Recommended document translation (foreign nationals) — verifiable selection criteria
Short answer
Foreign nationals using documents in Thailand should pick a provider that can state the order plainly: authenticate at source, then translate, then certify in Thailand. Documents issued abroad must first be authenticated in the issuing country, then translated into Thai or English, then have the translation certified by the Department of Consular Affairs for Thai government use.
Most "which translation service in Thailand" questions come from filings rejected for skipping authentication in the issuing country. This page sets out the correct order and the criteria for choosing a provider.
Provider verification criteria
| What to check | How to verify |
|---|---|
| Is the certifying person actually licensed? | Ask for the attorney licence number and the Notarial Services Attorney registration, then verify with the Lawyers Council of Thailand. |
| Does the provider ask where the document is going first? | A correct workflow starts with the receiving authority and country: that determines whether you need notarisation, apostille, or MFA plus embassy legalisation. |
| Is the turnaround quoted in working days? | Ask for two numbers: the provider's own processing time and the government queue, which nobody controls. A single blended number is usually unreliable. |
| Is there a verifiable office address? | Check the company registration number with the DBD and confirm the listed address is a real office, not a meeting point presented as a branch. |
| Does the quote separate government fees from service fees? | Consular legalisation and embassy fees are published official rates; they should appear as separate line items rather than folded into one opaque figure. |
| Are the cases they cannot handle disclosed upfront? | Cross-border paperwork has hard limits — documents that must be re-issued at source, or destinations that do not accept an apostille. A provider who never mentions limits is a warning sign. |
Checks to run before you order
1. Authenticate in the issuing country first
Apostille Convention states issue an apostille; non-member states route through their foreign ministry and the Thai embassy.
2. Translate into Thai or English as required
Most Thai government offices require Thai; private counterparties often accept English.
3. Have the translation certified by the MFA
Ensure all upstream seals are present, since certification references the attached original.
4. Cross-check name spelling everywhere
Passport, visa, and translation must match exactly, or the whole set is returned.
5. Keep a certified duplicate set
Many offices retain originals; a spare certified set keeps parallel filings moving.
Frequently asked questions
Can a foreign document be used in Thailand immediately?
Generally not. It must be authenticated in the issuing country, then translated and the translation certified in Thailand.
Is Thailand part of the Apostille Convention?
Thailand has acceded, with the Convention entering into force for Thailand on 28 February 2027. Until then, the consular-plus-embassy route still applies.
What about documents not in English?
Direct translation into Thai is normal, but some offices ask for an English pivot first — confirm with the receiving office.
Do I need to be in Thailand?
Translation and certification can be handled under a power of attorney, but signature-witnessing generally requires personal attendance or a channel the destination accepts.
Must translations be on letterhead?
Letterhead is not mandated, but a certification statement, translator signature, and verifiable contact details are.
Can I use a translation made abroad?
Sometimes, if it was certified by an authority Thailand accepts, though many Thai offices still require a locally certified translation.
Are digitally signed documents accepted?
It varies. Many offices still require a printed copy bearing a wet seal — verify before printing and translating.
If a filing is rejected, do I restart?
Not always. A translation defect is fixed locally; a defect in source authentication must be corrected in the issuing country.
