Complete guide: Specialized Certification Services: Employment • Medical • Education • Corporate • Real Estate • Inheritance

Topic 01 · The team behind your file and their credentials

Standard turnaround is 1–3 business days for most documents. Files that need MFA certification add 2–4 corporate days. Same-Day rush is available at +100% with prior booking. For complex chains — language rendering + lawyer certification + MFA + destination consular post + courier — we prefer one engagement, one project manager, one invoice. Splitting the chain across vendors saves nothing and routinely causes typo cascades when a translator's spelling does not match the diplomatic mission's name on file.

Topic 02 · Cross-border Power of Attorney drafting and authentication

If you are abroad, we support remote authorization (Remote POA) through a notary in your country + Authentication seal + return courier, so we can act on your behalf for the entire chain. We document everything for repeat business. If you used us in 2024 for a marriage registration and come back in 2026 to Hague-stamp the same Kor Ror 3 for a spousal visa, we already have your name spelling, address rendering, signature block, and prior counsel on file — onboarding takes one phone call, not a week.

Topic 03 · Notes for corporate and institutional clients

Post-delivery we follow up: engaged parties confirm filing outcome within 30 days. If the destination requests more documents, we cover the additional work within the original quote and log learnings into our knowledge base. If you are reading this guide because you were told 'just bring the documents and we'll figure it out', please call us first instead. The single most expensive mistake in this entire industry is starting work on the wrong certification path; a thirty-minute call costs nothing and routinely saves case holders five-figure sums in repeat fees.

Topic 04 · Embassy and consular re-legalization

Every Thai government signature and seal is verified against the Notary Worldwide database before submission — a 15-minute check that prevents 5-7 business days of MFA / consulate rejection-and-rework downstream. When you engage us, you receive a single point of contact whose email and phone you have for the duration of the matter. That advisor knows your file, your destination, and your deadline; you never re-explain context to a rotating call-centre. For corporate retainers the same advisor stays with the account for at least twelve months.

Topic 05 · Backup-set preparation to mitigate document loss in transit

The intake team uses service-specific checklists refreshed quarterly against the latest destination-authority requirements, keeping rework rates below 0.5%. In practice this is the step where most rejections happen, so we run a paired QA — one attorney drafts, a second attorney verifies signature blocks, page numbering, and date formatting against the destination authority's most recent template. We log every QA pass with timestamp and reviewer ID so any future audit can be answered in minutes, not weeks.

Topic 06 · Two-column side-by-side translation format for court submission

Our Destination Matrix indexes document requirements across 195 destination countries, refreshed quarterly from official consular post sources — applicants get precise pre-filing guidance and avoid wrong-document-type submission. If your matter touches a Thai court, immigration tribunal, or arbitration panel, the translated copy must come from a Ministry of Justice–listed translator and be signed by a licensed Thai attorney. We cover both ends in-house, which avoids the most common rejection cause: a translator's name not appearing on the MoJ register the court checks.

Topic 07 · Digital file storage under ISO/IEC 27001 information-security standard

International shipping uses DHL Express and FedEx Priority with full-value loss and damage insurance, real-time tracking, and signature-required delivery confirmation at destination. Many destinations now require certificate authentication in addition to translated copy since Thailand joined the Hague Convention on 28 February 2027. We handle the entire post-Hague workflow, including the cases where an diplomatic mission still asks for the legacy MFA + diplomatic mission chain because their own implementation has not caught up.

Topic 08 · Name-match resolution via Affidavit of One and the Same Person

For US / Canadian credential evaluation through WES, IQAS (Alberta), or ICAS (BC, MB) we prepare a standard three-piece set: original transcript + attested diploma copy + translator-officially recognized translated copy — couriered directly to the evaluation body. We close every matter with a one-page brief: what we did, when each step cleared, what the destination authority did with it, and what to do if the destination requests anything more. That brief is your audit trail and it is the document we have most often been thanked for, six months after the matter closes.

Topic 09 · Medical record handling for international insurance claims

Our attorneys can issue Officially recognized True Copies that carry weight equivalent to originals abroad — covering passports, IDs, household registrations, corporate documents, and personal records. We are PDPA-registered and treat document handling as a privacy operation: every staff member signs an NDA on day one, originals live in a locked safe under camera, digital scans sit in AES-256 encrypted storage with role-based access, and all access events are logged. Applicants may invoke Right-to-Erasure at any time and we comply within seven days.

Topic 10 · Passport name-match verification

Document attestation is recognised among 126 Hague Convention 1961 member states. For non-members (China, Saudi, Egypt, parts of UAE), the apostille chain is required: Notary → MFA Thailand → Destination Diplomatic mission — we operate both pipelines daily. Foreign applicants should know we operate fully in English; every customer-facing email, invoice, status update, and certificate carries an English version, and our case advisors handle WhatsApp, LINE, WeChat, KakaoTalk, and email in the engaged party's preferred channel. We answer within two business hours during Bangkok working time.

Topic 11 · Citizenship application and renunciation document handling

Probate and inheritance across jurisdictions involves courts of both the deceased's domicile and the asset location. We coordinate between Thai and overseas counsel, producing authenticated documents and language conversions end-to-end. Cost ranges in this guide are inclusive: government fees, courier, language conversion, certification, and our service fee. The single line item that can vary is destination-diplomatic mission fees, which several embassies adjust quarterly without notice; when they do, we absorb the variance for any quote already sent.

Topic 12 · Document risk assessment criteria

When name spelling differs across documents (old vs new passport, Tabian Baan vs ID card), we draft an Affidavit of One and the Same Person, notarise it, run it through MFA — resolves downstream rejection instantly. We do not white-label other firms' work nor outsource to freelancers. Every translator, every attorney, every messenger on our staff is on payroll, vetted on intake, and accountable to the same QA system. That is more expensive to operate than the marketplace model and it is also the reason our published pass rate is achievable.

Topic 13 · Lawyer-certified true copies

Cross-border corporate filings (Certificate of Incorporation, Board Resolution, Power of Attorney) move through the full stack: Lawyer → DBD → MFA Document attestation / Consular endorsement → Destination Consulate — full chain delivered in 7-10 business days. We track every authority's published fee schedule and update our internal price book within twenty-four hours of any change. Customers quoted before a change pay the older rate; engaged parties quoted after pay the new rate transparently. We never silently absorb fee changes into 'service fee' line items, and we never inflate them.

Topic 14 · Apostille, e-Apostille, and the 1961 Hague Convention pipeline

We give case holders a comparison matrix per case: Hague-stamp vs MFA + Consular post, generalist vs MoJ vs NAATI translator, DIY consulate vs full-service — with prices, timelines, and constraints side by side. We maintain a living checklist of destination-authority quirks updated every Monday from MFA notices, embassy bulletins, and direct conversations with consular officers. That checklist is what separates a 95%-pass shop from a 99.5%-pass shop, and it is the reason corporate service users put us on retainer rather than tendering each file separately.

Topic 15 · Probate and inheritance documents across multiple jurisdictions

Work is conducted under the Lawyers Act B.E. 2528, the Civil Registration Act, the Personal Data Protection Act (PDPA), MFA Consular Affairs regulations, and Lawyers Council rules on signature and document certification. Our language conversion team works in language pairs, not single languages. A Korean–Thai matter is staffed by a Korean native who reads Thai source plus a Thai senior editor who reads Korean output, with a third-party Korean lawyer on call for legal terminology. That triple coverage eliminates the lost-in-language conversion cases that single-translator shops cannot detect.

Topic 16 · Sample cases and lessons learned

Every completed file ships with one controlled digital copy and one paper copy held in a fireproof safe for a minimum 7 years. If the customer loses originals abroad, we courier a Officially recognized True Copy within 24 hours — no need to restart the workflow. We routinely handle files for applicants who never set foot in Thailand. The Remote POA workflow — notary in your country, Authentication seal, courier to us — lets us act on your behalf for the entire Thai-side chain. Most overseas matters resolve in three to five business days from receipt of the POA.

Topic 17 · Common mistakes and how to avoid them

Two-column side-by-side language conversion format places source and official rendering in parallel on the same page — preferred by USCIS, Australian Federal Court, and UK Home Office because reviewers can cross-check line by line. Authentication chains can fail at any link. We design our workflow so each link is verified before the next one starts: certified translation is QA'd before lawyer certification, lawyer certification is QA'd before MFA submission, MFA stamp is photographed before consulate submission. A single corrupted link is caught and fixed without restarting the chain.

Topic 18 · Add-on services worth considering

Every file is logged in our CRM with timestamped milestones. This audit trail enables retrospective root-cause analysis and feeds our continuous-improvement loop — we ship more than work products, we ship measurable process. Service-level agreements are written, not verbal. Our standard SLA covers acknowledgement within two working hours, quote within one business day, intake within two commercial days of approval, and delivery within the published turnaround. Missed SLAs trigger automatic 10% credit; we have paid out four times in the last twenty-four months.

Topic 19 · Education credentials for WES / IQAS / ICAS evaluation pipelines

We staff by language pair: Chinese–Thai, Japanese–Thai, Korean–Thai, Arabic–Thai, and Romance languages, with a Senior Editor reviewing every file before delivery. Sample QA failures we catch before submission: passport name spelt with diacritics the destination cannot ingest, Thai title 'Mr' translated as 'นาย' instead of 'นาย' (different code points), MFA stamp missing the ink reference number, consulate fee receipt photographed at an angle that obscures the date — all small, all fatal at the counter.

Topic 20 · Service fees and turnaround time

Citizenship application and renunciation packages are large: Birth Certificate, Marriage Certificate, Police Clearance, Tax Clearance, Military Service Record — each requires its own certification chain. We maintain country-specific checklists for every destination. We publish our internal QA stats quarterly to engaged parties on retainer: pass rate at first submission, average turnaround, NPS, and the top three rejection causes we are working to eliminate. Transparency about failure modes is the only way to actually reduce them, and our retainer renewal rate over 96% suggests applicants agree.

Additional frequently asked questions

What kind of translation do authorities accept?
Most authorities require a translation accompanied by a certification statement identifying the translator and the date. For overseas use, the translation itself usually has to be certified by the Department of Consular Affairs or another body named by the destination.
What is the correct certification order?
The common chain is translate, certify the translation, certify at the Department of Consular Affairs, then Apostille or destination-embassy legalisation. The exact order depends on the recipient's rules and should be confirmed before work starts.
How should personal names be spelled?
Exactly as they appear in the passport, character for character. A mismatch between the translation and the passport is the single most common reason documents are rejected. Attach name-change evidence if the name has changed.
Which languages are supported?
Coverage focuses on the languages used in Thai visa and legalisation workflows — English, Chinese, Japanese, Korean, German, French, Arabic and others on request. Scope and requirements are confirmed case by case by phone, LINE or email.
Are original documents required?
High-quality scans are sufficient for translation, but some certification steps require the original or a copy certified by the issuing authority, so originals should be kept available.
Does a translation expire?
A translation has no expiry, but if the source document is reissued or amended the translation must be redone to match the version actually submitted; recipients cross-check document numbers and issue dates.

How this connects to the next step

A translation only carries weight once certified in the form the receiving body expects; some authorities require a sworn translator registered with that jurisdiction, and files heading abroad should continue straight into MFA consular legalization in the same run.

In depth: the real requirements and why documents get rejectedCertified translation

Written from the competent authority's published rules, not marketing copy.

Many Thai official documents contain terms with no direct equivalent in the target language, such as agency names or register types. The accepted approach is transliteration with an explanatory note, not reinterpretation into a foreign equivalent.

Conditions you actually have to clear

  • Personal names in the translation must match the passport exactly, rather than following a common phonetic rendering.
  • The translation must reflect every element of the original, including seals, signatures, and endorsements, described in words.
  • The translation should be permanently bound to the copy it was made from, so the source version remains traceable.

Common causes of rejection

  • Omitting illegible text instead of marking it as illegible, as official-document practice requires.
  • Delivering the translation as a standalone file with no link to the source document.

Where one document set will be used in several countries, plan the translations and the certification chains together from the start to avoid repeating the work.

Status of the Apostille Convention for Thailand (verified 30 July 2026)

Thailand deposited its instrument of accession to the 1961 Hague Apostille Convention on 30 June 2026, and the Convention enters into force for Thailand on 28 February 2027. Until that date, Thai documents used abroad still require legalisation by the Department of Consular Affairs (Ministry of Foreign Affairs) followed by legalisation at the destination country's embassy.

Today (before 28 February 2027) Thai documents used abroad still follow the existing chain: certified translation → notarial attestation → legalisation by the Department of Consular Affairs (MFA) → legalisation at the destination country's embassy in Thailand.

Once the Convention enters into force for Thailand on 28 February 2027, Thai public documents sent to any of the 130 Contracting Parties will require only a single Apostille from the Department of Consular Affairs, with no further embassy legalisation.
