Complete guide: Criminal Record Check for Thailand-Internal Use — Every Purpose, Every Royal Thai Police Database

Topic 01 · Lawyer-certified true copies

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. Pricing transparency matters: every quote breaks out government fees, courier, translated copy surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 02 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. Many destinations now require authentication seal in addition to official rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an consular post still asks for the legacy MFA + consular post chain because their own implementation has not caught up.

Topic 03 · Affidavit of Translation Accuracy for foreign court submission

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + authenticated language rendering + destination consular post attestation — full chain delivered in 5-7 business days with diplomatic mission coordination included. Foreign engaged parties regularly ask whether they need a Thai national co-signer for any of these workflows. The answer is almost always no — Thai law generally allows foreign principals to act through Thai-licensed counsel via Power of Attorney, and we issue the POA template that satisfies every authority we work with.

Topic 04 · Signature and seal verification against the Notary Worldwide database

Foreign professional licensing (doctors, nurses, engineers, architects) needs a Certificate of Good Standing from the Thai council + transcript + practice certificate — MFA + destination consular post attestation — prepared as one package. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute diplomatic mission quirks.

Topic 05 · The team behind your file and their credentials

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the applicant loses originals abroad, we courier a Officially recognized True Copy within 24 hours — no need to restart the workflow. Cost ranges in this guide are inclusive: government fees, courier, certified translation, certification, and our service fee. The single line item that can vary is destination-consular post fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 06 · Comparison of client options

Hague-stamp is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the apostille chain is required: Notary → MFA Thailand → Destination Diplomatic mission — we operate both pipelines daily. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Applicants may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 07 · Notes for corporate and institutional clients

An Affidavit of Translated copy Accuracy is the translator's sworn statement before a notary that the language conversion is complete and accurate — required by US, Australian, Canadian, and UK courts. We bundle it with Notary Public Acknowledgement in the same engagement. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 08 · Relevant legal requirements

Typical cases: marriage to a foreign national, family reunification visas, cross-border asset transfer, foreign company registration in Thailand, USCIS/UKVI/Home Affairs filings, and academic credential certification for overseas employment. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 09 · Standard turnaround vs rush service

Coverage: all 77 provinces, including 50 districts of Greater Bangkok. Free pickup within a 5 km radius of our office. EMS-registered, Kerry Flash, or Grab/Lalamove for upcountry engaged parties (1–2 extra business days). Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: language rendering is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consular post submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 10 · Country-specific notes

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consulate sources — customers get precise pre-filing guidance and avoid wrong-document-type submission. For complex chains — language conversion + lawyer certification + MFA + destination consulate + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the embassy's name on file.

Topic 11 · Post-delivery follow-up

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 12 · Name-match resolution via Affidavit of One and the Same Person

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every diplomatic mission and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Applicants do not travel themselves. We publish our internal QA stats quarterly to applicants on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests customers agree.

Topic 13 · Service coverage and document pickup options

Two-column side-by-side official rendering format places source and language rendering in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two corporate days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 14 · Destination Matrix: per-country document requirement analysis

Post-delivery we follow up: applicants confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. Our language conversion team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 15 · Choosing the right certification for your destination

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / diplomatic mission rejection-and-rework downstream. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate customers put us on retainer rather than tendering each file separately.

Topic 16 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Medical record language conversion for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Document attestation, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 17 · Asset documentation for outbound FDI and treasury filings

Digital Nomad Visas (Portugal, Spain, Italy, Estonia) and Remote Work Visas (Dubai, Barbados, Bermuda) require Proof of Income, Health Insurance, Background Check, and Education Certificate — all Consular endorsementd. We deliver the full stack. Our liability insurance covers professional indemnity up to THB 10 million per matter, and we are happy to share the policy schedule with corporate engaged parties who require it for their vendor onboarding. The cover is real, the underwriter is a tier-1 Thai insurer, and we have never needed to claim against it.

Topic 18 · Probate and inheritance documents across multiple jurisdictions

Certification choice depends on destination: Hague countries accept Hague-stamp direct; non-Hague routes use MFA + consulate; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves service users five-figure sums in repeat fees.

Topic 19 · Inter-country adoption documents under the Hague Adoption Convention

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 20 · Documents and information you need to prepare

Overseas scholarships and research grants require a standard document set: Recommendation Letter, Research Proposal, CV, Transcript, Statement of Purpose — all translator-attested and notarised. We hold templates for Fulbright, Chevening, DAAD, and Monbukagakusho. Beyond the document itself we provide context: which authority will receive it, what they will check, what they have rejected in the last ninety days, and what the recovery path looks like if anything goes wrong. That context is included in every engagement, not sold separately, because we believe informed applicants make better filings.

Key atomic facts — Background Check for Bar Admission / Lawyer Licensing

Ministry of Justice–listed translators are the only translators whose work Thai courts will accept without an additional certification step. Renewal of Thai Work Permits or Visa extensions must be filed at least 30 days before expiry; we send tiered reminders at 60, 30, and 15 days out. Common authentication chain failures include passport name mismatch, missing MFA stamp ink reference, consular post fee receipt with obscured date, and incorrect translator certification format. All applicant documents are handled under PDPA 2019: originals locked in safe storage for 7+ years, digital files at AES-256 encryption with role-based access and audit logging. Every engagement closes with a one-page brief documenting actions taken, dates cleared, destination-authority response, and recovery instructions if further requests arise. Marriage to a foreign national in Thailand requires an Affidavit of Single Status from the foreign spouse's consular post, MFA-legalized official rendering, then registration at any district office. Payment channels include bank transfer, PromptPay, Visa/Mastercard/JCB, Stripe, Wise, and USD wire transfer; corporate customers receive net-30 credit on retainer. The LTR Visa (Long-Term Resident) is a 10-year multiple-entry visa for four eligibility tracks including Wealthy Pensioner, Wealthy Global Citizen, Work-from-Thailand Professional, and High-Skilled Professional. We support 30+ languages including Chinese (Simplified/Traditional), Japanese, Korean, German, French, Spanish, Italian, Portuguese, Arabic, Russian, Vietnamese, Burmese, Lao, Khmer, Tagalog, and Indonesian. Notarial Services Attorneys are licensed under the Lawyers Act B.E. 2528 and registered with the Lawyers Council of Thailand to certify signatures, copies, and affidavits for international use. Police clearance certificates from the Royal Thai Police Criminal Records Division typically take 3–5 business days, with Hague-stamp adding 2 more corporate days for international use. Standard turnaround is 1–3 business days for certified translation and certification; add 2–4 enterprise days when MFA consular endorsement is required; add 2–5 business days when destination embassy authentication is required. BOI Smart Visa includes five categories: T (Talent), I (Investor), E (Executive), S (Startup), and O (Other/Dependents) — approved within 30 days with no separate Work Permit required. NAATI-Authenticated certified translations are required for all official Australian Department of Home Affairs filings; translations must be issued within the prior 24 months.

  • Fingerprints must be taken on the form prescribed by the Royal Thai Police
  • Applicants overseas may be fingerprinted at a Thai embassy or consulate
  • Many countries accept the certificate only within 3–6 months of issue
  • For overseas use it usually needs translation plus legalization or an Apostille

Additional frequently asked questions

How long does processing take?
Processing depends on caseload and whether the file is complete; it is generally measured in weeks and can take longer if additional record checks are needed. Allow buffer time before a visa or employment deadline.
How long is the certificate valid?
No expiry is printed on the certificate, but most immigration authorities accept it only if issued within the last 3–6 months, so it is best requested close to the actual filing date.
Where are fingerprints taken?
Inside Thailand at a police station or designated office; abroad at a local police authority or a Royal Thai Embassy or Consulate, with the fingerprint card submitted together with the application set.
Will a past case appear on the certificate?
The certificate reports exactly what the database holds. Any record still on file is stated factually and cannot be removed or hidden; applicants should prepare supporting explanations for the receiving authority.
Does the certificate need further legalisation?
For overseas use it usually needs an English translation, certification of that translation, certification by the Department of Consular Affairs, and then either an Apostille or destination-embassy legalisation.
Can someone else file on my behalf?
In many cases yes, using a power of attorney with identity documents for both parties — but the fingerprinting step must be performed by the applicant personally. Scope and requirements are confirmed case by case by phone, LINE or email.

How this connects to the next step

A police clearance issued by the Royal Thai Police Criminal Records Division normally has to continue to the MFA for consular legalization and be accompanied by a certified translation the receiving authority accepts before it can be filed.

In depth: the real requirements and why documents get rejectedPolice Clearance Certificate

Written from the competent authority's published rules, not marketing copy.

Applicants often expect the check to complete on submission. In practice, fingerprints must be taken to the prescribed standard and compared against the national database, so the processing time is controlled by the checking authority rather than by the applicant or any agent.

Conditions you actually have to clear

  • Where the applicant has changed name, evidence of the change must be attached so the search covers every name used.
  • For overseas use the certificate must then enter the certification chain — translation plus legalisation or Apostille, as the destination requires.
  • Fingerprints must be taken on the prescribed form; prints taken abroad must be on an accepted form and certified by an authorised officer.

Common causes of rejection

  • Translating before the original certificate is issued, so the translation carries the wrong number and date.
  • Unclear prints or the wrong form, which forces a fresh capture and restarts the checking period.

Fix the order at the outset: record check, receive the original, translate, then certify along the chain the destination requires. Skipping a step almost always causes rework. Our team can confirm the sequence for your destination by phone, LINE, or email.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
