Complete guide: Thailand Criminal Record Check for Foreign Nationals — Every Purpose, End-to-End

Topic 01 · Two-column side-by-side translation format for court submission

Name-match verification is critical for visa-bound documents. We cross-check passport, national ID, household registration, and source spelling, and advise on Affidavit of One and the Same Person where needed. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the language conversion must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 02 · Digital file storage under ISO/IEC 27001 information-security standard

Overseas marriage requires a Certificate of No Marriage (CNM) issued by the district office + MFA + officially recognized translated copy + destination diplomatic mission attestation — full chain delivered in 5-7 business days with consulate coordination included. Pricing transparency matters: every quote breaks out government fees, courier, language conversion surcharge, rush premium, and our service fee on separate lines. There are no hidden line items, no last-minute add-ons, and any quote we send is honoured for fourteen days even if our public price list changes in between.

Topic 03 · Name-match resolution via Affidavit of One and the Same Person

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. Many destinations now require document attestation in addition to language rendering since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + consulate chain because their own implementation has not caught up.

Topic 04 · Medical record handling for international insurance claims

Standard turnaround is 1–3 business days for most documents. Files that need MFA apostille add 2–4 corporate days. Same-Day rush is available at +100% with prior booking. Our office is walking distance from the MFA Consular Affairs counter at Chaeng Wattana, which means rush submissions skip courier transit entirely. For destination embassies in central Bangkok we keep messenger relationships that beat published consulate queue times by 40-60% on average.

Topic 05 · Passport name-match verification

Apostille is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the authentication chain is required: Notary → MFA Thailand → Destination Consulate — we operate both pipelines daily. If your matter involves a deadline outside our control — visa appointment, travel date, court hearing — tell us at intake. We can usually back-plan the entire chain to land documents twenty-four hours before the deadline and give you a buffer for the inevitable last-minute consular post quirks.

Topic 06 · International courier (DHL/FedEx) with full-value damage insurance

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing officially recognized documents and language conversions end-to-end. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Customers quoted before a change pay the older rate; customers quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 07 · Document risk assessment criteria

Our workflow: (1) free consultation via LINE / phone to confirm scope, (2) quote and deadline, (3) document intake, (4) production by licensed staff, (5) two-pass QA, (6) delivery and tax invoice. Customers track status 24/7 via reference number. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 08 · Lawyer-certified true copies

Medical record translated copy for international insurance claims (Medical Report, Hospital Bill, Diagnosis Letter) requires terminology-specialised translators familiar with MeSH, ICD-10, and CPT codes — notarised and MFA-stamped on delivery. Our language rendering team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 09 · Accounting and financial statements for cross-border business

Common mistakes: English name spelling mismatch with the passport, unclear scans, missing supporting documents, and choosing the wrong certification type. We check all of these before accepting a job. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Applicants may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 10 · Confidentiality and personal data (PDPA) handling

Certification choice depends on destination: Hague countries accept Certificate authentication direct; non-Hague routes use MFA + consular post; in-Thailand use needs notarization + lawyer certification; Thai court use requires MoJ-listed translators. Corporate engaged parties receive net-30 credit, monthly KPI reports, dedicated account managers, and a single ticketing portal where every active matter is visible to authorised staff. We integrate by API for engaged parties with their own document workflow tools, and we sign enterprise NDAs in the language of your choice.

Topic 11 · Inter-country adoption documents under the Hague Adoption Convention

Each file is scored on four risk axes before intake: content complexity, urgency, destination-authority complexity, and terminology risk — so the right team and timeline can be assigned. We are deliberate about which embassies we hold standing slots with. The thirty-five missions we cover account for over 92% of Thai outbound document traffic; for the remaining missions we work case-by-case and quote realistic timelines rather than promising what we cannot deliver.

Topic 12 · The team behind your file and their credentials

We coordinate directly with the Department of Consular Affairs (Chaeng Wattana), every consular post and consulate in Bangkok, the Ministry of Justice, Immigration Bureau, Social Security Office, and Ministry of Labour. Service users do not travel themselves. For complex chains — language conversion + lawyer certification + MFA + destination consulate + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the embassy's name on file.

Topic 13 · Cross-border Power of Attorney drafting and authentication

Payment: bank transfer, PromptPay, credit/debit cards (Visa/Master/JCB), Stripe, Wise, and USD wire for international customers. Full Thai/English tax invoices, with 3% withholding for corporate customers. We publish our internal QA stats quarterly to case holders on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests service users agree.

Topic 14 · Notes for corporate and institutional clients

We run a pre-flight check before any MFA or consular post submission to catch the small errors that cause rejection — tear marks, ink bleed, wrong dates, missing signatures. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-diplomatic mission fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 15 · Embassy and consular re-legalization

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, diplomatic mission fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 16 · Scholarship and research grant documentation packages

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Authentication / Certification → Destination Consulate — full chain delivered in 7-10 business days. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 17 · Digital Nomad Visa and Remote Work Visa document stacks

Digital Nomad Visas (Portugal, Spain, Italy, Estonia) and Remote Work Visas (Dubai, Barbados, Bermuda) require Proof of Income, Health Insurance, Background Check, and Education Certificate — all Apostilled. We deliver the full stack. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, diplomatic mission bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate engaged parties put us on retainer rather than tendering each file separately.

Topic 18 · Pre-booked appointments at embassies and VFS/TLS/BLS centres

Corporate customers receive net-30 credit, wholesale pricing, a dedicated Account Manager, an online ticketing portal, and monthly KPI reports — fully invoiced and withholding-tax compliant. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Consular endorsement, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 19 · Asset documentation for outbound FDI and treasury filings

Consulate authentication is the last link in the chain. We hold standing slots at 35 major Bangkok embassies, cutting the 5–10 day queue down to 2–3 business days. On urgency: roughly 18% of our matters are filed under same-day rush. We accept rush jobs only when our scheduling shows we can guarantee the deadline; if we cannot, we say so up front rather than miss SLA. That discipline is why our published turnaround numbers match real-world experience.

Topic 20 · Affidavit of Translation Accuracy for foreign court submission

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the applicant loses originals abroad, we courier a Authenticated True Copy within 24 hours — no need to restart the workflow. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Additional frequently asked questions

How long is the certificate valid?
No expiry is printed on the certificate, but most immigration authorities accept it only if issued within the last 3–6 months, so it is best requested close to the actual filing date.
Where are fingerprints taken?
Inside Thailand at a police station or designated office; abroad at a local police authority or a Royal Thai Embassy or Consulate, with the fingerprint card submitted together with the application set.
Will a past case appear on the certificate?
The certificate reports exactly what the database holds. Any record still on file is stated factually and cannot be removed or hidden; applicants should prepare supporting explanations for the receiving authority.
Does the certificate need further legalisation?
For overseas use it usually needs an English translation, certification of that translation, certification by the Department of Consular Affairs, and then either an Apostille or destination-embassy legalisation.
Can someone else file on my behalf?
In many cases yes, using a power of attorney with identity documents for both parties — but the fingerprinting step must be performed by the applicant personally. Scope and requirements are confirmed case by case by phone, LINE or email.
Which authority issues the Thai police clearance certificate?
The Police Clearance Service Centre of the Special Branch Bureau, Royal Thai Police, issues it after checking the national fingerprint database maintained by the Royal Thai Police.

How this connects to the next step

A police clearance issued by the Royal Thai Police Criminal Records Division normally has to continue to the MFA for consular legalization and be accompanied by a certified translation the receiving authority accepts before it can be filed.

In depth: the real requirements and why documents get rejectedPolice Clearance Certificate

Written from the competent authority's published rules, not marketing copy.

A Thai Police Clearance Certificate is issued by the Royal Thai Police Special Branch and reports the result of a criminal-record search performed against fingerprint records. It is not a character reference, and it is not a document a local police station can issue.

Conditions you actually have to clear

  • Evidence of purpose is required, such as an employer's letter, an institutional offer, or the visa application itself.
  • The name and passport number on the application must match the travel document that will actually be used; a passport replaced during processing must be reported.
  • Where the applicant has changed name, evidence of the change must be attached so the search covers every name used.

Common causes of rejection

  • Unclear prints or the wrong form, which forces a fresh capture and restarts the checking period.
  • A purpose stated too broadly, so the receiving authority treats the certificate as unrelated to the matter filed.

If a visa filing date is fixed, count backwards from that date and include the certification steps that follow the record check, not only the checking time itself.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
