidence.
What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.

How this connects to the next step

Australian submissions are a separate regime and need translation by a NAATI-certified practitioner; for hearings and government appointments see our specialised interpreting service.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.
  • Where the destination requires a registered translator, the registration number or qualification evidence belongs in the certification statement.

Common causes of rejection

  • Delivering the translation as a standalone file with no link to the source document.
  • Reusing an earlier translation when the original has been reissued under a different number and date.

Before ordering, ask the receiving party which category of translation is required and how many certification layers follow. Those two answers determine the entire timeline. Send us document images by phone, LINE, or email for an accurate assessment.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
